This System Administrator’s Guide does not describe the use of the IT
equipment on which the medical device software is installed. Refer to the
documentation of the IT equipment concerned if necessary.
Before attempting to use this medical device software, you must read the
Xcelera Instructions for Use thoroughly, paying particular attention to all
WARNINGS, Cautions, and Notes it contains. In addition you must pay
special attention to On-screen Messages and Help information containing
WARNINGS, Cautions, and Notes that may be related to the function being
executed.
WARNING WARNINGS are directions which if not followed could cause fatal or serious injury to a
user, patient or other person, or could lead to clinical misdiagnosis, and/or loss/damage
of patient-related data.
CAUTION CAUTIONS are directions which if not followed could cause damage to the IT
equipment on which the medical device software is installed and/or other equipment
or goods, and/or cause environmental pollution.

It offers support to launch specified 3rd party programs from the user
interface (Desktop Integration) for analysis, quantification and reporting.
It allows multiple users quick access to, and exchange of specific and/or
multiple cardiology exams.
Installation and use of this medical device software is subject to the law in the
jurisdiction in which it is being used. Users must only install and use the
medical device software in such ways as do not conflict with applicable laws,
or regulations which have the force of law.
Use of the medical device software for purposes other than those intended
and expressly stated by the manufacturer, as well as incorrect use, may relieve
the manufacturer (or his agent) from all or some responsibility for resultant
non-compliance, damage, or injury.
CAUTION In the United States, federal law restricts this device to sale, distribution, and use by or
on the order of a physician.
1.4 Compatibility
The medical device software described in the Xcelera documentation should
not be used in combination with other software, equipment, or components
unless such other software, equipment, or components are expressly
recognized as compatible by Philips Healthcare. A list of such software,
equipment, and components is available on request from the contact address
given under the heading Compliance.
Changes and/or additions to the medical device software should only be
carried out by Philips Healthcare or by third parties expressly authorized by
Philips Healthcare to do so. Such changes and/or additions must comply

with all applicable laws and regulations which have the force of law within
the jurisdictions concerned, and with best engineering practice.
Changes and/or additions to the medical device software that are carried out
by persons without the appropriate training may lead to the PH warranty
being voided.
1.5 Compliance
This medical device software complies with relevant international and
national standards and laws. Information on compliance will be supplied on
request by your local PH representative, or by:

This medical device software must be installed on appropriate IT equipment
that complies with relevant international and national laws and standards on
EMC (Electro-Magnetic Compatibility) and Electrical Safety. Such laws and
standards define both the permissible electromagnetic emission levels from
equipment and its required immunity to electromagnetic interference from
external sources.
WARNING Philips Healthcare is not responsible for the installation or maintenance of antivirus
software or for the integrity of the Xcelera system infected with a computer virus.
Philips Healthcare has qualified the following antivirus applications as being

compatible with the Xcelera software:
• McAfee VirusScan
Contact your Philips Healthcare service representative for information about
qualified versions and configuring these applications so they do not affect
Xcelera functionality or performance.
For more details on security, please refer to the Appendix, Network safety,
security and privacy.
1.7 Training
Users of this medical device software must have received adequate training on
its safe and effective use before attempting to use the device described in the
Xcelera documentation. Training requirements for this type of device will
vary from country to country. It is for users to make sure that they receive
adequate training in accordance with local laws or regulations which have the
force of law.

operation of the Xcelera system and all aspects of user administration. The
system administrator is responsible for a wide range of tasks such as
monitoring disk utilization, performing backup operations, and adding
new users. This Xcelera System Administrator’s Guide describes how to
complete these tasks for both the standard and integrated workstation
configurations.

The Xcelera audit log has a maximum size of 51200 KB and overwrites
events older than 7 days by default. If local policy requires keeping more log
events, you need to change the log properties.

• DNS Server: Records DNS queries, responses, and other DNS activities.
• File Replication Service: Records file replication activities on the system.
• Security Log: Records events configured for auditing with local or global
group policies.
NOTE Any user who needs access to the security log must be granted the user right to
Manage Auditing and the Security Log. By default, members of the Administrators
group have this user right. System Log Records events logged by the operating system
or its components, such as the failure of a service to start at bootup.

2.5 Event Viewer Log
2 Expand the System Tools node by clicking the plus sign (+) next to it and
then double-click Event Viewer. The list of logs is displayed, as shown in
Figure 2.4.

3 Select the log you want to view. Entries in the main panel of Event Viewer
provide a quick overview of when, where, and how an event occurred. To
obtain detailed information on an event, double-click its entry. The event
type precedes the date and time of the event. Event types include:
- Information: An informational event which is generally related to a
successful action.
- Success Audit: An event related to the successful execution of an action.
- Failure Audit: An event related to the failed execution of an action.
- Warning: A warning. Details for warnings are often useful in preventing
future system problems.
- Error: An error, such as the failure of a service to start.

NOTE Warnings and errors are the two types of events that you need to examine closely.
Whenever these types of events occur and the cause is uncertain, double-click the
entry to view the detailed event description.
In addition to type, date, and time, the summary and detailed event entries
provide the following information:
- Source: The application, service, or component that logged the event.
- Category: The category of the event, which is sometimes used to
further describe the related action.
- Event: An identifier for the specific event.
- User: The user account that was logged on when the event occurred.
- Computer: The name of the computer where the event occurred.
- Description: In the detailed entries, a text description of the event.
- Data: In the detailed entries, any data or error code output by the event.

