There is a facility through which new users can be created with appropriate passwords and existing users can be deleted and modified by the database Administrator. 4. ANALYSIS
System Analysis is the main feature of the software development. It can be said that it is the heart of any of the system. The analysis needs an expert supervision & the person should be minimum System Analysts with the experience of 2 to 3 years. One can use Analysis Tools to analyze the system.

4.1 Problem Definition


A Web Site is to be designed where the user can listen the music of his own choice. This site will be used by basically three types of uers - Anonymous user - Registered User - Administrator Anonymous user is user who is not registered and he can know about the website through the various links available on the home page. He can also listen the top ten audio songs from the available list. He can also become a registered user by clicking new sign up link.

Registerd users are those users who have given their personal details by sign up. A different kind of following facilities will be given to these type of users: - Searching of songs of his/ her ineterst on various criteria.

Basic Data Stores module is basically storing the master information in the appropriate data stores. The following mster files will be maintained

There should be provision to add, modify and delete the information from the respective data stores; Administrator has the facility to maintain these data stores. New User Registration module deals with the registration of new users to the web site. The user has to provide the personal details in order to get authorized user and password. Music Search is basically searching for songs on the basis of various criteria, In Download Music the Registerd users can download the songs on their local computers. 8. LIMITATIONS: 1. Because of using the Graphical User Interface the output or the quality of the reports are very good but are slower and costly to print.

2. Although we have given required field validations but immense care has to be taken while entering the data because any mistakes in entering the data in any of the fields might result in innumerable numbers of mistakes in the reports generated.

3. The provision of consolidated yearly salary printing is not there in the proposed system but it can be developed and implemented in later stages. The personal and other information like leaves and salary increment of the employees can be displayed on the Web pages on the Internet, so that the information can be accessible in all branches of the company. For the present this feature is not available in the proposed package, but it can be implemented in the near future.

Program structure is the field structure of each module. Data Structure is used to specify the Records of the forms. Primary key and the other relations among the tables are also based on the data structure. We are using a database of ORACLE with user sample and Password project.

END USER SUPPORT The proposed system is developed in Oracle Server and Visual basic. If proposed company increases engineers it just has to add more machines and install the client software on it, which is in the form of EXE.

SECURITY There are basically three level of Security low, medium and high. The high level security users have to fill the ACR Reports, handle top management queries and reports.

Users having Medium Level of Security has to do all the data entry part regarding employees personal details, their job experience, educational qualification, leave taken etc.. .

Low Level Security Users has to handle day-to-day inquiries like when the next increment due, contact person details and leave balances.

LARGE DATABASE SUPPORT SQL Server supports large databases. This means it can support large number of complaints without delay in query process.

UNLIMITED USERS The proposed on line complaint monitoring system can support unlimited number of users. A number of engineers can simultaneously fill their call report through this software.

5.3. 2 Employee Registration Process: In this particular process the related data will be entered in the following tables Employee Table This stores the personal details of the employees like employee no, employee name, department, designation, address for communication, phone nos, email, qualification, years of experience, experience summary.

There should be a provision to create a New Record, Modify the record, and delete the record in all the tables mentioned above. 1. Employee Detail This report is based on the personal details of the employees who are working in our organization. You can print the details of the employees of a particular range. The output of the report can be sent to file or printer. 2. Department List This prints the details of the department available in the organization. The output of the report can be sent to screen, file or printer. 3. Designation List This prints the details of the designation available in the organization.

Salary Report: This gives the employee id, name, basic, DA, HRA, CCA, PF, ITAX, Special Allowance, Loan Amount1, Loan Amount2, Total Earning, Total Deduction and Net Salary This is basically department wise Salary detail report. Department wise total salary is also calculated in this report. Total Earning = BASIC + DA+ HRA+ CCA+ Spl. Allowance Total Deduction = PF+ VPF+ITAX+Loan Amount1 + Loan Amount 2 Net Salary = Total Earnings Total Deductions

5. Audit Trail: For the security reason, we are maintaining the log of various users along with the date and time they have used the PIS Software. The following information is stored in the Audit Trail data store. User Name, Date, Time, Remarks The Audit Trail report can also be generated from the above mentioned table.

5.4 Input/Output Screens Input Screens are designed using Visual Basic Windows Forms. Proper Validations are applied on the Validate Event and the Lost Focus Event of the appropriate Controls. The Output Reports are generated using the Crystal Report tool given in Visual Basic. The detailed Input and Output Screen are enclosed in the Annexure (I)I

6. CODING In this software we have used Visual [Link] Programming language as a front end and ORACLE RDBMS as a back end. Mostly the data input screens are designed using ADO object connectivity. Reports are made using Crystal Report and ODBC Environment is used to provide the connectivity with the database object. For parameter passing reports we have made the connection using Microsoft ADO Object library 2.0. We have used a single connection with the ORACLE database and it is mentioned in the startup module by making a main procedure.

Hardware Requirement As this project can be implemented in LAN also by doing slight modification in the connection string defined in the various forms and we have to create DSN. If we have to implement it on Network we require Server as well as Client. In our case we implemented it on standalone machine.

Database is created in Oracle 8 and Visual basic is used as Front End to provide a GUI based user Interface. The project coding is enclosed in Annexure (II) 7. TESTING In this section we have tested our system in different modes. Thorough testing is required to run the project at client end successfully. We prepared a number of test cases and input the data from the developed software and saw their impact in the final reports for example let us take a case when the employee joins the company. First we record the personal details, Qualification, previous working experience and salary details. After entering the records we generated various reports and queries and check the impact of the data on the reports. . This was the simple case then we took a little bit complicated by giving various level of security to the users and then see the impact on the MDI forms options. In this way we tested the entire software thoroughly.

Test Case I Let us take a case when the Employee is hired in the organization and his information is to be entered through input forms and must be stored in the employee table and qualification in the qualification table. We have entered the basic salary of some employees and then take out the salary slip and other reports and found ok as per our manual calculation.

Test Case II After entering the data through input screens, we have generated all the reports and match the query results with that of manually prepared reports and answers of the queries to check the validity of computerized Reports and queries. We found them 100 % correct.

Test Case III We invoked the software with different users at different times and dates and then printed the Audit Trail report and found it satisfactory.

8. SYSTEM IMPLEMENTATION On server, we have to run a SQL script named [Link]. This will generate all the required tables to run the software in the Oracle database on the server. The contents of the script are as follows. 8.1 Database Creation Script Login to oracle SQL with the following login and password: Login Password And now run [Link]. The script is enclosed in Annexure (III) : Sample : Project

Then we can run the setup file available in the CD to install the software in the appropriate directory.

The Database Administrator (DBA) will take backups at regular intervals. The backup of data is taken by export utility which creates a DMP file consisting of table structures, data, grants, views and other data base objects like procedures, functions and triggers.

The backups can be restored at the time of crash using Import utility. This recovers the entire information from the DMP file.

5. SYSTEM DESIGN

Designing of this software is done with high cohesiveness, i.e. there is a minimized interaction between two different modules. There is no intra modular relationship between modules. Most of the modules are self-independent. At the same time modules are loosely coupled i.e. inter modular relation exists. Hence the Software is loosely Coupled and Highly Cohesive.

Designing part includes its Data Flow Diagrams, Database Tables, Process logic of each and every module, Input design and Output design. Input design includes input screens such as user login screen, Employee registration screen and password inquiry screen etc. and Output design includes output screens such as Balance leave screen and output Reports.
