RFI DESCRIPTION
Eco Green Organics is seeking to gather information from different potential warehouse providers who
can be able
to achieve our needs for cold storage services for perishable food products. Based on that, we request
that you can provide detailed information for the following questions.
1. Cold Storage operations:
What´s the total storage capacity in your facilities?
What are the mechanisms to control and monitoring the temperature at your facilities?
2. Perishable goods experience.
How many years of experience do you have handled any type of perishable foods?
What protocols do you follow to ensure the freshness of the food?
3. Inventory, Repackaging and Labeling.
What kind of inventory system do you use at your warehouse?
What repackaging and labeling services process your warehouse can offer?
4. Additional Services.
Do you have relevant certifications to handle organic products?
What other services do you offer that could benefit our process?

Background
EcoGreen Organics is looking for a warehousing service to help with the distribution of our
organic food products. The services include: cold storage, order fulfillment, inventory
management, quality checks and reporting.
Cold Storage
Maintain cold storage at the facilities
Monitor the temperature
Protocols of prevent reduction of temperature.
Order Fulfillment
Process and fulfill the different orders in a properly way.
High percentage of orders accuracy
Inventory Management
Implement systems of inventory management to track levels of stock and locations.
Provide real time inventory to the company.
Handling Procedures
Procedures for receiving, storing and dispatching goods.
Maintain proper procedures for perishable items in order to prevent damage.
Quality Checks
Check quality process in all the process of the goods to keep the standards.
Report any quality problem to the company.
Deliverables:
Monthly performance and inventory reports.
Quality issues reports
Updates in the service innovation and improvements.
Timeline
Contract duration: 1 year
Review and renewal options: to be determined
Evaluation, Metrics and Review
Follow standards or order accuracy, inventory, and temperature control.
KPIs to be reviewed quarterly.
Conditions for termination of the contract by both parties to be determined.

fulfillment, and value- added service.