Permissions granted for Xcelera groups are valid for all studies in all
Institutions stored within the Enterprise. If the Enterprise PowerDoc group
has viewing permission, the users in Powerdoc have viewing permissions on
all Institutions present in Xcelera.
The behavior in this scenario is the same compared to Xcelera R3.1 and
older.
When Xcelera is a Domain Controller, the Xcelera groups in the Active
directory have the type: Security Group - domain local. If Xcelera is a

member server the Xcelera groups have the type: local group

NOTE Each Department within an Institution must have a unique name, and each Station
within a Department must also have a unique name.
Use the System Administration Manager tool or the ServiceTool to make the
Station name and Department known in Xcelera.
• Use the ServiceTool if the study is from an unknown DICOM, DSR or
Query-Retrieve node.
• Use the System Administration Manager tool when the study is imported
from external media or from the Browse option in the common search
window.

4 Select the Station that is unknown/unassociated and click Edit.

Deleting an Institution
NOTE You must have Administrator privileges to perform this task.
1 Start the System Administration Manager by selecting Start > All Programs >
Philips Xcelera > System Administration Manager.
2 Select the Institutions tab.
3 Select the Institution you want to delete, and click Delete.
4 To confirm the deletion, click OK.
5 To save the settings, click Yes, and then click OK.
6 To confirm exiting the System Administration Manager, click Yes.

The Xcelera system defines 32 roles. The system installation process creates
the Windows local groups shown in Figure 4.1 and assigns each group a
number of roles. The PowerDoc group is initially assigned all roles, but you
can change the roles assigned to this or any other group.

4.1.2 Security for System Administrators
In a typical configuration, the Xcelera system is installed as a separate
Windows domain, with the Xcelera server or integrated workstation as the
domain controller. All workstations and imaging systems are usually part of
the Xcelera domain.
Some Xcelera systems are installed as a member server of an existing domain.
Some tasks require you to log on as an administrator in the Xcelera domain,
while other tasks can be completed by logging on as a local Windows
Administrator on the server or integrated workstation. A number of tasks
require that you belong to an Xcelera user group assigned particular roles.
(Once logged on to Xcelera, you can log on to a different Xcelera user
account without logging off from Windows; see ‘Changing the Logon
Account’ on page 4-4.)
When all Xcelera users have a Windows user account, then you need to
assign the accounts to the user groups in accordance with the security plan.
See ‘Assigning a Windows User Account to an Xcelera User Group’ on page
4-8 for detailed information.

Xcelera system has a Change User feature that allows a user to change the
logon account under which to work in Xcelera without having to log off
from Windows.
The Change User feature is an alternative to logging off and logging on to
the workstation under a different user name. This feature applies to Xcelera
users only and does not affect other applications running on the workstation.
NOTE After three successive attempts to change the user logon account have failed, the
Xcelera application closes and unsaved work will be lost. Failed logon attempts are
logged in the Xcelera audit log (see ‘Xcelera Audit Log’ on page 2-10).

2 Start the Active Directory Users and Computers application by selecting
Start > All Programs > Administrative Tools > Active Directory Users and
Computers.
3 Do one of the following to display the first of three New Object—User
wizard dialog boxes:
6 Assign a password to the user account. For enhanced security, the Xcelera
system implements the following password policies by default when Xcelera
is installed on a Domain Controller:
• A password cannot contain all or part of the user account name.
• A password must be at least 8 characters in length, and must contain
characters from three of the following categories:
- English uppercase characters (A through Z)
- English lowercase characters (a through z)
- Base 10 digits (0 through 9)
- Nonalphanumeric characters (for example, !, $, #, %)
• Passwords expire in 90 days.
If you want to modify or disable any of the default Xcelera password
policies, see ‘Modifying Default Account Policies’ on page 4-12.
7 Select Next to display the next wizard dialog box. If for any reason you need
to return to the first wizard dialog box, you can select Back.
8 Enter the new user’s password twice in the fields provided.

NOTE By default, passwords expire in 90 days. If you want to disable this security feature for
this user, select the Password Never Expires option.
9 Select Next to display the final wizard dialog box summarizing your entries.
10 Select Finish to close the wizard dialog box and create the new user account if
all entries are correct. The new user name now appears in the right panel of
the Active Directory Users and Computers dialog box. If you want to make
changes, select Back to display prior wizard dialog boxes and make changes.
Domain Controller
The following procedure explains how to assign a Windows user account to
an Xcelera user group when Xcelera has been installed on a
Domain Controller:
1 As a Windows Administrator, log on to the Xcelera server or
integrated workstation.
2 Start the Active Directory Users and Computers application by selecting
Start > All Programs > Administrative Tools > Active Directory Users and
Computers.
3 Right-click the user name in the right panel to display a pop-up menu, and
select Properties to display the User Properties dialog box for the selected

user.
4 Select the Member Of tab to display a list of user groups to which the user is
currently assigned.
5 Select Add to display the Select Groups dialog box. Click Advanced and then
click Find Now to display the list of available groups (Figure 4.3).

