Security codes
Users must enter a security code to log in to conferences. Participants enter the participant code,
and moderators enter the moderator code to connect to:
• The web collaboration session on Collaboration Agent.
• The integrated audio and video conference on Collaboration Agent.
• The audio conference using the phone.
To add more security to conferences, system administrators can also enable passcodes.
Participants enter the passcode after the participant and moderator codes.

Conference Manager for Microsoft Outlook supports Microsoft Outlook 2007, Microsoft Outlook
2010, Microsoft Outlook 2013, and Microsoft Outlook 2016. Conference Manager for Microsoft
Outlook does not support installation with the Avaya Client Applications Collaboration Services plug-
in for Microsoft Outlook. These plug-ins provide the same conferencing functions and conflict with
each other.

Conference profiles
With the Microsoft Office Outlook delegate feature, you can create different conference profiles that
contain the conference details of other users. You can use these conference profiles to set up
conferences for other users who delegate this activity to you.
For example, a senior executive in a company might delegate the activity of setting up conferences
to an assistant. The executive provides the conference details to the assistant, and the assistant
enters these details while creating a conference profile in Conferencing Manager. If the executive
has more than 1 set of conference details, the assistant can create up to 20 conference profiles that
contain a different set of conference details in each profile.
While creating a conference for another user, you can select a conference profile that contains the
relevant conference details. Conferencing Manager automatically adds these conference details in
the body of the conference invitation. If you want to join a conference that you set up for another
user, Conferencing Manager provides you with the Join as Moderator and Join as Participant
drop-down options in the Join button. The Join as Moderator option is available only if you enter
the Moderator code while creating the conference profile. Also, if the conference requires an
additional passcode, you must enter the passcode in the conference profile.

Tip:
To open a new appointment window, you can also:
• Select New Avaya Aura® Meeting from the Conferencing section of the Calendar
menu.
• Right-click the time-slot on the Calendar window and, on the Calendar context menu,
click New Appointment.
3. On the Appointments tab, enter the following meeting details:

You can enter the location, but Conferencing Manager overwrites your location details
when you create the meeting request.

Joining conferences
Joining a conference
The Join button enables you to enter a conference at the click of a button. With this feature, the
Avaya Aura® Conferencing Collaboration Agent server dials your telephone number and places you
into the conference. The first time you use the Join button, you can choose to configure the default
options. From that point onwards, the Join button uses these default options.
You do not need to configure the default options every time you use the Join button. However, you
can change the default options at any time by navigating to the Avaya Aura® Conferencing tab and
clicking the Default Conference Settings button.
These steps describe how to use the Join button for the first time. After you complete these steps,
the Join button operates in an automatic way.
Note:
The Join button only operates effectively if you are using the same Conferencing server as the
moderator. If you are using a different server, the Join button is inaccessible. You can identify
your Conferencing server by viewing the Service Host field on the Avaya Conference
Manager dialog. For more information about this field, see Using Conference Manager for
Microsoft Outlook for the first time on page 15.
About this task
You can use the Join Conference feature to join a conference that has started.
This is an optional feature.
Procedure
1. Open an existing conference.
On the Meeting screen, Conference Manager for Microsoft Outlook displays a Join button on
the toolbar at the top of the screen.
2. Click the Join button.
If you set up the appointment for another user and you click Join, Microsoft Outlook displays
the following options:
• Join as moderator
• Join as participant
Note:
The Join as Moderator option is available only if you enter the Moderator code and the
additional passcode, if required, while creating the conference profile.
Select the appropriate role to join the meeting.
When you use the Join Conference feature for the first time, Conferencing Manager displays
the Join Conference dialog box to administer the default options of the feature.
3. Select a telephone number from the Call me at drop-down list or enter a telephone number
in the list.
The Call me at drop-down list contains your contact telephone numbers and previously
dialed telephone numbers.
4. Check the Launch Collaboration Agent checkbox if you would like to open the
Collaboration Agent page.
5. Optionally, you can check the Set as default (Don't prompt me again) checkbox if you

The Avaya Aura® Conferencing Collaboration Agent server dials the telephone number that
you selected in the Call me at drop-down list. When you answer the call, the Avaya Aura®
Conferencing Collaboration Agent server brings you into the conference.
If you checked Launch Collaboration Agent, the Avaya Aura® Conferencing Collaboration
Agent server opens the Collaboration Agent login screen in the default browser.
Result
After you complete these steps to set the default options for the Join button, the Avaya Aura®
Conferencing Collaboration Agent server automatically dials the telephone number that is stored in
the Default Conference Settings.
If you created the meeting, you join the conference as a moderator. If you are a meeting recipient,
you join the conference as a regular participant. If you set up the conference on behalf of another
user, you can join as a moderator or as a participant. If you are the owner of the meeting whose
request you receive from your delegate, you always join as a moderator.

Procedure
1. Open Microsoft Outlook.
2. Perform one of the following steps:
• If you are running Microsoft Outlook 2007: From the Tools menu, click Trust Center to
view the Trust Center dialog.
• If you are running Microsoft Outlook 2010: From the File menu, click Options to view the
Outlook Options dialog.
3. From the left-hand navigation, select Add-ins to view the Add-ins tab.
4. From the Manage drop-down menu, located at the bottom of the dialog, select COM Add-
ins and click the Go button.
5. On the COM Add-ins dialog, check Avaya Aura® Conferencing Conference Manager and
click OK.
Now, Conference Manager for Microsoft Outlook is enabled.
