1. Introduction

1.1 Purpose

This document outlines the functional and non-functional requirements for the Hospital
Management System (HMS). It is intended to guide the development and implementation of the
system to ensure it meets the needs of the healthcare facility.

1.2 Scope

The Hospital Management System will manage patient records, scheduling, billing, and staff
information. It will facilitate appointment scheduling, patient check-in/check-out, medical record
management, and generate reports. The system aims to streamline hospital operations and
improve efficiency in patient care.

1.3 Overview

The system will provide an integrated solution for managing various hospital functions, reducing
manual paperwork, and improving data accessibility. It will allow for real-time updates to patient
records, appointment scheduling, and billing information.

2. General Description

The Hospital Management System replaces manual record-keeping and provides an electronic
solution for managing hospital operations. The primary features include patient management,
appointment scheduling, electronic medical records (EMR), billing, and reporting.

The system should allow authorized personnel to:

 View and update patient records.


 Schedule and manage appointments.
 Process billing and insurance claims.
 Generate medical and administrative reports.
2.1 User Manual

The system will include an integrated Help option and a user manual provided in both digital and
hardcopy formats. The Help section will offer detailed instructions on operating various features
of the system.

3. Functional Requirements

3.1 Description

 Patient Management: The system should manage patient demographics, medical


history, and treatment records.
 Appointment Scheduling: Users should be able to schedule, reschedule, and cancel
appointments. The system should send reminders to patients and staff.
 Medical Records: The system should maintain electronic medical records (EMR) that
are accessible to authorized users.
 Billing: The system should handle patient billing, insurance claims, and payment
processing.
 Reporting: The system should generate various reports, such as patient statistics,
appointment summaries, and financial reports.

3.2 Technical Issues

 The system should be implemented using a robust platform that supports database
management, secure data transmission, and user-friendly interfaces.
 Integration with existing hospital systems may require additional development.
4. Interface Requirements

4.1 GUI

 GUI 1: The main menu will include options such as Dashboard, Patient Records,
Appointments, Billing, Reports, and Help.
 GUI 2: The Patient Records menu will allow users to view and edit patient information
and access medical history.
 GUI 3: The Appointment Scheduling interface will facilitate the booking, rescheduling,
and cancellation of appointments.
 GUI 4: The Billing section will display billing information, process payments, and
manage insurance claims.
 GUI 5: The Reporting interface will provide access to various pre-defined and custom
reports.

4.2 Hardware Interface

 Hardware Interface 1: The system will be installed on hospital servers and accessed via
desktop computers and tablets.
 Hardware Interface 2: Computers should be equipped with network connectivity to
access the centralized database.

4.3 Software Interface

 Software Interface 1: The Hospital Management System.


 Software Interface 2: Integration with existing hospital databases and electronic health
record (EHR) systems.

recorded.

system.
 Medical Record Update: A healthcare provider updates a patient’s medical record after
a consultation.
 Billing Process: The billing department processes an invoice for a patient’s treatment.

9. Preliminary Schedule

The system has to be implemented within 6 months.
