HYPERLINK
1. Turn text or an image into a link
1. Select the text or image you want as a hyperlink.
2. Go to the Insert tab → click Link (or press Ctrl + K)
3. In the Insert Hyperlink dialog:
o Link to: choose one of:
Existing File or Web Page – to link to URLs or files
Place in This Document – to link to headings or bookmarks
Create New Document – to generate and link a new document
E-mail Address – to open an email draft
o Enter or paste the Address or select a document/heading/bookmark.
o Optionally edit the Text to display and add a custom ScreenTip (tooltip that
appears on hover).
4. Click OK to insert the hyperlink.
2. Quick autofill hyperlinks
Type a URL (e.g., [Link]) or email (e.g., someone@[Link]), then press
Space or Enter. Word converts it into a hyperlink automatically
3. Link to specific places
Within current or another document:
1. Select text or image.
2. Choose Insert → Link → Place in This Document.
3. Pick the heading or bookmark to link
4. Edit or remove existing hyperlinks
Edit: Right-click the link → select Edit Hyperlink, then update the address, display text,
or ScreenTip
Remove: Right-click → choose Remove Hyperlink.
To update appearance (color, style), right-click → choose Font….
5. Bonus: Link from within Word for the web
Select the text → go to Insert → Link.
Paste the URL or choose headings/bookmarks/email
CROSS-REFERENCE
Insert a cross-reference
1. Place your cursor where you want the reference to appear.
2. Go to Insert → Cross-reference
3. In the dialog box:
o Reference type: pick what you're referencing (e.g., Heading, Figure, Bookmark,
Footnote).
o Insert reference to: choose how it should display (e.g., Heading text, Page
number, Footnote number).
o For which: select the specific item to link to.
o Check Insert as hyperlink to make it clickable.
4. Click Insert, then Close.
Once inserted, Ctrl-click on it to jump to the referenced content
3. Update cross-references
Whenever the referenced item moves (e.g., page number changes), update your cross-references:
Single ref: Right-click → Update Field
All refs: Press Ctrl + A → Right-click anywhere → Update Field
4. Advanced hints: bookmarks & footnotes
Bookmarks: Use bookmarks to reference unnumbered text.
1. Select text → Insert → Bookmark → name it.
2. Insert via Cross-reference → Bookmark.
Footnotes: Great for legal or academic docs.
1. Type e.g. “supra note” + space.
2. Insert → Cross-reference → Footnote → Footnote number → choose footnote
→ Insert.
3. Update by selecting footnotes → press F9
ADVANCED TOOL(ZOTERO)
Step 1: Install Zotero & Connector
1. Go to Zotero’s download page and choose the appropriate installer for your OS:
o macOS: Open the .dmg and drag Zotero to Applications.
o Windows: Run the setup executable.
o Linux: Use tarball or distro-specific package (e.g., snap or zotero-deb).
2. Install the Zotero Connector for your browser (Chrome, Firefox, Edge, or Safari)
Step 2: Save Journals & Articles While Browsing
1. Browse to an academic source (journal webpage, database, DOI page, or PDF).
2. Zotero Connector auto-detects item type and changes icon (e.g., book, article, PDF).
3. Click the Zotero icon in the browser toolbar:
o Captures full bibliographic metadata.
o Often downloads the full-text PDF or snapshot too.
4. A pop-up notification confirms the item was saved .
For PDFs without metadata, Zotero may import the file alone. You can then right-click →
Create Parent Item to pull metadata (by filling DOI or manually)
Step 3: Organize Your Library
Use the left pane to create Collections (folders) and Subcollections for projects
Use tags, saved searches, and notes to classify and track insights
You can drag items into multiple Collections—items are never duplicated, just linked.
Step 4: Add Articles Manually or by Identifier
Click the green plus („New Item“) → choose item type → enter metadata manually.
Or click the magic wand (“Add by Identifier”) and paste a DOI, ISBN, or PMID—
Zotero fetches full metadata for you.
ZOTERO WORD PLUGIN
1. Install & Verify the Zotero Word Plugin
When you install Zotero Desktop, the Word plugin (add-in) is bundled and should load
automatically
To confirm, open Word and look for a Zotero tab or toolbar in the ribbon .
If it's missing, open Zotero → go to Edit → Preferences → Cite → Word Processors,
and reinstall the plugin.
2. Insert Citations While Writing
1. Place your cursor where you want the citation.
2. Click Zotero → Add/Edit Citation.
3. A search box appears—type keywords (author, title, year).
4. Select the reference from the suggestions.
5. Optional: add page numbers, prefixes (e.g., “see”), or suffixes.
6. Press Enter to insert the citation.
3. Insert or Update the Bibliography
Click Zotero → Add/Edit Bibliography to generate a bibliography at the cursor.
Zotero automatically updates the bibliography as you add or remove citation.
To update after metadata changes (e.g., title corrections), click Zotero → Refresh .
4. Set Citation Style & Preferences
1. Click Zotero → Document Preferences.
2. Choose your citation style (APA, Chicago, MLA, etc.).
3. Set language, footnote vs. in-text, and hyperlink/bookmark format.
4. Save your settings—these apply only to the current document.
5. Edit Citations & Manage Multiple References
Click an existing citation → Add/Edit Citation to:
o Change the source (e.g., swap references).
[Link] Citations & Finalize Document
Use Zotero → Unlink Citations to convert all Zotero-driven citations into static text—
ideal before journal submission or if final formatting is needed .
