Minutes of the Meeting (MoM)
Meeting minutes are notes that recorded during a meeting. They highlight the key information that are
discussed, motions proposed, or voted, and activities to be undertaken. The minutes of a meeting usually
taken by designated member of the group. Their task is to provide an accurate record of what transpired
during the meeting.
Introduction: Date, venue, attendees, absentees
Proceedings: Agendas of the meeting and important details about it.
Signatures: Signature of secretary, president, and organization adviser
Documentation: Photos after the meeting
Resolution Paper
Organizational resolution are contain actions related to the organization, and incorporation of a company that
are taken or adopted by the Board of Directors.
It is the legal document that provides the rules abd framework as to how the board can act under various
circumstances

Title: The concern should be addressed in the title.
Body: Process of solving the concern.
Signatures: Signature of the officers and adviser
Invitation Letter
An official invitation letter that is written to higher authorities or distinguished officials to invite them to
attend or be part of a particular event
Project Proposal Letter
A formal letter which purpose is to bid and close a business agreement with another. A proposal can be
along-term engagement or short-tern. This proposal letter can be a continuous business agreement, or to
offer one’s services for an event. In any case, the intention of the letter is to persuade to have an agreement
with the sender.
Parts of a Letter
Heading: Company name, address, and contact information
Date: Put the date the letter sent. Do not abbreviate the month and always include the four digits of
the year
Address: Address of the recipient
Salutation: This is how you will address the recipient. Do not use ‘Dear’. If the recipient is unknown,
just use, ‘To whom it may concern’.
Body: The body is the longest part of a letter and is usually divided into three subcategories:
introduction, main content, and summary, the introductory paragraph states the purpose of the letter. The
main content conveys all necessary detailed information and has no set length requirements. The last
paragraph summarizes the information provided, restates the letter intent, and offers either instructions, or an
inquiry regarding follow-up correspondence.
Complementary Close: The complimentary close is a word or short phrase that basically means
‘Goodbye’. ‘Sincerely’ is the most common closing remark. Other include ‘Cordially’, ‘Best wishes’ and ‘ Best
Regards’. The complimentary close can vary in degrees of formality and is dependent upon the relationship
between the sender and the recipient.
Signature: In letters that are sent via email. The signature is simply the sender’s name and title typed
immediately below the complimentary close. When a letter is mailed, faxed, or hand-deliverd. However, there
should be a large enough space below the closing and above the typed name and titles for the sender to
provide her written signature.
Project Proposal
A project proposal concisely describews what your project hopes to accomplish, why those objectives are
important, and how you intend to achieve them. In more general terms, it makes a case for what you plan to
do. It includes: title of the activity, proponent, rationale, objectives, mechanics and implementation, contact
persons, and budget estimate.
Accomplishment report
It is a carefully prepared status report that details an overview of what was achieved in a specified period of
time. It includes: date, title of the activity, objectives of the activity, clientele, resource or budgetary
requirement, output, and documentation.
