hello everyone. Today, I will be discussing the essential aspects of planning meetings and events,
particularly in the workplace. Meetings are an integral part of business operations, and despite advances in
technology, their frequency and importance have continued to grow. In this presentation, we will explore 5
parts:
Now, let’s begin with 1. Meetings in the Workplace
Meetings are a way of life in the workplace. Although many companies are downsizing, meetings remain
essential due to the global nature of business. As you can readily see, meetings are costly to organizations.
With teams increasingly becoming a standard method of operation, it is imperative that meetings be
effective.
next, let's move on to explore several types of workplace meetings.
2. Types of Workplace Meetings
 Board of Directors Meetings:
- Most large corporations and organizations operate with a board of directors. There are usually
bylaws, written policies and procedures that clearly define how meetings are to be conducted. Boards
may meet once a month or less.
- The chairperson of the board conducts the meeting, and strict procedures are usually followed. An
agenda is distributed before the meeting, indicating the items to be discussed.
 Staff Meetings:
- Staff meetings are common within organizations. Such meetings may be scheduled on a regular
basis or arranged as needed.
- The purpose of staff meetings may be to review directions, plans, or assignments or to handle routine
problems.
 Committee/Task Force Meetings:
- Committees are ongoing groups that address specific concerns, while task forces are temporary
teams formed to solve a particular issue before disbanding.
- For example, your workplace may have a safety committee that meets regularly (perhaps every
month) to identify and address safety concerns. Since safety is an ongoing concern, the committee
usually functions from year to year.
 Project Team Meetings:
- Project teams are frequently used in organizations.
- A project team might be formed to plan, produce, and market a new product.
- Team members are from different departments
- The team may include people in product research and design who will create a new product, people
in manufacturing who will oversee production of the product, and people in sales and marketing who
will plan or oversee the advertising and sales of the product.
 Customer/Client Meetings: These are usually small and involve discussing services, products, or
contracts with clients.
 International Meetings:
- For international organizations, meetings with staff in locations outside VN are common for upper-
level managers. Also, as organizations within VN continue to broaden their international scope,
meetings to pursue international opportunities are held with business leaders in many other countries.
International meetings are typically more formal.
- You may be involved in setting up and/or participating in electronic meetings with individuals from
or even in other countries.
- Remember that cultural differences exist; these differences must be understood and respected. Find
out as much as you can about the culture. Then, be sensitive to the needs of the individuals in the
meeting.
- Another important factor to consider is the differences in time zones. There are good time zone
calculators on the Internet to help you find a time when everyone can meet electronically.
- In addition, learn and use proper greetings.
- Moreover, Follow accepted practices for exchanging business cards and giving (or not giving) gifts
or other amenities.
Having explored the different types of meetings, let's now examine how these meetings can be conducted
using various formats.
3. Meeting Formats
- The meeting format is most often face-to-face. Audio conferencing remains a viable type of meeting
format. The use of video conferencing and web conferencing is growing.
- Let’s take a closer look at each format
 Face-to-Face Meetings:
- Even though we live in a technological world, the traditional face-to-face meeting is still common.
These meetings are ones where people gather to discuss issues or problems in person.
 Advantages
- One of the biggest strengths is that a creative, interactive group discussion takes place when people
are together in the same room; the participants can see and hear all group members.
- Additionally, People can observe and respond to body language of participants. Therefore, people
generally feel more relaxed
- Another advantage is that the atmosphere generally allows people to deal more effectively with
difficult items.
- Lastly, More group members are likely to participate in meeting.
Although face-to-face meetings can be effective, they have some disadvantages.
 Disadvantages:
- One major drawback is the cost of travel, particularly to another city, province, or country.
- These Cost includes not only transportation and possibly overnight hotel rooms but also the
productive work time lost in travel.
- Moreover, finding a vacant room or tying up a room that is used for multiple purposes can be a
problem.
- Another challenge is that Socializing can consume part of the meeting time if it is not controlled by
the leader.
- Lastly, People may tend to rely on their colleagues’ suggestions or solutions reducing creative
contributions.
 The next format is Audio Conferences:
- An audio conference is a meeting in which a number of people can participate via telephone or some
other device.
- An audio conference differs from other telephone conversations in that it involves more than two
people in at least two locations.
- The communication device may be a speakerphone or a meeting room with microphones, speakers,
and bridging technology.
- Bridging services allow participants in multiple locations to dial in to a single phone number to talk
with each other.
 Video Conferences:
- A video conference is a meeting in which two or more people at different locations use equipment
such as computers, video cameras, and microphones to see and hear each other.
- A web camera, a microphone, and speakers may be connected to computers and used to transmit
video and audio to other computers.
- On a larger scale, a videoconferencing room may be used to provide audio and video communication
for several people at different locations.
 Web Conferences: include the web meeting, the webinar, and the webcast.
o Web Meetings:
- A web meeting is a meeting in which two or more people at different locations communicate and
share information via computers and a network connection.
- Some web meetings are fully interactive, allowing participants to see video of one another, talk in
real time, and exchange information via computers.
- For other web meetings, participants may speak with one another via a traditional telephone
conference while using meeting software to share information.
Next, let’s look at another popular web conferencing option—the webinar.

o Webinars:
- A webinar is a seminar presented over the World Wide Web.
- It enables the presenter to conduct question-and-answer sessions with participants, but it does not
provide the same degree of interaction as a web meeting.
o Webcasts:
- A webcast is a type of broadcast.
- The one-way conferencing means that there is little opportunity to interact between the presenter and
audience.
- A webcast is primarily a presenting tool
Each of these formats has its advantages and disadvantages, and organizations must choose the most suitable
one based on their needs.
As we have seen, each meeting format has its own set of advantages and disadvantages. To better understand
how remote conferencing methods compare, let’s take a closer look at their pros and cons.
4. Advantages and Disadvantages of Remote Conferences
 Advantages:
 Cost savings on travel, accommodation, and meals.
 Increased accessibility, allowing experts from different locations to participate easily.
 Time efficiency, as meetings can be scheduled quickly without the need for travel.
 Disadvantages:
 Reduced opportunities for brainstorming and spontaneous discussion.
 Limited personal interaction, making it harder to build relationships and read body language.
 Technical difficulties, such as connectivity issues or audio/video malfunctions, that may disrupt
communication.
