1. Introduction
Project management is the process of planning, leading, organising and controlling. It
also uses methodology in order to attain the goals and also aims to control the
scope, time, quality and cost. Project management methodology has therefore been
proven to be an important tool with several applications for human resources
management. Methodology usually discuss on procedures and rules used by people
working in an orderly manner. There are different types of methodologies such as
RIBA, Agile, Waterfall and Prince 2 that are used for different types of projects and
this assignment will discuss on Prince 2 methodology.
2. Prince2
Prince 2 is a project management methodology which was set up by the CCTA in
19889 and developed by the OGC. It is a method that is mostly accepted for
managing projects and is mainly used for public contracts such as schools, libraries
National Health Service and others. Prince 2 is so straightforward and simple that it
can be applied to all kind of project and irrespective of project scale, organization,
geography, culture and other. For a project to be successful, a plan is very essential
because all activities will be performed in a project must have a sequence. For this a
Project Manager must have a good monitoring on the whole project. For example for
construction of a building, there are many activities that must be performed in order
to achieve the goals of the project. There might be some activities where they have
to wait for another activity to complete so that they can start and there are some
which may start at any time. Therefore to allocate resources such as human and
materials, a good planning is very important and the plan must be in such a way to
avoid delay and also the project respect the budget as well. It might be that
everything is going on well but this might be a chance where to increase the profits of
the project by speed up the works. This will be decided by the Project Manager of
how to proceed, by either to take necessary action or applying events for
improvement. The objective of Prince 2 is to give the correct information to the right
person to take necessary actions. The six factors that must be controlled while
managing a project are time, cost, quality, risk, benefits and opportunities. Therefore
Prince 2 is structured is a way states the planning, monitoring, delegating and
controlling all the factors of a project.
3. Process of Prince2
Prince 2 has seven processes which have to be followed in order to achieve the goal
of the project and make it make it successful.
Starting up a project
The first process is starting up a project and this is to make sure that the project has
all the requirements to be initiative. In this process a team is recruited and a project

brief is prepared. This will help them to make to make a proper planning for the
coming stages.
Directing a Project
Then next process is the Directing a project and its task is to allow the project board
to be liable for the success of the project by making key decisions and working out on
the control while delegating management of the project. Its objective is to make sure
that there is authority on initiate and completing the project. The project’s life must be
provided with a good management direction and control in order to make it
sustainable.
Initiating a project
Initiating a project is the next stage and its purpose is to create good details for the
project so that the working team can understand all the requirements for completing
the project. Its objective is to make sure every individual in the team understand the
project well such as the aims of the project and what benefits there is behind along
with the risks.
Controlling a stage
The next stage is the controlling a stage and its purpose is to supervise the work and
find solutions to problem that will be arising and to report the progress of the of work
to the Project board and take necessary actions where it requires, to make sure the
all working is being respected according to the specifications. The aim of this stage is
to make sure whether consideration is being given to the project and to monitor the
risks and issues as well.
Managing Product Delivery
Managing Product delivery is the next stage of the process and its purpose is to
monitor the relation between the Project Manager and the team manager whether
everything is being done well and if there is a need for the continuation of the work
and completing the work. The aim is to make sure whether authorisation to work on
products is given to the team also if arrangement has been made. Its other objectives
is to ensure everyone is aware what type of products are being produced and the
expectation in terms of cost and timescales.
Managing a Stage Boundary
The next stage is the Managing a Stage boundary and its purpose are to give
information to the project board about the progression of work. Thus these will an
indication about the success of this stage and they can plan the next project. The aim
for this stage is to guarantee the Project Board for the completion of the products
along with its agreement. The team can make the plan for the coming stage.

Closing a Project
Finally the last stage of this process is closing a project and its purpose is to give a
confirmation at which point the product can be approved. Its aim is to check the
reaction of the product’s users and analyse the performance of the project in contrast
to the baselines. Also to make sure that setting up has been prepared to address all
matters and risks with follow-on action approvals.
4. Benefits
The advantages of Prince 2 are that it can be applied to different types of project and
is very simply applicable together with specialist. Also that is uses simple languages
so that people can understand its principle and thus this brings good operative
communication. Prince 2 is structured in a way that people can understand each
other’s tasks and demands, therefore it favours to the accountability, authority,
delegation and communication. Plans are made in such a way to attend the needs of
all levels in the management team, brings better communication and control. It helps
to give a consistency of project work and has the ability of using again the project
assets and that is it also enables the mobility of works and decreases the impact of
personal changes. To suit project environment, the principles, processes and themes
inside Prince 2 can be tailored without any difficulty. It is a very important tool that
helps to simplify the assurance and assessment of project work.
5. Disadvantages
However Prince 2 does not cover all people management techniques such as
motivation, delegation and team leadership as theses cannot be codified in a method
or a process. There are other thing like techniques for estimation and scheduling,
such as Critical Path Analysis, Gantt charts and Delphi. Organizational change
management, purchasing and contract management, budgetary control techniques
such as earned value analysis are things that do not cover by Prince 2. Prince 2 does
not make use of Building Information Modelling (BIM).
Based on the benefits of Prince 2 it seems that it can be useful for the development
of a project. It is very applicable to all type of project. Work will be done in an orderly
manner as the works in being separated in different stages. Therefore it will be very
professional by applying the method of Prince2 in a project as it is well structured too.
There will not be a problem of communication between workers in the project team
as Prince2 uses simply vocabularies and delegate its work in a very professional
way, thus everyone understand their roles.
6. Tools.
There are several tools that can be used to assist in the delivery of a project. One of
the common tool that is used in Prince2 is checklist. This will give an idea about the
quality of the product. Since Prince2 have different stages, it is therefore like a

checklist report and this will facilitate the task of a project manager to find whether
they miss of something during the working stages. A checklist will cross check the
works against the planning, and this will determine if there is still more to do on a
stage. If everything is going on well according and is according to the plan and
specification, therefore they can move in the next stage. By this, the project manager
will have an idea when to start the following stages and he will know exactly how
resources can be distributed also how much resources will be required.
Reports are management tool that give the correct information about the project
whether everything is well completed of something is lack behind. There are different
reports at different stages such as check point report, end project report, issue report,
lessons report and finally the product status account. These reports help to take
necessary actions where it is required.
Benefits review plan is another tool another tool that is used to help the project board
to know about the benefits of a project and how can it be made. This plan is updated
at every stage but is mainly used in the final stage to know exactly about the benefits
of projects.
There is another tool that is used to certify the validation of the responsibility of a
project and this is called business case. There are other tools such as risk register
and communication Management strategy that are used to assist in the delivery of
the project.
7. Conclusion
To conclude, it has clearly show that Prince2 has bring lots of changes in working out
project along with its advantages such as it is applicable to all types of projects, it
uses simple languages so that people can understand well their tasks and job. It
uses tool to find identify problem arising in a project and facilitates the tasks of
Project Managers to find solution.
