1 Emails
Lead-in In general, emails are either informal or formal/semi-formal. Emails to people inside your
organisation may use less formal language than those sent to people outside of the company.
Before writing an email, think about the level of formality needed and make sure the information
you want to communicate is clear to the reader:

1 Who is the email to and what level of formality is needed?

2 Is the main information that you want to communicate clear to the reader?

Model answers

Dear Miku and Chris,

I’d like to introduce myself to you both. My name is Luiz Sousa and I am the new project leader for the Marshall
account. Before joining the team, I worked in a similar role in the PR department of Kline and Marriott Associates
for almost a decade.
It’s a pleasure to work with you on such an exciting account. You’ve both worked on this project for some time and
I would therefore like to discuss the background and hear your ideas.
I’d like to request a meeting on Tuesday 12th at 10 a.m. This will be both an update meeting as well as a discussion
on how to proceed with this account. Could you let me know if this is convenient for you?
In the meantime, could you prepare a brief update report for me to read prior to the meeting? Chris, I’d like to know
what strategy has been used in managing the Marshall account. Miku, it would also be useful to have a summary of
any interaction with this client in the last six months.
I’m looking forward to meeting you both and working with you on this project.
Kind regards,
Luiz

Hi Miku and Chris,

Many thanks for attending the meeting on Tuesday and for preparing the project updates. Both were very
productive and informative.
As we discussed in the meeting, strategy for managing the Marshall account hasn’t changed in over two years.
However, the industries and sectors that Marshall operates in have experienced many technical advances in recent
years. In order to do the best for our client, we agreed that we should explore a variety of potential new directions
for the account. Please find below a summary of the main action points from our meeting:
• Chris to research and share information related to technology and energy industries and automotive sector for
the Marshall account. Deadline Monday 18th.
• Team meeting (Chris, Miku and Luiz) to finalise strategy and prepare presentation. Tuesday 19th.
• Miku to contact Dev Saunders and organise initial meeting to share findings and discuss expansion of the
Marshall account. By Thursday 21st.
• Luiz to present new strategy to board of directors at Marshall. Arrange by w/c 25th.
Thank you again for sharing your thoughts and ideas. This is an exciting opportunity to explore new directions for
this key account. Feel free to contact me if you have any questions.
Best wishes,
Luiz

Subject: Customer service feedback

Dear Sir or Madam,
I am writing to thank you for the excellent customer service which I experienced when hiring a car from your company last week.
While travelling on business with two colleagues, we hired a Hyundai Tucson to drive to a conference in Budapest. Unfortunately,
on the second night of our stay the car was stolen. When we spoke to your customer care team, the response was excellent. Within
two hours one of your representatives, Gergo Belov, had driven to our hotel and delivered a replacement vehicle. In addition,
Mr Belov stayed with us and helped complete the insurance form. I wanted you to know how much we appreciated his assistance.
We look forward to returning to your beautiful country in the future and we would certainly use Alcan Car Hire again.
Yours faithfully,
Max Hastings (HR Director)

Summarizing action points after a meeting contributes to project management by providing clarity on tasks, responsibilities, and deadlines. It helps ensure that everyone involved understands what needs to be done and by whom, facilitating accountability and follow-up. This structured approach supports coordination and timely progress towards project goals, as demonstrated by Luiz Sousa's post-meeting summary that assigned various tasks to Chris and Miku with clear deadlines .

Showing appreciation in customer service interactions can significantly strengthen business relationships by building trust and loyalty. In the customer feedback letter, Max Hastings expresses gratitude for the excellent service and specific assistance provided by Gergo Belov, which enhances the company's reputation and increases the likelihood of repeat business. Acknowledgment of positive experiences can lead to word-of-mouth recommendations and a strong partnership with clients .

Following up on customer service experiences through feedback is important for reinforcing positive interactions, identifying areas of improvement, and enhancing overall service quality. Feedback allows companies to recognize effective service efforts, like in the case of Max Hastings' experience with Gergo Belov, and fosters a customer-centric culture by valuing clients' opinions. It also provides insights for training and development of staff, ultimately leading to enhanced customer satisfaction and loyalty .

A semi-formal or formal closing should be used in an email when writing to individuals outside one's organization, addressing senior-level contacts, or when the communication requires a professional tone. Closings such as 'Kind regards,' and 'Best wishes,' help maintain professionalism and respect. These scenarios often involve business contacts, clients, and audiences where a more formal approach is appropriate .

The main considerations when determining the level of formality in an email include identifying the recipient and deciding on the appropriate level of formality required for the communication. Emails to people within an organization might use less formal language compared to those sent to individuals outside the company. It's important to ensure clarity in the communication so the reader easily understands the main information being communicated .

Introducing oneself in an email plays a crucial role in establishing professional relationships within an organization by setting the tone for future communication and collaboration. It allows the sender to present their role and intentions clearly, making it easier for the recipient to understand their position and how they might collaborate. Luiz Sousa's introduction as the new project leader establishes his authority and opens the door for productive dialogue with team members .

Effective communication of deadlines in a project email can be achieved through clear and specific language, the use of standardized terms or acronyms, and structurally organized information such as bullet points. For instance, using terms like 'EOD' (end of day) or 'w/c' (week commencing) helps ensure clarity. Listing action points with assigned deadlines, as seen in Luiz Sousa's summary email, also provides straightforward guidance for task completion .

An introduction email can establish a foundation for effective team collaboration by clearly stating the sender's role and intentions, expressing an eagerness to collaborate, and proposing a structured approach for an initial meeting. In Luiz Sousa's email to Miku and Chris, he introduces himself as the new project leader and acknowledges the recipients' previous work on the project. He proposes a meeting to discuss background and ideas and requests specific preparation from each team member, setting the groundwork for productive engagement and open communication .

The potential benefits of a meeting to finalize a strategy in project management include fostering collaboration among team members, aligning goals, and ensuring that everyone is informed and agrees on the strategic direction. This process can lead to more comprehensive consideration of options and greater commitment to executing the plan. As demonstrated in Luiz Sousa's meeting, confirming strategy and preparing presentations solidified the team's approach and prepared them for successful communication with external stakeholders .

Cultural differences in email etiquette can significantly affect international business communication by influencing the formality, tone, and structure of emails. Different cultures have varying expectations for greeting and closing phrases, use of formal titles, and level of directness in requests and acknowledgments. Misunderstandings or perceived disrespect can occur if these cultural nuances are not understood and respected, which could damage relationships and impede business operations. Thus, understanding and adapting to cultural email expectations is crucial in maintaining effective and harmonious international business interactions.
