FORMAT

1. Discuss the Resources of an Information System.

The five basic resources of an information system are people, hardware, software, data, and networks :

People : These include end users, such as customers, managers, engineers, salespersons, accountants,
and clerks, as well as information system specialists.

Hardware: These include machines and media.

Software: These include programs and procedures.

Data: These include data and knowledge bases.

Networks: These include communications media and networks.

Some examples of information systems include:-

Data warehouses :
Store data from multiple sources over time for analysis and decision making.

Enterprise resource planning (ERP) :

Integrates a business's functions and processes into one system.

Office automation systems :

Combine people, computers, and communication technology to help with office tasks like printing,
scheduling, and preparing written communication.

Customer relationship management (CRM) :

Helps companies meet customer requirements and interact with their audience.

Databases :
Collect and organize information so that it can be accessed and used for specific tasks.

Human resource management systems (HRMS) :

Combines human resources with information technology to make human resources processes easier to
access and manage.

CDOE, PARUL UNIVERSITY 2

Knowledge management systems (KMS) :
Collect and make available a company's knowledge and experiences to improve business processes and
decision making.

2. Discuss the role of information in an educational institute

Information plays a crucial role in educational institutions as it serves as the foundation for learning,
research, decision-making, and development. Here are the key roles of information in educational
settings:

1. Facilitating Learning
Provides students with the knowledge needed to understand concepts, theories, and practical
applications. Access to diverse information resources (e.g., books, journals, digital content) helps in
broadening perspectives.

2. Supporting Research and Innovation

Enables faculty and students to engage in research by providing access to updated and credible
sources. Encourages innovation and critical thinking by exposing learners to the latest developments
in their fields.

3. Enhancing Decision-Making
Administrators use information for effective planning, policy-making, and resource allocation.
Helps in evaluating academic performance, managing institutional growth, and improving teaching
methods.

4. Promoting Digital Literacy

Encourages students and staff to develop skills in finding, evaluating, and utilizing information
effectively. Prepares students for the information-rich world by promoting technological proficiency.

5. Encouraging Collaboration and Communication
Facilitates collaboration among teachers, students, and researchers through shared knowledge and
resources. Online platforms and learning management systems make information sharing seamless
and efficient.

6. Fostering Lifelong Learning

Develops a habit of continuous learning by providing access to information resources.
Encourages curiosity and self-directed education beyond formal studies.

7. Ensuring Quality Education

Helps in designing curriculum based on the latest knowledge and trends.
Ensures that teaching methodologies are informed by the best practices and research.
Educational institutions thrive on the accessibility, accuracy, and management of information, making
it an indispensable element of the educational process.

3. What are the stages of decision-making process

There are four different stages in a decision-making organization: problem identification, information
gathering, alternative evaluation, and decision implementation. In the problem identification stage,
the organization recognizes the existence of a problem and clearly defines what needs to be
addressed. This is a crucial step as it sets the foundation for the decision-making process.

The second stage, information gathering, is all about collecting relevant data and facts related to the
problem. Reference [2] emphasizes the importance of comprehensive information gathering, as it
enables decision-makers to have a holistic understanding of the situation. This stage involves
conducting research, analyzing reports, and seeking input from stakeholders.

After gathering information, the organization moves on to the alternative evaluation stage. Here,
different options or courses of action are explored and assessed based on their feasibility, potential
outcomes, and alignment with the organization's goals. Reference [1] highlights the significance of
considering multiple alternatives to avoid biases and ensure a more objective decision-making

process.

Finally, in the decision implementation stage, the chosen solution or course of action is put into
practice. This involves assigning responsibilities, creating action plans, and monitoring progress to
ensure successful execution. Reference [2] suggests that clear communication and effective
coordination among team members are pivotal during this stage to maximize the chances of a
positive outcome.

4. Discuss Enterprise content management system

An Enterprise Content Management (ECM) system is a software application that helps organizations
manage, store, and organize content:
Capture: Convert paper documents into electronic formats, and collect electronic files into a
consistent structure
Organize: Categorize and structure content in a meaningful, searchable way
Manage: Control documents from creation to archiving
Secure: Protect against data breaches and financial fraud
Integrate: Integrate with business applications to allow users to work collaboratively
Analyze: Provide analytical capabilities to drive better decision making
ECM systems can help organizations:
Reduce storage costs
Increase productivity
Improve decision-making processes
Ensure continuity in business operations
Comply with rules, regulations, and prevalent practices
Optimize information
Enable business processes
Engage customers
Automate business processes

5. Outline the methodology of Business Process Reengineering, including the steps involved
identifying, understanding and redesigning processes. How can organizations ensure successful
implementation and overcome resistance to change during the BPR process?

Business process re-engineering (BPR) is a strategic management approach that is focused on

fundamentally rethinking and redesigning core business processes to achieve significant
improvements in performance and efficiency.
BPR focuses on optimizing end-to-end processes and eliminating redundancies. By critically examining
and redesigning business processes, BPR improves efficiency, effectiveness, and performance. These
improvements can impact various aspects of the business including cost, output, service, speed, and
quality. BPR is not a one-time project, but a continuous journey of innovation and optimization.
Organizations must continuously evaluate and refine their processes to adapt to evolving business
environments and maintain a competitive edge.

6. . Compare and contrast the revenue models of e-tailers and content providers. Provide examples of
companies that fit each model.
Several internet business models arise that promote business ideas and support the digital
environment.

A.) E-tailer : When businesses choose the internet as a sales medium, they use electronic retailing of
products. The customers can have a wide variety of products, but they lack their physical appearance
like in stores. Several companies are now using e-tailer means to gather customers through web
marketing, advertisements, and attractive offers and deals. Example: Dell gives customers an online
platform to choose the products and get them delivered. Several sites like snap deal provide a large
variety of products, even from different brands, to give a choice to customers to get the most
convenient deals for them.

B.) Content provider : Content providers include several internet-based sites that provide
entertainment in several fields to the customers or users. They create knowledge-based, latest news
or other fields of information through videos, games and other mediums. Their revenue is based on

advertisements and subscriptions.
Example: Disney provides entertainment and sports-based information to the users. CNN provides
news around the world to customers on a single platform that covers all the major fields and zones.
