SEMESTER TWO (2)

FOR NTA LEVEL 5

JUNE 2025
INTRODUCTION.

 This guide has been developed by department of pharmaceutical science Teofilo Kisanji
university so as to help student, tutors and instructors during clinical rotation training to transfer
theoretical knowledge into practice,
 This guide provides guidance on required areas for rotation, specific skills to be learnt and tasks
to be completed.
 This guide promotes standardization of clinical medicine training in the practical and clinical
Settings.

AIM OF PHARMACY PRACTICE TRAINING


The aim of the NTA Level 5 practicum is to enable students improve their skills in dispensing,
Computer applications, compounding, medical store management and communication in order
to provide day-to-day pharmaceutical services in health care settings.
Specifically, students will be prepared to graduate and either exit at NTA level 5, or continue on
to and level 6. To this end, the following outcomes have been established for students:
a) Apply principles of GMP in the preparation of facility based pharmaceutical products
b) Apply principles of GMP in operation and maintenance of equipment and machines in a facility.
c) Apply relevant computer packages in delivery of pharmaceutical services
d) Apply health management information system (HMIS) to capture, process and store health
information
e) Use Logistics Management Information System (LMIS) in the delivery of pharmaceutical
services.
PHARMACY PRACTICE LEARNING OUTCOMES
 Use formula in the preparation of pharmaceutical products
 Organize health related data using computer packages
 Use MTUHA databases in capturing and managing pharmaceutical data
 Report and present health related information using computer packages
 Use computer applications for data backup, information searching and learning
 Use computer packages in ordering, invoicing, dispensing, selling and inventory
Management
 Use networking programs in disseminating pharmaceutical information
 Perform simple data analysis using MTUHA database
 Describe the components of Integrated logistics system
 Describe management of pharmaceutical information in vertical programs

PHARMACY PRACTICE OPPORTUNITIES
During the practicum, students will be given opportunities to learn and practice:
 Compounding of various semisolid products in school pharmaceutical compounding
Laboratory or in health care settings
 Compounding of various sterile products in health care settings
 Use MTUHA database in health care settings
 Communicating with patients/clients and other health care professionals in delivery of
Pharmaceutical services
 Use computer system applications in school computer laboratory or in health care settings
 Use relevant computer package to analyses data in school computer laboratory or in health
Care settings
 Fill R&R form in health care settings
 Use electronic Logistic Management Information System

AREA OF PRACTICE

i. Hospital pharmacy

RESPONSIBILITIES OF PHARMACY STAFF (SUPERVISOR)


Pharmacy staff in respective attachment area are responsible to:
a) Receive, introduce and orient students to the pharmacy practicum areas
b) Prepare student’s rotation plan
c) Allocate the students in the respective practicum area and assign them to specific task
d) Train and supervise students to acquire the intended skills
e) Organize the to do list for students’ learning
f) Check log books and students’ signing of the attendance register
g) Report any unusual behavior or misconduct done by the student during practicum
Attachment to tutors of respective training institution
h) Report progress of students to the responsible tutor from the training institution
i) Complete student checklist based on participation in activities in different areas and give
Constructive feedback
j) Submit student’s progress report in form of completed checklist to the school at the end of
Pharmacy practicum attachment
RESPONSIBILITIES OF THE STUDENTS
Students will have the following responsibilities:
a) Behave in a way that is consistent with ethical practice.
b) Learn the pharmacy settings leadership and organization
c) Acquire skills according to prescribed competencies
d) Perform specific tasks as requested
e) Present summary of activities and other assignments to pharmacy staff and tutors
f) Perform other duties as assigned by pharmacy staff at the relevant site
g) Complete assignments and submit them to the relevant pharmacy staff or tutor as appropriate
h) Document accomplished tasks in a logbook
i) Share knowledge, skills and experiences acquired from different practicum attachment at a
Prearranged forum
j) Provide and receive feedback from tutors and pharmacy staff on progress and discuss/ask
Questions
k) Write and submit final reports to the school within the specified time

PRACTICUM MODULE: PST 05101 MEDICINES AND MEDICAL SUPPLIES


MANAGEMENT

Aim: The aim of the pharmacy practicum is for students to acquire and apply stores management skills
in the health care settings and community pharmacy

PRACTICAL LEARNING OUTCOMES

a) Describe the components of Integrated logistics system

COMPETENCIES/SKILLS

a) Complete R & R forms


b) Use Electronic Logistic Management Information system (eLMIS)
STUDENT ACTIVITY 1
Each student will be required to:
 Identify R&R form
 Interpriete R&R form
 Source data for filling R & R which include updated store ledger
o (Receipts and adjustment data), previous monthly/quarterly R & R
o (Beginning balance data), daily dispensing register (consumption
o data) and ending month SOH of the last month of the reporting
o quarter (ending balance data)
 Fill R&R form

