Project Proposal Components

Once the course coordinators have approved the project title, the project advisors are expected to
provide critical guidance during the preparation of the project proposal. This guidance will help
ensure that the proposal effectively addresses the project's objectives and scope. Team members
will work closely with their advisors to develop the project proposal, which should include the
following main sections: proposal summary, background and justification, objectives, scope of
the project, significance of the project, literature review, methods and materials, project timeline,
budget plan, and references. In addition to the main body of the project proposal, students should
incorporate cover page, approval page, table of contents, list of tables, list of figure, list of
acronyms during the proposal document preparation.
Cover page: The cover page of the proposal should include title of the project, name and logo of
the university, name of the team members, name of advisor, date of submission. The detail
information regarding cover page is provided in appendix E.
Approval sheet: This sections includes the signature, advisors, reviewers, and coordinators. The
detail information regarding approval sheet is provided in appendix E.
Table of Contents: This section lists all the main chapter headings and the essential sub-
headings with the appropriate page numbers against each heading or sub-heading.
List of Table: The List of Tables provides numbered list of tables present in the proposal which
includes the table number, title, and the page number.
List of Figures: This section provides a numbered list of all the figures (charts, graphs,
diagrams, images, etc.) included in the proposal which typically includes the figure number, title,
and page number.
List of Acronyms: This section provides a list of all acronyms used in the proposal along with
their full definitions that helps readers understand specific terms and abbreviations throughout
the document.
Proposal Summary: It is a concise overview that summarizes the key points and objectives of
the proposal, including its purpose, main findings, and the benefits of the proposed project. It
should be in 300 words, one page, one paragraph, single space and italic in format.
Introduction: It consists of the background of the study, statement of the problem, objectives,
hypotheses, and research questions, significance, and scope of the study.
Literature Review: This section is a comprehensive overview of a research which is relevant to
the proposed study. It mainly consists summary of researched which already been studied,
highlighting important findings, methodologies, and theoretical approaches related to the topic. It
helps for identification of gaps and should establish the need for the research and indicate that
the writer is a knowledgeable about the area.
Materials and Methods: It describes the overall project design which aligns with the project
objectives. It includes the list of equipment, data collection, data analysis, and ethical
considerations.
Project Timeline
This is a timetable of activities for conducting the project work with in the time frame and with
due regard to budgetary consideration.
Budget: This is financial plan which is required to implement the project, it should be clear and
realistic that specifies what resources are required for each activity in the work plan.
References: This section provides information about the references used in the proposal. It
should be written in separate page and should follow ASTU’s research guideline.
Proposal Document Submission

After the advisors have approved and signed the project proposal, it must be submitted to the
course coordinators before the deadline set in Appendix-A to ensure a timely review.

Assigning Proposal Reviewers


The course coordinators, in collaboration with the department heads, will assign at least two
reviewers from the academic staff of the related engineering programs based on the project's title
or scope of study. The hard copy proposal document approved by advisors must be provided to
the reviewers at least two days before the proposal presentation to allow adequate time for their
evaluation.
Oral Proposal Presentation

The following conditions shall be met for a proposal oral presentation:

 The course coordinator will set the presentation schedule and inform the reviewers,
advisors, and students at least two days in advance.
 All team members, project advisors, and proposal reviewers are required to attend the
presentation, either in person or virtually.
Each team will present their proposal within a maximum of 20 minutes, followed by 30 minutes’
session for comments, suggestions, questions, and discussions.
Proposal Revision and Final Approval

Revising the proposal is a crucial step following its presentation. Team members, in consultation
with their advisors, must incorporate all agreed-upon comments and suggestions to improve the
proposal's quality. The revised version should be signed by all team members, advisors, and
reviewers, and submitted in one copy to the course coordinator within three working days.

The reviewers are required to evaluate and rate the proposal using the form provided in
Appendix G. They must submit their evaluation results to the course coordinator at the end of the
proposal presentation and discussions. If the average evaluation results from the reviewers is
≥50%, the proposal will be accepted. Otherwise, the project proposal/title is considered failed,
and the team will be required to prepare a new proposal within one week and resubmit it. If the
resubmitted proposal fails again, the team members will receive an "F" grade and must repeat
the course in the next semester or academic year.

Submission
Students must submit the final version of the proposal, in hard copy as well as electronically in a
PDF format within one week after proposal defense. The final version of the proposal must
include any required modifications recommended by the proposal reviewers.
