Configuring Student (VCCS) Email

Accounts on a Mobile Device

Student email accounts that are provided through VCCS are Gmail accounts.

To configure a VCCS email account, ending in @[Link], on a mobile device, follow the
instructions below.

1. Ensure that the student VCCS email account has both POP and IMAP enabled.

a. Have the student to login to MyReynolds by going to [Link] and

enter their username and password.

b. Once they have logged in, have them to click the Gmail icon.

c. In Gmail, click on the gear icon in the top-right portion of the window
and then select Settings.

d. Within the Gmail Settings, click on Forwarding and POP/IMAP.

e. Under the POP Download: section, make sure that the radio button is selected for
Enable POP for all mail (even mail that’s already been downloaded) option.

1
f. Under the IMAP Access: section, make sure that the radio button is selected for
Enable IMAP.

g. Click the Save Changes button if necessary.

2. On the mobile device, the student will open the appropriate mail app where they will
connect to their student VCCS email account.

3. The app will ask for an email address and a password. The student will type in their full
VCCS email address, including @[Link], and their current password.

Tip: There may be an option to show the password. The student should select the
option to verify that the password was typed correctly.

4. The app may have an option to manually set up the account; the student should click on
it to provide some additional information.

5. The student will need to choose what type of account they want to configure. There are
two options that can be chosen: POP3 or IMAP.

Tip: POP3 stands for Post Office Protocol version 3 and is used to download local copies
of messages from the email server. IMAP stands for Internet Message Access Protocol
and is used to manage messages directly on the email server.

6. If the student chose POP3, they will need to enter the correct POP3 server address in
order to retrieve their messages from their email account. As student email accounts
are Gmail accounts, the POP3 server address they will enter is [Link]. SSL
(Secure Socket Layer) or TLS (Transport Layer Security) must be enabled; the port
number should change to 995.

If the student chose IMAP, the IMAP server address they will enter is [Link].
SSL or TLS must be enabled; the port number should change to 993.

7. The student will need to configure their SMTP server settings. The SMTP server address
they will enter is [Link]. SSL or TLS must be enabled; the port number should
change to either 465 or 587. Also, make sure that the Require sign-in option is checked.

Tip: To increase security of email accounts, most mail servers (including the ones that
are used by VCCS) require users to authenticate, or sign in with a username and
password, before emails can be sent. This is the reason that the Require sign-in option
should be checked.

8. If the previous settings were properly configured, the student can choose how often
they can synch emails downloaded on their phone with what is on the mail server. By
default, synching occurs every 15 minutes, but can be changed based on user
preference.

9. The final options that the student can set are to give their email account a name and to
type in a display name that will be displayed on sent messages.

Tip: It is optional to give a name for the email account, but can help the student
recognize which account they are viewing, if they have multiple email accounts
configured on their device. The name can be something simple such as My School
Email.

The name that is displayed on sent messages should be something that is professional
(e.g. John Doe) since it is the form of communication that is used to connect to
instructors, staff members and other students. Students should refrain from using
nicknames, curse words and other objectionable or controversial language to avoid
violation of any student conduct policies.

When setting the display name for their email account, students should choose a professional name, such as their full name (e.g., John Doe), as this name will be shown on all sent messages. It is important to avoid nicknames, curse words, and other objectionable language to maintain professionalism and adhere to student conduct policies .

POP3 is used to download local copies of messages from the email server, meaning emails are retrieved and stored on the client device, and they may be deleted from the server after download. In contrast, IMAP manages messages directly on the email server, allowing users to view emails as they exist on the server and synchronize them across multiple devices. IMAP generally offers more flexibility for managing emails from different devices compared to POP3 .

To enable POP and IMAP on a VCCS email account, students must log in to MyReynolds, go to Gmail settings, and click on ‘Forwarding and POP/IMAP’. They then need to select the option to enable both POP and IMAP. This setup is necessary for email client applications on mobile devices to properly access and manage emails, either by downloading them locally using POP or syncing them directly with the server using IMAP .

SSL (Secure Socket Layer) and TLS (Transport Layer Security) are protocols that encrypt the connection between email clients and servers. Enabling SSL or TLS ensures that data, including email login credentials and message content, are transmitted securely and cannot easily be intercepted by malicious third parties .

Requiring user sign-in for SMTP server settings increases the security of email accounts. It ensures that emails can only be sent after authenticating with a username and password. This prevents unauthorized users from sending emails through a secured server, which helps in combatting email spoofing and other forms of email abuse .

Sync settings determine how frequently the email client updates with the server. Adjusting the sync interval can affect battery life, data usage, and the timeliness of receiving emails. A longer sync interval conserves battery and data but may delay email reception, whereas shorter intervals ensure prompt delivery but can drain resources more quickly. Students must balance these factors according to their priorities .

A user might choose IMAP over POP3 because IMAP allows them to access and manage their emails directly on the server, offering synchronization across multiple devices without duplicating emails locally. This flexibility is useful for users who access their emails from various devices or locations. In contrast, POP3 is more suited to those who only need email access from a single device as it downloads and often deletes emails from the server .

Naming an email account descriptively helps users, particularly those with multiple accounts, to easily identify and organize different email addresses within a single application. This clarity reduces confusion, aids in effective email management, and ensures efficient communication by preventing sending or checking emails from the wrong account .

If issues arise after configuration, students should first verify settings including email and server addresses, port numbers, SSL/TLS encryption, and ensure the correct selection between POP3 or IMAP. Checking for proper sign-in and correct password entry is crucial. Restarting the mail app or the device, re-entering account settings, or testing connectivity can also help resolve common issues [This is inferred from the processes in Source 1].

Selecting incorrect port numbers during email configuration can lead to failure in establishing a connection between the email client and server. For instance, failing to set the port to 995 for POP3 or 993 for IMAP may prevent the retrieval or synchronization of emails. Similarly, incorrect SMTP port settings (not using 465 or 587) might hinder the sending of emails, impacting communication and access to email services .
