Step-by-Step Guide to MDF

Configuration in SAP SuccessFactors

Step 1: Prerequisites
Ensure the following permissions are assigned under Admin Center → Manage Permission Roles:
- Manage Configuration UI
- Configure Object Definitions
- Manage Data
- Manage Business Configuration
- Administrator Permissions → Metadata Framework

Step 2: Create a Custom MDF Object

Navigate to: Admin Center → Configure Object Definitions → Create New → Object Definition

Enter Basic Info:

- Code: e.g., cust_EmployeeAssets

- Label: e.g., Employee Assets
- Effective Dating: None or Basic
- API Visibility: Editable
- Status: Active
- External Code: User-Defined or Auto Number

Step 3: Add Fields to the Object

After saving the object, open it and add fields such as:

- Field ID: assetType

- Field Label: Asset Type
- Data Type: String, Picklist, Date, etc.

Step 4: Create Picklists (If Needed)

Navigate to: Admin Center → Picklist Center → Create New

Add values like Laptop, Mobile, Tablet and link the picklist to your MDF field.
Step 5: Configure User Interface (UI)
Navigate to: Admin Center → Manage Configuration UI → Create New

Design the form layout by dragging and dropping fields. Save the UI.

Step 6: Associate MDF Object with the Employee

Open Configure Object Definitions → Employee Central Effective Dated Entities.

Search for Employment Info or Job Info and add a composite or one-to-one association to your
MDF object.

Step 7: Add UI to Employee Profile

Navigate to: Admin Centre → Manage Employee Files

Add a block or section and select the MDF UI you created.

Step 8: Add Business Rules (Optional)

Navigate to: Admin Center → Configure Business Rules

Create rules for auto-population, field visibility, or default values, and attach them to the object.

Step 9: Test the MDF Configuration

Go to an employee’s profile, access the MDF block, add/edit data and ensure proper
functionality.

Best Practices
- Test in development before production
- Use naming conventions (e.g., cust_)
- Version control changes
- Use Integration Centre and OData APIs for integration

Managing configuration roles within SAP SuccessFactors secures MDF object deployment by controlling access to configuration features and tools essential for creating and modifying MDF objects. By assigning specific permissions—such as 'Manage Configuration UI' and 'Administrator Permissions'—only qualified administrators can perform necessary configuration tasks, safeguarding against unauthorized changes and ensuring consistent application of best practices throughout the deployment process . This management streamlines deployment by delineating responsibilities and ensuring that personnel with adequate skills handle configuration tasks.

API visibility settings define who can view and interact with the MDF object through external applications, impacting integration and data accessibility. An 'Editable' visibility allows interactions that support dynamic data exchange and integration with other systems, which is vital for extensibility and external data processes. The status setting ('Active') ensures that the MDF object is deployed and operational within the system, indicating readiness for use in production environments . Together, these settings determine the object's accessibility and lifecycle management within SAP SuccessFactors.

Associating an MDF object with Employee Central Effective Dated Entities allows for the integration of custom data objects with core employee data, enabling more comprehensive data management and reporting . This integration provides the ability to handle complex data structures and relationships, maintain historical data context, and facilitate the application of business rules for data validation and automation, enhancing the overall data utility and accessibility.

The creation of a custom MDF object in SAP SuccessFactors allows for specialized data management that integrates seamlessly with the broader data architecture via its linkages to Employee Central and metadata frameworks . By configuring object definitions, associating it with effective dated entities, and setting up a UI, the custom object can interact with existing employee data, thus enabling comprehensive reporting and analysis across the platform while maintaining consistency and compatibility with other modules.

The user interface for an MDF object can be customized by designing the form layout through a drag-and-drop interface in 'Manage Configuration UI'. Fields can be positioned intuitively to mirror workflow processes, include custom instructions or tooltips for clarity, and set permissions for field visibility to tailor the experience to specific user roles . This customization enhances usability by aligning the interface closely with user needs and preferences, improving efficiency and accuracy in data input.

Creating picklists when configuring an MDF object in SAP SuccessFactors serves to provide predefined options for fields, ensuring data consistency and reducing entry errors. The process involves navigating to the 'Picklist Center', creating a new picklist, and populating it with relevant values like 'Laptop', 'Mobile', or 'Tablet'. This picklist is then linked to a field within the MDF object to standardize input options for users .

The necessary permissions required to begin configuring an MDF object in SAP SuccessFactors include 'Manage Configuration UI', 'Configure Object Definitions', 'Manage Data', 'Manage Business Configuration', and 'Administrator Permissions' under 'Metadata Framework' . These permissions allow an administrator to navigate through various tools in Admin Center, create and edit MDF objects, manage fields, configure user interfaces, and ensure proper integration and functioning of the configurations made.

Business rules in MDF configuration are critical as they automate decision-making processes, ensuring consistent data entry, guiding user behavior, and maintaining data integrity. They can auto-populate fields, display fields conditionally, and provide default values based on predefined criteria . This automation reduces manual interventions, minimizes errors, enhances data quality, and enforces business logic throughout the application, which is essential for maintaining robust business operations and workflows.

Testing the functionality of an MDF configuration involves accessing a specific employee's profile, using the MDF block, and manipulating data to ensure proper system response and data handling . Best practices include: thoroughly testing in a development environment before deploying to production, adhering to naming conventions for ease of maintenance, version-controlling changes to track and reverse them if necessary, and utilizing the Integration Centre and OData APIs to ensure external system compatibility .

The effective dating option in MDF object creation indicates whether changes to the object must reflect from a specified date and how historical data is managed. Selecting 'None' prevents tracking changes over time, while 'Basic' allows for change tracking without a full audit trail seen in more complex dating like 'Multiple Dated' . This decision impacts how the data can be looked up historically, the ability to plan future changes, and integration with other time-sensitive processes within SAP SuccessFactors.