6 Select an Xcelera user group in the top list, and then select Add to add that
name to the list of assigned groups at the bottom of the dialog box.
7 Select OK to close the Select Groups dialog box and return to the User
Properties dialog box/Member Of tab. The new Xcelera group name now
appears in the Member of list.
Member Server
To assign a Windows user account to an Xcelera user group when Xcelera has
been installed on a member server:
1 As a Windows Administrator, log on to the Xcelera member server.
2 Start the Local Users and Groups application by selecting Start > All
Programs > Administrative Tools > Computer Management.
3 Expand Local Users and Groups.
4 Double-click Groups.
5 Right-click on the group name, and select New Group.
6 Select Add.
7 Enter the user name directly and click Check Names or click Advanced and
then click Find Now.
8 Select an Xcelera user name or the appropriate domain global group, and
select Add.
9 Select OK.

4 Select the new user and select Edit Demographics to display the Detailed
Information for <user> dialog box (Figure 4.5).

5 Enter available information about the user in the fields provided. None of the
fields requires an entry. However, the system uses data entered here (such as
first and last name) to populate lists of available values in Xcelera. If you do
not enter names here, the system identifies a user by their Windows logon
account as defined in ‘Creating a New Windows User Account’ on page 4-6.
6 In the Miscellaneous area, you can enter the person’s e-mail address.
Select any or all of the following check boxes if the user is to be listed as a
member of the corresponding group:
• Ordering Physicians
• Referring Physicians
• Performed By
For example, when you select Ordering Physician, Xcelera displays the user’s
name in a list of physicians authorized to order a study. Such a list allows the
user to select the person ordering a particular study without typing the name.
You can also specify the name of an optional electronic signature file that you
previously created. See ‘Creating an Electronic Signature File’ on page 4-15
for instructions on how to create an electronic signature file.
7 Do one of the following:
• To save your entries and close the Detailed Information for <user> dialog
box, select OK.
• To discard all entries or changes and close the dialog box, select Cancel.

You can remove a user account from the Xcelera system by removing the
account from any local group assigned Xcelera roles. If the person needs
continued access to the Windows network, the user account must be assigned
to at least one other user group such as the Domain Users group. See
‘Moving a User Between Groups’ on page 4-39 for detailed information
about changing the groups to which a user is assigned.
If the person’s Windows user account must be terminated at the same time,
you can disable or delete the user account as specified by network
administration policies for your organization.

To create a new Windows user group when Xcelera is installed on a Domain
Controller:
1 As a Windows Administrator, log on to the Xcelera server or integrated
workstation.
2 Start the Active Directory Users and Computers application by selecting
Start > All Programs > Administrative Tools > Active Directory Users and
Computers.
3 To display the New Object—Group dialog box (Figure 4.6), do one of the
following:

To create a new Windows user group when Xcelera is installed on a member
server:
1 As a Windows Administrator, log on to the Xcelera member server.
2 Start the Local Users and Groups application by selecting Start > All
Programs > Administrative Tools > Computer Management.
3 Expand Local Users and Groups.
4 Right-click on Groups.
5 Select New Group.
6 Enter the group name and a description.
7 Select Create.

4 Double-click User Rights Assignment to display a list of policies in the right
pane.
5 Double-click the Log on locally policy in the right pane to display the
Security Policy Setting dialog box.
6 Verify that the Define these policy settings check box is selected, and then
select Add to display the Add user or group dialog box.
7 Verify that the correct domain is displayed in the Look in drop-down list,
and then select Browse to display a list of users and groups.
8 Select the user groups that you have just created, and then select Add to
create a list.
9 Select OK to return to the Security Policy Setting dialog box where the new
groups should be listed.
10 Select OK to close the Security Policy Setting dialog box.
Table 4.1 lists what groups are displayed when you select groups in the
Permissions tab of the System Administration Manager application.
4 To display all available Windows groups that are not currently associated
with an Institution or Enterprise, select No Institution from the Groups
Associated with menu.
5 Right-click the Group to display the menu.

6 Select Associate to Institution and select the Institution to which you want
to associate the Group.
7 To save the new association, click Yes.

2 Select the permission set. Default permissions are typically associated with
the following groups:
• Assistant
• Clinical User
• Physician
• Doctor with full privileges
A check mark is displayed before the permission in the set, and the total
number of permissions selected is displayed in the Windows Group list. You
can manually add or delete permissions in the Permission list.
NOTE A predefined permission set always includes dependent permissions.

9 From the Look in list, select the appropriate domain for Xcelera.

without creating a Windows user account or assigning a user account to an
Xcelera user group.
To create a non-user account:
1 As an Xcelera user assigned the Configure Clinicians role, log on to the
Xcelera server or integrated workstation.
2 Start the Xcelera Clinical Application Configuration Tool by selecting Start >
All Programs > Philips Xcelera > Clinical Application Configuration Tool.
3 Select the User Info tab.
4 To display the Detailed Information for non-user dialog box, select Add non-
user (Figure 4.5). You must enter a last name and select at least one of the list
options in the Miscellaneous area (see step 6).
5 Add available contact information in fields located in the Phone and Office
areas.
6 In the Miscellaneous area, you can enter the person’s e-mail address. (An
electronic signature file is never used for a non-user.)
Select any or all of the following check boxes if the non-user is to be listed as
a member of the corresponding group:
• Ordering Physician
• Referring Physician
• Performed By
For example, when you select Ordering Physician, Xcelera displays the
non-user’s name in any list of physicians authorized to order a study. Such
a list allows the user to select the person ordering a particular study
without typing the name.
7 Do one of the following:
• To save your entries and close the Detailed Information for non-user
dialog box, select OK.
• To discard all entries or changes and close the dialog box, select Cancel.

