Introduction
El Tarek distributes cleaning materials and paper products. To improve efficiency and
simplify our processes, we are looking for proposals from qualified ERP vendors to
implement a complete ERP system. The system should include essential modules
such as Purchases, Sales, Warehouses, Accounts, Expenses, and HR. It must be able
to support our growing needs, make daily operations easier, and help manage the
business more effectively.
Project Scope
This document, including Appendix - Features List, provides a list of all the
functional and technical requirements that El Tarek Company is interested in. The
project is planned to be implemented in two phases. A financial proposal for phase 2
is not required at this stage.
System Requirements

Vendor Requirements
To be considered, vendors must meet the following criteria:
• Experience: At least 5 years of experience in ERP implementation for
distribution, retail, or e-commerce companies.
• Customization: Proven experience in customizing ERP systems to meet
specific business needs.
• Support: The vendor must provide comprehensive post-implementation
support, including software updates, bug fixes, and user assistance.
• References: Vendors should provide references from at least three clients in
the distribution or related industries.
• Project Management: The vendor must demonstrate expertise in managing
ERP implementation projects, including managing timelines, resources, and
risks.
• Training: The vendor should offer detailed training for our staff, including user
manuals and sessions for all modules.
• Documentation & Source Code: The vendor should provide the source code
along with comprehensive documentation for the system's architecture and
user manual upon completion of each phase.
Proposal Submission Requirements
Interested vendors should submit the following information:
• Company Overview: Brief introduction to the vendor’s company, including
relevant experience and background.
• Solution Overview: Description of the proposed ERP system, including
features, modules, and deployment options.
• Implementation Plan: Detailed timeline for the ERP implementation, including
milestones and deliverables.
• Cost Breakdown: Clear cost breakdown, including licensing fees,
implementation costs, support fees, and any additional costs.

• Vendor Team: Information about the project team, including their
qualifications and roles in the implementation process.
• Case Studies: Examples of similar ERP implementations in distribution
companies, preferably those with similar needs.
Vendor Selection Criteria
The following criteria will be used to evaluate proposals (70 % Technical / 30%
Financial):
• Cost-effectiveness: Proposal’s total cost and additional customizations or
development cost and payment terms.
• Implementation Experience: Vendor’s experience in implementing ERP
systems, specifically in the distribution industry.
• System Features: Alignment of the proposed system with the business needs
and functionality of required modules.
• Customization: The ability to tailor the system to specific company processes
and requirements.
• Support and Training: Availability of ongoing support and training resources
for the team.
• Reputation: Vendor’s reputation in the market and client feedback.
