Good afternoon ,dear audience

I am Tanzila Ruhi

Today, we’ll explore essential skills to overcome communication challenges, a common


obstacle that often disrupts project teams and hampers their success. Communication forms
the backbone of collaboration, and mastering it not only drives progress but also fosters
harmony within teams.

As we’ve seen earlier with the six-member marketing team, communication challenges can
quickly escalate. Meetings become chaotic with interruptions, unclear roles, and vague
objectives. Dominating voices and silent participants create imbalance, leading to missed
deadlines, frustration, and project delays.

Communication barriers act as a primary cause of team inefficiency. The good news is that
these barriers can be addressed by developing these key skills: Active Listening, Clear
Messaging, Feedback Skills, Role Clarity, Context Awareness, and Inclusivity and Empathy.
Now I will discuss the first three key skills and my teammate Sadman Sahil will discuss the
following key skills later.

Let’s start with Active Listening. This involves more than simply hearing words; it requires
full focus, paraphrasing for understanding, and asking clarifying questions. For example,
during a meeting, you might say, “To confirm, are you suggesting we extend the deadline by
two weeks?” This approach ensures mutual understanding and demonstrates that the
speaker’s input is valued. Active listening minimizes misunderstandings and promotes
collaboration, as it would have in the marketing team’s situation.

Next, Clear Messaging. Even skilled listeners can’t overcome unclear communication.
Vague instructions like, “Can someone handle the marketing?” leave room for
misinterpretation. A better approach is to address the particular person and say please
prepare three social media posts by Friday.” Clear, specific instructions eliminate confusion
and keep tasks aligned with goals.

Third, Feedback Skills. Effective feedback is about guiding improvements, not criticism.
Instead of saying, “This report isn’t good enough,” you could suggest, “The structure is great;
can we add more data to the analysis?” Feedback should be timely, specific, and actionable,
helping to align efforts and reduce frustration.

By cultivating these skills, one can effectively overcome communication barriers and
transform their team into a cohesive, high-performing unit. Remember, communication is a
skill that can be developed, and its impact extends beyond projects to shape a positive
organizational culture and drive success.

Imagine a sports team where players don’t know their positions—it’s chaos.

Similarly, in project teams, unclear roles lead to duplication of efforts, missed


deadlines, and frustration. Clear role definitions ensure accountability and reduce
misunderstandings.

When responsibilities are clearly outlined, everyone understands their tasks, and
projects run more smoothly. For instance, a team where one person focuses on data
analysis, another handles client communications, and another oversees social media
ensures that each task is aligned with the group’s goals. Without this clarity,
confusion and delays can quickly arise. Clearly defining roles from the start helps
streamline workflows and prevent unnecessary overlaps.

[Context Awareness – 1 minute]


"Next is context awareness, which is equally crucial, especially in diverse teams.
Teams often consist of members from different cultural or professional
backgrounds. While this diversity is valuable, it can lead to miscommunication if not
managed properly.

For instance, some cultures prefer direct communication, while others rely on subtle
cues. Being aware of these differences minimizes misunderstandings and enhances
collaboration.

needs to be done by Friday.” On the other hand, cultures such as Japan may favor
indirect communication, relying on context or subtle hints to convey meaning, such

In one of my projects, we faced challenges due to contrasting communication styles.


Some team members preferred a direct approach, while others found it
confrontational. By acknowledging these differences and adapting our
communication strategies, we fostered a more cohesive and respectful team
dynamic."

[Inclusivity and Empathy – 1 minute 30 seconds]


"Finally, let’s focus on inclusivity and empathy. In many teams, louder voices tend to
dominate discussions, leaving quieter members hesitant to contribute. This results
in missed opportunities for fresh ideas and disengagement.

Inclusivity ensures that everyone’s voice is heard. A simple yet effective strategy is to
use round-robin discussions during meetings, where each member has a chance to
share their opinions. Another approach is directly inviting quieter members to
contribute. For example, asking questions like, ' what’s your take on this?' can unlock
valuable perspectives.

Empathy ties into inclusivity by encouraging team members to understand and


respect one another’s viewpoints. This builds trust and strengthens collaboration. In
the marketing project, we noticed some members remained silent during
brainstorming sessions. By fostering a more inclusive atmosphere, we discovered
innovative ideas that significantly improved our campaign’s outcome."

"In conclusion, effective teamwork requires role clarity, context awareness, and
inclusivity combined with empathy. When team members know their responsibilities,
appreciate diverse communication styles, and ensure everyone feels valued, the

ideal—they’re essential for success in today’s diverse, fast-paced work settings.