To change information for a non-user, use the preceding procedure but select
Edit Demographics in step 4 instead of Add non-user.
4 Select the non-user name that you want to delete, and select Edit
Demographics to display the Detailed Information dialog box.
5 Deselect the Ordering Physician, Referring Physician, and Performed by
check boxes. The system changes the button normally labeled Add to Delete.
6 Select Delete to delete the non-user account.

WARNING A monitor that improperly shows gray scales could lead to misinterpretation.
Use the Xcelera Video Test Tool application to test a workstation monitor for
aspect ratio, gray level, and blit speed. See the manufacturer’s documentation
for information about monitor controls available to bring performance to an
acceptable level.

2 Adjust the monitor so at least 16 shades of gray can be distinguished from
each other. Use the contrast and brightness controls to optimize the gray-
level test pattern.
3 Select the Grid Test button as shown in Figure 5.1 to display the grid test
pattern. The grid test pattern consists of a grid of squares and tests to detect
geometric distortion.
4 To check that the pattern is truly square, choose a square and measure the
sides by using a ruler to confirm that they are within ±5% of the same value.
Also verify that the sides of the square are straight by using a ruler. Some
monitors have width and height adjustment controls that you can use to
optimize display of the test pattern. In addition, some monitors have a
pincushion control that you can use to straighten lines.
5 Move the aspect ratio window around the screen to see if there are any
localized distortions.
6 Select the Blit Speed Test button to start a blit speed test. The blit speed test
verifies that your video graphics board is capable of blitting data to the
display at a rate sufficient to support 40-Hz frame rates. The test calculates
and displays the blit rate of your video graphics board, and displays a pass or
fail message.
If the test fails, check the following:
• Make sure all applications are closed. If not, close all running applications
and run the test again.
• Make sure that the video driver is set to Small Fonts. Check this setting by
selecting Start > Settings > Control Panel > Display to display the Display
Properties dialog box. Select the Settings tab and the Advanced button to
display the Plug and Play monitor dialog box with settings for the installed
video driver. Be sure the Small Fonts option is selected.
• If step • and step • are satisfied and the monitor fails the blit speed test,
you might need to replace the video card.
7 Select Exit to close the Video Test Tool.

7.1 Archive Storage Control Software
Although the XFS created for your Xcelera system behaves as a single storage
entity, it consists of the following resources:
• Backing store—All MODs containing recorded images including the one
currently on-line in the designated single-MOD drive.
• Directory cache—A single file containing an index of all archived files.
This file is stored on the workstation hard disk and contains information
about every XFS file and directory.
• File cache—Storage space on the integrated workstation hard disk used to
temporarily store image files of the following types:
- New image files not yet recorded on the backing store (MOD).
- Copies of image files requested from the backing store (MOD).
• Control information—Attributes of the XFS used by your Xcelera system.
A file in the file cache that has not been recorded on an MOD, or that differs
from the MOD version, is called a dirty file. Deleting or corrupting a dirty
file causes permanent data loss. The Archimedia system periodically records
dirty files on an MOD during a flush operation. You must be sure that flush
operations run periodically to prevent the file cache from filling with dirty

files. An MOD is a read-write media that allows Archimedia to flush files
periodically throughout the day, if necessary.
A file in the file cache that has an exact copy on an MOD is called a clean file.
The Archimedia system creates a clean file when retrieving a file from an
MOD. A dirty file automatically becomes a clean file after a flush operation.
Archimedia maintains a minimum amount of available space in the file cache
by using a purge process to periodically remove clean files. Deleting a clean
file never causes data loss.

Philips recommends that you use the following procedure to check flush
operations each morning:
1 As a Windows Administrator, log on to the integrated workstation.
2 Start Archimedia Explorer by selecting Start > All Programs > K-PAR
Archimedia . . . > Archimedia Explorer.
3 Expand the tree diagram in the left panel to show the Subsystem and Cache
headings below the Xcelera file system.
4 Right-click the Cache heading, and select Properties to display the Properties
of Cache dialog box (Figure 7.1). The system displays the Details tab by
default.

5 Check the amount of space occupied by dirty files (value for the Dirty
attribute). If this amount is over 2.0 GB, the system has not been able to
record dirty files on an MOD during a flush operation.
Flush operations should occur periodically throughout the day. Review
events in the Windows Event Viewer to determine what happened when the
Archimedia subsystem last attempted to complete a flush operation.
If you are unable to clear the condition that is blocking flush operations,
contact your Philips Healthcare service representative.

Be sure there is always one empty off-line MOD ready to receive new study
images during a flush operation. See “Removing (Put Off-line) an XFS
MOD” on page 7-5 and “Inserting (Put On-line) an XFS Off-line MOD”
on page 7-10.
NOTE Should experience show that the storage space used by dirty files grows slowly, you
may be able to check flush operations less frequently than once a day.
3 Expand the tree diagram in the left pane to show the Subsystems and Cache
headings below the Xcelera file system, and then expand the Subsystems to
show all subsystems (disks) in the XFS.

