Guidelines for Practical File Submission

Students are required to create a hypothetical event plan and research report,
covering all the stages of event management. This document must be neatly presented
and well-researched. Below are the required sections for submission.

1. Cover Page & Index

• The cover page should include:


o Student’s Name
o Roll Number (Class & PU PIN)
o Course & Semester
o Title: "Event Management"
o College/Department Name
• A neatly formatted Table of Contents listing all sections.

2. Introduction to the Event (5 Marks)

• Choose a hypothetical event (Example: Music Concert, Business Conference,


College Fest, Sports Tournament, etc.).
• Give a brief introduction to the event, including:
o Name of the Event & Theme
o Type of Event (Corporate, Social, Cultural, Sports, etc.)
o Theme & Purpose of the event
o Target Audience
o Expected number of attendees
o Event Marketing MIX

3. Pre-Planning & Research Report (10 Marks)

This section should include detailed research on planning and preparation for the
event.

A. Event Planning and Logistics

• Venue Selection (Hypothetical location, reasoning for selection)


• Date & Time of the event
• Seating Arrangements & Layout: Arrangements for seating, lighting,
decoration, stage setup, security, parking, etc. (Attach a rough sketch if
possible)
• Permissions & Legal Requirements (If applicable, e.g., licenses for concerts)

B. Budgeting & Financial Planning

• Estimated Budget: List possible expenses (venue, food, marketing, staff,


speakers, etc.)
• Sources of Funding (Sponsors, Ticket Sales, etc.)

C. Marketing & Promotion Strategy

• Promotional Channels (Social media, Flyers, Radio, Influencers, etc.)


• Provide sample content for marketing
• Expected Reach & Engagement Plan
• Event Branding & Publicity

4. Execution Plan & Responsibilities (5 Marks)

• Team Structure & Role Assignments: Define key roles in the event (e.g., Event
Manager, Marketing Head, Logistics Coordinator).
• Describe responsibilities of each role.
• Checklist for Event Execution
• Expected Challenges & Solutions
• Identify possible risks & Suggest backup plans

5. Hypothetical Post-Event Report (5 Marks)

• Event Execution Summary


o Describe how the event was hypothetically conducted.
o Mention challenges faced and solutions applied.

• Evaluation of the Event’s Success


• Post-Event SWOT Analysis
• Compare planned vs. actual hypothetical budget.
• Feedback Collection Methods (Surveys, Online Reviews, etc.)

• Headings: Bold and Clearly Numbered
• Diagrams/Pictures: Neatly labelled if included
• Page Numbers: At the bottom of each page
• Minimum Pages: 15 (Excluding Cover Page & Index)
• Images & Graphics: Students are encouraged to add mock-up posters, charts,
event timelines, and sample invitations.
