STEPS INVOLVED IN USING KEYBOARD TO PREPARE MAIL MERGE

Step 1: Create a Folder on Desktop

1. Press Windows + D → Takes you to Desktop.

2. Press Ctrl + Shift + N → Creates a new folder.

3. Type: Mail Merge → Press Enter.

Step 2: Create Excel Data Source

1. Press Windows key → Type Excel → Press Enter.

2. Press Ctrl + N → New workbook.

3. Type headers in Row 1:

Use Tab to move right, enter to go to next row.

Example for headers:

FirstName [Tab]

Last Name [Tab]

Address [Tab]

City [Tab]

State [Tab]

Zip Code [Tab]

Title [Tab]

School Name [Enter]

4. Fill the next 5 rows with your own names, addresses, and schools.

5. Press Ctrl + S → Choose Desktop → Open Mail Merge folder → Name: Data Source → Press Enter.

Step 3: Create Your Cover Letter in Word

1. Press Windows key → Type Word → Press Enter.

2. Press Ctrl + N → New blank document


3. Press Ctrl + S → Choose Desktop → Open Mail Merge folder → Name: Cover Letter → Press Enter.

[Link] the cover letter

5. Save it again with Ctrl + S.

Step 4: Begin Mail Merge Wizard

1. Press Alt → This activates the ribbon.

2. Press M → Opens Mailings tab.

3. Press Z → Starts Step-by-Step Mail Merge Wizard.

➤ Step 1 of 6

Press Alt + N to go to “Next: Starting document”

➤ Step 2 of 6

Press Alt + N again (Use current document)

Then press Alt + B to Browse for data

Navigate using arrow keys → Select [Link] in Mail Merge folder → Press Enter

In the dialog: Ensure Sheet1$ is selected → Press Enter

Press Enter again on Mail Merge Recipients dialog

➤ Step 3 of 6

Press Alt + N to proceed

➤ Insert Merge Fields into Letter

1. Use Arrow keys to place the cursor under the date where address should go.

2. Press Alt + I → Then M → Opens "Insert Merge Field" menu

3. Use arrow keys to insert the following one by one, each followed by Enter:

FirstName → Space → Last Name

Press Shift + Enter

Address → Shift + Enter

City + Space + State + Space + Zip Code → Shift + Enter


Title → Shift + Enter

School Name

4. Move to the greeting line:

Replace “Dear XX” with:

Dear «Title» «Last Name»,

5. In body, change school name reference to:

...working for your school, «School Name», as a Physician...

Step 4 of 6: Preview Letters

Press Alt + N again.

Use arrow keys to scroll and preview each letter.

Step 5 of 6: Finish Merge

1. Press Alt + F → (Finish & Merge)

2. Press E → (Edit Individual Documents)

3. Choose All → Press Enter

4. A new document opens with 5 merged letters

Step 6: Save Final Merged File

1. Press Ctrl + S

2. Save to Mail Merge folder as: Final merged File → Press Enter