4 Right-click the name of the disk or subsystem that you need to remove, and
select Off-line to display the Put Subsystem Off-line dialog box (Figure 7.2).

As a system administrator, you must be sure there are one or more empty
MODs available for recording new studies during a flush operation. Philips
recommends that you check the number of empty disks available at least
once a week and be sure there are enough disks to store studies expected in
the next three weeks. Empty MODs should be prepared before the time they
are needed for recording images. Preparation consists of formatting the disks
and assigning them to the Xcelera XFS.

Estimate the total studies to be completed by each Cath lab and each Echo
lab during the next three-week period, and multiply by the appropriate factor
to determine the storage space required. Total the megabytes of storage space
required for all labs, and divide this total by the capacity of one MOD
(9600 MB) to determine the number of disks required to store the studies.
NOTE You prepare both sides of any empty MOD.
Be sure to provide a safety margin in your estimate. One way to provide a
safety margin is to use the average studies completed during a weekday and
multiply by seven. If fewer studies are done on weekends, then your estimate
contains a safety margin. If the same number of studies are completed every
day of the week, add 10% to the total estimated storage space to provide a
safety margin.

WARNING Be sure not to insert an MOD that contains existing studies during this procedure. The
XFS assignment procedure deletes all existing data on the MOD.
4 Expand the tree diagram in the left pane to show the Standalone Optical
Drives heading.
5 Select the Standalone Drives heading to display details in the right pane.

7 Load a blank disk into the MOD drive and note the label for the active side
so you can enter it during the assignment process. Select OK in the
confirmation message box. Select Yes in the Disc Import message box. The
drive icon shown in the right pane changes to show that the drive now
contains a disk.

10 Click Finish.
11 Click OK to the Add Subsystem prompt. Subsystem creation may take a
minute.
12 Click OK in message box confirming the addition of the new subsystem.
Philips recommends preparing both sides of a blank MOD. After completing
the preceding procedures for the A side, remove the disk and reinsert it with
the B side active. Repeat the preceding procedure for the B side.

This chapter explains how to maintain an Xcelera system that has been
upgraded from an EnConcert system and continues to use the legacy
DiskXtender (DX) 2000 application for archive storage management.
For information on managing archive storage using the Archimedia software,
see Chapter 9 "Archive Storage Administration for a K-Par Archive
Configuration" or Chapter 7 "K-PAR Archive Storage Administration for an
Integrated Workstation", depending on your Xcelera system configuration.
NOTE To run the DiskXtender Administrator, a user must be a member of one of the
following groups: Domain Administrators, Local Administrators, or DxAdministrators.
To run the MediaStor Administrator and administer the archive device, a user must be
a member of both the MsAdministrators and the DxAdministrators groups and be a

The workstations and servers are connected by a common data network and
are assigned to the Xcelera Windows domain. The transfer of images from
the imaging system to the Xcelera server takes place over the data network as
does the transfer of images from the Xcelera server to the archive server.

Images retrieved from an on-line DVD-RAM disk in the jukebox must be
copied to the file cache, forwarded to the Xcelera repository, and then sent to
the workstation requesting the study. The jukebox uses both sides of the
media and recognizes each side as a separate entity.
An Xcelera user can open an existing study on any workstation while using
the Xcelera Ultrasound Viewer or the Xcelera Cath application. Opening a
study can require the system to obtain images from any of the following
locations:
• Xcelera server repository
• Archive server file cache
• Archive storage media–on-line (available in the jukebox)
• Archive storage media–off-line
The Xcelera system automatically retrieves images from the location that can
provide them quickest. If the images are stored on an off-line DVD-RAM
disk, the system prompts the system administrator to place the disk in the
jukebox (see “Retrieving Off-line Media” on page 8-31).
DiskXtender can also be used in an Xcelera configuration in which all study
images are stored on magneto-optical disks (MODs). In such a
configuration, reports are accessed either on a hard disk drive or on the
MOD drive. Typical storage tasks performed for a single-MOD drive
configuration are:
• Swapping full media with blank media (or flipping over the media)
• Retrieving off-line media
• Making regular checks on disk space
The following table approximates the number of media disks required,
depending on the type of archive storage used, for various numbers of studies
performed. This number varies with the size of each study. Use the values in
this table as a general guideline.

Verify that the end time is earlier than the scheduled start time for the move-
to-media operation (see “Checking Move-to-Media Operations” on page 8-
8).

If you suspect a drive scan has not successfully completed, inspect the
DiskXtender event log (see “Checking the DiskXtender Event Log” on page
B-18).

3 Under File information, check the value of the Pending move field. If you
are performing this check early in the day, the value of the Pending move
field should be close to zero (0).
4 Select OK.

To view available space on the server’s NTFS drive that the DX application is
extending:
1 Run Windows NT Explorer.
2 Right-click the drive being extended (usually the D: drive), and select
Properties.
3 View Used space and Free space.

