List and describe the methodology for creating proposals with Microsoft
Project.

Solution of the Case

For the preparation of proposals, there is no definitive thesis, but there are.
methods that serve as a guide and for our case we will follow the
recommendations given according to the 'Lean method' for developing proposals
with the help of Microsoft Project in 6 steps:

Initial schedule.

2. Validate the approach.

3. Validate the budget.

4. Generate the WBS from the Gantt.

5. Prepare a 'skeleton' in PowerPoint.

6. Have the experts input valuable information directly.

This methodology allows saving time and being more efficient when it comes to
prepare the proposal.

Next, a definition will be given for each of the steps:

1. Initial schedule: Based on the client's requirements, produce a Gantt chart.


with the activities and durations that allow structuring the project
to reach the final result. Take advantage of the 'task notes' field to
describe the detailed information of the activities, on the go.

2. Validate the approach: Use the Project file to communicate, discuss and
request the expert judgment on the proposed activities.
3. Validate the budget: Start cost calculations with an Excel file
with the main cost items: fees, materials, expenses,
reservations, etc.

Transfer the costs to Microsoft Project by assigning resources to the


activities and editing the use of resources over time for
distribute hours and costs. Use the preconfigured views and tables of
Project to visualize cost information until approval is obtained
of the direction.

4. Generate the WBS from the Gantt, using tools that allow for it.

Conclusions

Microsoft Project is an office automation tool that allows for systematization


the preparation of proposals where it can be presented in one way
clearly the planning of time and costs which makes projects
make it more attractive to potential customers.
The best proposal is the one that is best defended. In the course of the
negotiation with a client may require reports on resources for
activity, by month, by week, etc. All of this can be generated from
views of Microsoft Project. Otherwise, we would have to prepare each
new information with office tools, which does not add value