STUDENT ACTIVITY 2
Using Electronic Logistic Management Information system (eLMIS)

Each student will be required to:


 Source data for filling electronic R & R which include updated
Store ledger (receipts and adjustment data), previous
Monthly/quarterly R & R (beginning balance data), daily
Dispensing register (consumption data) and ending month Stock on
Hand (SOH) of the last month of the reporting quarter (ending
Balance data)
 Be able to log in the website for elmis ([Link])
 Analyzing health commodities by using eLMIS
 Recording of health commodities electronically
 Filling of electronic R & R, and submit through eLMIS
 Lizing with the supplier electronically
 Manage logistic electronically

END OF PRACTICUM ACTIVITIES


At the end of the rotation/placement each student is expected to write a
Report on their experiences.
The report should cover the following:
 Introduction (attachment institution/ centre, aim and duration of
Attachment, description of the pharmacy department/ unit)
 Activities carried out and services offered in the pharmacy
Department/unit
 Sources of commodities for the facility
 Management of logistics of the facility
 Description of R&R form
 Requirement for filling R&R form
 Lessons learned beyond learning outcomes
 Conclusion and recommendations

PRACTICUM MODULE: PST05209 HEALTH INFORMATION MANAGEMENT


Aim: The aim of the practicum is for students to acquire and apply skills for mangaging health
information electronically
By the end of the practicum, students are expected to be able to:
Organize health related data using computer packages
a) Analyze health related data using computer packages
b) Report and present health related information using computer packages
c) Use computer applications for data backup, information searching and learning
d) Use computer packages in ordering, invoicing, dispensing, selling and inventory management
e) Use networking programs in disseminating pharmaceutical information
f) Use MTUHA database in capturing and managing pharmaceutical data
g) Perform simple data analysis using MTUHA database
h) Describe management of pharmaceutical information in vertical programs
i) Describe components of the WHO health management information system
COMPETENCIES/SKILLs
Generate tables from simple health data using spreadsheet
 Generate charts from simple health data using spreadsheet
 Generate graphs and histogram from simple health data using spreadsheet
 Generate trends from data and recognize problems to be solved using spreadsheet

In the above-mentioned area students will observe and be assigned to the
Activities of creating tables from health data using spreadsheet.

ASSIGNMENT
Each student will be required to:
 Generate tables from health data
 Generate charts from health data
 Generate graphs from health data
 Deduce information from health data
 Prepare presentation using computer package

Activity 2:
Demonstrate procedures for electronic ode ring, invoicing, dispensing and seling of medicine and
medical supplies

SITE OF PRACTICE: School computer lab and health facility medicine and medical supplies store In
the above mentioned areas, students will observe and be assigned to the activities of ordering,
invoicing, dispensing and selling of medicine and medical supplies electronically

ASSIGNMENT
Each student will be required to:
 Order medicines and medical supplies electronically (elmis)
 Prepare and issue invoice electronically
 Dispense medicines and medical supplies electronically
 Sell medicines and medical supplies electronically

ACTIVITY 3:
Carry out inventory management functions using computer

SITE OF PRACTICE: School Computer Lab and Health Facility medicine and
Medical supplies store

in the above-mentioned areas, students will observe and be assigned to the activities of ordering,
receiving, issuing, keeping records and controlling stock of medicines and medical supplies
electronically

ASSIGNMENT
Each student will be required to:
 Receive medicines and medical supplies into the store electronically
 Issue of medicines from the store electronically
 Keep records of medicines and medical supplies electronically (records
Includes receipts, issues, adjustments and physical counts)
 Ordering of health commodities from main store to substore and other

ACTIVITY 4: Capture data, process data, and generate report from MTUHA database

SITE OF PRACTICE: Health Facility medicine and medical supplies store


In the above mentioned areas, students will observe and be assigned to the
Activities of ordering, receiving, issuing, keeping records and controlling
Stock of medicines and medical supplies electronically

ASSIGNMENT
Each student will be required to:
 Access MTUHA database
 Validate MTUHA database
 Generate report from MTUHA database Subunits within the facility electronically

END OF PRACTICUM ASSIGNMENT


At the end of the placement each student is expected to write a report on
Their experiences on health information management
The report should cover the following:
a) Electronic tables, charts and graphs which conveys massages on health information
b) How to search and share information using internet
c) Importance of MTUHA in managing medicines and medical supplies

MONITORING AND EVALUATION


a) Pharmaceutical practicum team/staff/instructors will make daily observations of students,
provide support and document progress using a checklist (see checklist 3)
b) The pharmacy practicum team/staff/instructors will give feedback for student’s improvement.
c) Final report shall be assessed and graded by Pharmacy tutors and immediate feedback shall be
given to the student