• Expand the Hardware icon to display subordinate options.
• Highlight the hardware device to display a drive information dialog box.
In the lower right pane, the Status entry should be off-line.
4 Gently push the magneto-optical disk into the drive.
5 Expand the Hardware icon.
6 Right-click the archive drive and select Set online.
7 Select Yes when asked to confirm your intention to set the drive on-line.

1 Start the MediaStor Administrator by selecting Start > All Programs >
Legato MediaStor > Administrator. Select the MediaStor splash screen to
increase the speed of the connection.
2 Display subordinate options. In the left pane, expand the name of the server
on which you installed MediaStor.
3 Expand the Hardware icon to display the names of available devices such as
DVD-RAM Jukebox (SCSI 1060).
4 Right-click the name of the archive device, select Set offline from the archive
device menu, and select Yes to confirm your intention to take the device off-
line.
5 At the front pane of the DVD-RAM jukebox, press Select. Exchange
magazines should appear in the display.
6 In the Exchange Magazine dialog box, press the left-most button. Select Yes
when prompted to take the changer off-line, and the front door on the
jukebox opens.
7 Insert the multidisk magazine, according to the instructions in your DVD-
RAM jukebox hardware manual, and then close the front panel. Cartridges
should be inserted from the bottom left first and then added sequentially
without skipping any shelves. Figure 8.5 shows shelf number assignments in
a single-column model; Figure 8.6 shows shelf number assignments in a
dual-column model.
8 Right-click the name of the archive device, and select Set online from the
archive device menu to display the Set Library on-line dialog box.
9 Select Inventory all shelves in this library. Note that inventorying all shelves
in a library can take several minutes to several hours to complete, depending
on the size of the jukebox and the amount of media in the jukebox.
10 Ensure that the default option Force a reset of hardware inventory is set.
11 Select “OK” to complete the insertion procedure.

Media formatting is a lengthy process that can take from 30 to 50 minutes to
complete for each media. After you have formatted and labeled the media by
expanding the Available Media category in the DiskXtender Administrator
left pane, the media appear in the Original subcategory and are available for
assignment.
Using a single-MOD drive, you need to insert and prepare at least two

4 In the list of media, select one or more media to prepare for image or report
data. Then, select Next to display the Media Prepare Manager - Format

bridge 001A and 001B. This bridging can cause serious performance
problems because the jukebox must flip disk 001 to access the bridged files.
The following sequence avoids this problem because the two (or more) drives
in the jukebox can simultaneously mount the physical disks associated with
any bridged files:

In this example, files on disk 001A will be bridged onto disk 002A, files on
disk 002A will be bridged onto disk 001B, and so on. Because the bridged
files occupy separate physical disks (001 and 002), the jukebox can access the
bridged files without flipping either disk.
Assign the A media units for two disks to the ImageDataGroup. Then assign
the B units of the same two disks to the ImageDataGroup. Repeat this
pattern until you have assigned the appropriate number of media units to the
ImageDataGroup.

changes if necessary:

NOTE After removing a magazine from a DVD-RAM jukebox, you must insert a magazine
(the same magazine or another one) in its place. Leaving the slot empty interferes with
correct inventory of the jukebox.
To swap multidisk magazines in a DVD-RAM jukebox:
1 Start the MediaStor Administrator by selecting Start > All Programs >
Legato MediaStor > Administrator. Select the splash screen to increase the
speed of the connection.
2 Expand the MediaStor Server icon.
3 Expand the Hardware icon, and right-click the name of the archive device,
such as Jukebox (SCSI 1060).
4 From the archive device menu, select Set offline.

You can add or remove disks at any time, even while the jukebox is in use, as
long as the media being removed is idle. If possible, choose a time when the
jukebox is least likely to be used.
Use DiskXtender Administrator to check for available media.
To swap disks in a jukebox:
1 Remove the media from the jukebox. See “Removing Media from a
Magneto-Optical or DVD-RAM Jukebox” on page 8-27.
2 Insert the media into the jukebox. See “Add Media—Inserting Media into a
Single-MOD Drive” on page 8-10.

When attempting to access a study that is not accessible on the Xcelera
server, DiskXtender Administrator displays a message indicating that the
study is stored on off-line media. This message contains the image label text.
Optionally, it can also contain additional text, such as where the media are
stored, for example, cabinet in E-112. Enter this text before taking the media
off-line.
To add text to media:
1 Select Start > All Programs > Legato DiskXtender > Administrator. Select
the DiskXtender 2000 splash screen to increase the speed of the connection.

2 To display the media folders, expand the extended drive.
3 Expand the media folder (for example, \ImageData\).

NOTE Philips recommends that the Move files to media event be scheduled on a daily basis,
after normal working hours and before the backup activities described in
Chapter 13 "Xcelera Backup Procedures". The process of moving files to optical media
can take 2 hours or more to complete, depending on the volume of studies performed.

As explained in “Modifying the Schedule for an Extended Drive Scan” on page 8-36,
drive scans should be performed before the Move files to media event. You should
schedule the Move files to media event to start at least 2 hours before the first
scheduled backup. Work with the system administrator to determine the appropriate
schedule.
To create a schedule of events for the DiskXtender extended drive:
1 Select Start > All Programs > Legato DiskXtender > Administrator. Select
the DiskXtender 2000 splash screen to increase the speed of the connection.

2 Right-click the extended drive name, and select Properties to display the

Be sure to schedule the activity Allow fetches from media for all blocks of

5 Select OK to close the Schedule dialog box.
6 Select Apply in the Extended Drive Properties dialog box, and then select
OK to close that dialog box.

A file in the file cache that has not been recorded on a DVD-R disk in the
jukebox or that is different from the file recorded in the jukebox is called a
dirty file. Periodically, the Archimedia system records dirty files on a DVD-R
disk during a flush operation. You must be sure that flush operations run
periodically to prevent the file cache from filling with dirty files. Deleting or
corrupting a dirty file causes permanent data loss.
A file in the file cache that has an exact copy on a DVD-R disk is called a
clean file. The Archimedia system creates a clean file in the cache when
retrieving a file from a DVD-R disk. A dirty file automatically becomes a
clean file after a flush operation records it on a disk.
Archimedia maintains a minimum amount of available space in the file cache
by periodically removing clean files using a purge process. Deleting a clean
file never causes data loss.

attribute). If this amount is over 6.0 GB, the system has not been able to
record dirty files on an empty DVD-R disk during a flush operation.
Double-click the bar to display a legend that explains the meaning of each

Flush operations are allowed every night. Review events in the Windows
Event Viewer to determine what happened when the Archimedia subsystem
last attempted to complete a flush operation.
If you are unable to clear the condition that is blocking flush operations,

may be able to check flush operations less frequently than once a day.

Estimating the Number of Empty Disks Required
Determine the number of empty disks required by estimating the space
needed to store all studies expected in the next three weeks. For estimating
purposes, use 100 MB per echo study and 250 MB per cath study.
Estimate the total studies to be completed by each Cath lab and each Echo
lab during the next three-week period and multiply by the appropriate factor
to determine the storage space required. Total the megabytes of storage space
required for all labs and divide this total by the capacity of one DVD-R disk
(4700 MB) to determine the number of disks required to store the studies.
Double this number to provide a backup for each disk recorded.
Be sure to provide a safety margin in your estimate. One way to provide a
safety margin is to use the average space required for studies completed
during a weekday and multiply by seven. If fewer studies are done on

weekends, then your estimate contains a safety margin. If the same number
of studies are completed every day of the week, add 10% to the total
estimated storage space to provide a safety margin.

wizard dialog box. To create a backup copy of the disk you just inserted,
complete the following steps:
• Select the option to make a duplicate backup disk, and select Next to

insert an off-line disk. First, remove a disk to create an empty slot and then
use that slot to insert the off-line disk. Maintaining 10 empty slots in the
jukebox at least once a week should minimize the need to swap disks.

It is not the intended use of the system to permanently store ePHI 1.
Information should be exported to a storage device as soon as possible.
Automatic logoff
The system supports automatic activation of the logoff function with
administrator adjustable expiration time.

Screen blanking
The system supports manual and automatic blanking of displays to prevent
casual viewing of ePHI. The system also supports password protection to
prevent any unauthorized access (for example, screen lock).
B.1 Overview
Having a readily available backup of the proper DiskXtender configuration
information is critical for recovery in the event of a system failure. The
following limitations of in-house or third-party backup software make such
programs unsuitable for backup and recovery of extended drives managed by
DiskXtender:
• Performance issues–Backup programs that are not NTFS-aware suffer
from performance problems when running with DiskXtender Data
Manager. Such programs often open files in normal mode, which causes
the actual file data to be fetched from the archive (as opposed to simply
backing up the file tag for the archived file). As a result, backups cannot

For DiskXtender version 5.50.033 and higher, the Meta-Data Export utility
replaces the DxDriveDump utility, which was used in earlier versions of
DiskXtender. The Meta-Data Export utility is automatically installed when
you install DiskXtender 5.50.033 or higher.
DiskXtender 2000 version 5.50.033 and higher contain several integrated
utilities that facilitate the creation and maintenance of a recovery plan. In the
event disaster recovery becomes necessary, Philips recommends having the
following critical backup components in place in order to recover
DiskXtender and its associated data on an Xcelera system:
• DiskXtender/MediaStor/License Server Repair Disk Information–You
can create a backup of your DiskXtender system configuration by using
the repair disk utility included in the DiskXtender Data Manager, License
Server, and MediaStor Administrators. These utilities save a backup of
critical DiskXtender components in the server’s registry.
• DiskXtender Data Manager Meta-Data Export Output–The Meta-Data
Export utility backs up DiskXtender meta-data (file tag) information.
Additionally, the new Meta-Data Export utility has the ability to back up
files that have not been migrated to archive media and, therefore, do not
have any DiskXtender meta-data information associated with them. This

feature provides complete restoration for those files in a pending state due
to a data migration that did not finish. See “Configuring the Meta-Data
Export Utility” on page B-13 for information on how to configure the
Meta-Data Export utility to back up unmigrated files.
• Media–You can back up the files on your media by creating a copy of each
piece of media. In the event the original piece of media is lost or damaged,
it may become necessary to replace the original with the copy. Copy media
have the same label as the corresponding original, but has a unique serial
number. Copy media can be created for each piece of media that is
allocated to an extended drive and appears in the Original node of the
Available Media tree. You can create copy media of all media types except
for NAS, EMC, TSM, CD-ROM, and DVD-ROM. For more
information on creating copy media, see the Legato DiskXtender 2000
Data Manager System Guide.
NOTE Both Legato repair disk information and Meta-Data Export output must be up to date
to ensure a successful recovery. If the repair disk information and Meta-Data Export
output are not up to date and synchronized, restoring a DiskXtender server and its
data can consume huge amounts of time and resources and can even result in data
loss. For redundancy, you must ensure that repair disk information and Meta-Data
Export output are backed up to a secondary medium, such as magnetic tape.
1 Use the Windows Explorer, if needed, to create a new folder on the system.
Philips recommends the name DXBackups (or something similar) for this
folder.
2 Right-click the folder and select Properties.
3 Click the Sharing tab and select the Shared As option. Enter the folder name
in the Shared Name field.
4 Click the Permissions button to display the Access Through Share
Permissions dialog box.
5 Remove Everyone from the list of account names that are authorized to
access the DXBackups folder.
6 Add the DiskXtender service name (Philips recommends dxservice) and the
local Administrators account to the list of authorized user names.
7 From the Type of Access menu, select Full Control.
The Access Through Share Permissions dialog box should appear as shown
in Figure B.1. When you are finished setting access permissions for the
shared folder, click OK.

3 Select Set the automatic repair disk location, and click Next to display the
Automatic Repair Disk Location dialog box.
4 In the Location field, enter the UNC path to the shared folder in which to
store the repair disk image. Use the shared folder described in “Creating a
Shared Folder for DiskXtender Backups” on page B-9 for this purpose. Click
Next to display the Summary screen.
5 Click Finish to complete the repair disk configuration for this Administrator.
6 A warning message informs you that any pending media tasks will not be
saved with the repair disk information. Click OK.
7 Repeat this process for all three Administrators.
To specify the number of days to retain repair disk images:
1 Start the appropriate Administrator by selecting one of the following from
the Start > All Programs menu:
- Legato DiskXtender > Administrator
- Legato MediaStor > Administrator
- Legato License Server > Administrator
Click the splash screen to increase the speed of the connection.

2 From the Tools menu, click Repair Disk to display the Repair Disk wizard.
3 Choose the Specify how many days to retain repair disk images option, and
click Next to display the Repair Disk Image Retention dialog box.
4 Assuming the location where the repair disk information is saved is being
backed up to tape on a nightly basis, Philips recommends that you set the
number of days to retain repair disk images to zero (by entering 0 in the Days
field). If multiple days of repair disks are kept (that is, the Days field contains
a value greater than 0), a significant amount of disk space may be consumed
by repair disk images. System administrators are advised to consider this if a
value greater than 0 is specified.
when the export is run are skipped at that time but are subsequently captured
during the next export. Work with the system administrator to schedule
DiskXtender backups.
To configure meta-data exports:
1 Select Start > All Programs > Legato DiskXtender > Administrator. Click
the DiskXtender 2000 splash screen to increase the speed of the connection.
Otherwise, the connection occurs automatically after a few seconds. The
DiskXtender Administrator window opens.
2 Right-click the extended drive that contains the meta-data you want to
export and select Properties to display the Extended Drive Properties dialog
box.
3 Click the Settings tab, and then click the Meta-Data Export button. The
Extended Drive Meta-Data Export dialog box appears (Figure B.2)

4 In the UNC Path field, enter the fully qualified name of the folder in which
you want to save the export output. Philips recommends that you use the
same folder created for Xcelera backups:
D:\XceleraDatabase\MSSQL.1\MSSQL\Backup
See Chapter 13 "Xcelera Backup Procedures" for more information on
Xcelera backups.
5 In the Full Export area, select the Force next export to be full option if you
want to perform a full export. This setting is cleared (which is the default)
when the export completes.
6 To set a regular schedule for Data Manager to create full meta-data exports,
select the Perform at scheduled interval option. (Selecting this option does
not affect the Force next export to be full option described in step 5.)
In the Full Meta-Data Export Frequency dialog box (Figure B.3), select Once
per week on and select a day from the menu.

7 Click OK to set the schedule and return to the Extended Drive Meta-Data
Export dialog box.
8 In the Advanced Options area, Philips recommends that you select the
Export Dx-managed files (meta-data only) option. This option should be
enabled for all sites. Because this option backs up the file tag (meta-data)
information only, it is critical that administrators are vigilant about checking
on a nightly basis to make sure files pending move to the archive are
successfully moved.
Any unmigrated data is at risk when the Export Dx-managed files (meta-
data only) option is selected by itself, that is, when the Export non-Dx-
managed (unmigrated) files (all file data) is not also selected.
9 Optionally, select the Export non-Dx-managed (unmigrated) files (all file
data) option (see Figure B.4). Note that if a large number of unmigrated files
exist, selecting this option can cause export data sets to become quite large
and take several minutes to several hours for the export to complete, based on
the number of files that need to be exported.
The selection of both this option and the Export Dx-managed files (meta-
data only) option typically results in the most complete backup if some files
have not yet been migrated; however, the Export non-Dx-managed

(unmigrated) files (all file data) should be used with caution and only at sites
where system administration is vigilant concerning nightly verification of file
migration.
NOTE Philips recommends that you do not select the Include files not in media folders
(all files on drive) option. This option should not be used on Xcelera systems.
