Bynari Insight Connector Installation Guide for Outlook XP

Overview: The Insight Connector was designed for the purpose of replacing high
maintenance and high TCO MS Exchange servers with low maintenance IMAP mail
servers such as the Insight Server. The Insight Server version 3.5 can provide
virtually all of same functionality as the Exchange server, is easily maintained, and
can be purchased for a fraction of the cost of its Exchange counterpart. Exchange
services are not required for any part of the Connector functions.

• Download the Connector .zip file and extract the contents using an
unzip/decompress utility, such as WinZip.

• Make sure the version of Outlook that has already been installed is XP and that
you already have an account activated on your Insight Server or other IMAP
server of your choice. Note: that all of the connector features may not be
functional with IMAP servers other than the Insight Server. With Outlook 2000
we recommended using Corporate and Workgroup mode for use with the
Connector, however Outlook 2000 no longer supports this mode and it is not
required that Outlook XP run in this mode for the Connector to function correctly.

• Outlook should be closed before installing Insight Connector. After Outlook has
been closed, run the Connector installation utility and install the files to the
programs folder of C drive.

• Click on Start | Settings | Control Panel | and double click Mail (in Classic view).
You should get this screen:

• We recommend that you create a new Profile along with a new .PST file. To
create a new profile, on this screen, click ‘Show Profiles’. And you will get a list
of all your profiles. Click ‘Add’ to create a new profile.

• Enter in the new profile name and click ‘OK’. In this case ‘User1’. You will then
get this screen:

• Leave it on ‘Add a new e-mail account’ and click ‘Next >’

• Select POP3 (it is important that you do NOT select IMAP) from the list and
click ‘Next >’

• Under the field ‘Your Name’, enter in the user’s name. This name is what will
show up when emailing other people. Under ‘Incoming mail server (POP3)’,
enter in ‘none’. Under ‘Outgoing mail server (SMTP)’, enter in the hostname or
IP address of the mail server. Under ‘User Name’ and ‘Password’, enter in the
user name and password that was set up on the mail server. Then click ‘Next >’,
and click ‘Finish’.

• You will now notice that your profile has been added to the list:

• Now you will need to setup a new PST file. On this screen, click ‘Properties’:

• Click ‘Data Files’, then click ‘Add’, and ‘OK’. It will then ask you to name your
PST file, then click ‘OK’. In this case ‘User1’:

• You will then be asked to name your Personal Folder. To make it simpler, name
your folder the same name as the PST file, and then click ‘OK’ and ‘Close’. In
this case ‘User1’:

• You will then return to this screen:

• Click ‘E-Mail Accounts’.

• Leave it on “View or change…” and click ‘Next >’. At the bottom left of this
screen:

‘Deliver new e-email to the following location:’ should be changed from the default
Personal folder, to the folder you created a few steps back. In this case that folder is
named ‘User1’. Then click ‘Finish’. And then ‘OK’

• You can now open up Outlook XP.

• When Outlook is opened for the first time after the InsightConnector has been
installed, the Connector wizard should appear and ask for the following
information:

Hostname: HostNameofInsightServer
Port 143: Do not alter; this is the default port for the IMAP mail server.
Login: The username on your Insight Server or other IMAP server.
Password: The password for your account on the Insight Server or other IMAP server.

• Now press the ‘Ping server’ button. ‘Ping server’ will check for connectivity and
authentication. If ping is unsuccessful your Outlook client may not have network
connectivity, or the Insight Server was unable to authenticate the username and
password you entered, or both. If you choose to quit at this time the Connector
wizard will ask if you would like to restart the wizard the next time you open
Outlook.

• Click the ‘Next’ button and select an existing PST (Personal Folders) file using
the radio buttons if you already have an account setup. Select the new PST file
that you previously made. In this case User1. If you do not want to use any
existing accounts you also have the option to create a brand new PST file.
Highlight your chosen PST file and click the “Next” button.

• The next page describes the manual configuration of internet mail which is only
necessary to perform if you already had an existing PST account prior to
installing the Connector. For new users the steps for creating an internet mail
service were performed before using the Outlook account wizard and were
described earlier in these instructions. For the complete manual configuration of
the Outlook/Connector services please refer to the Manual Configuration of the
Connector guide

• Click ‘Finish’ and the Connector wizard should now be finished.

• If you ever need to find the version of Connector you are running, click the Help
button on the Connector toolbar.

• Now close Outlook so that the changes can take effect.

Adding Insight Server LDAP Directory to Outlook

• Open Outlook XP and go to Tools/E-mail Accounts in the Outlook and start the
Outlook wizard for creating LDAP directory services.

• Select Internet Directory Service (LDAP) and begin the Insight LDAP
configuration process. Enter the hostname or IP of the Insight Server. No other
additional information should be entered and other defaulted entries should
remain unaltered. Insight Server LDAP does not require logins.

• Click on More Settings button and then Click on the Search tab. Enter c=us for
the Search Area in the Search Options area. Next to complete the Insight Server
LDAP configuration. The following page will inform you of a successful
configuration.
• Click the Finish button to exit the configuration wizard.

• Do not change the port number or enter username and password information, they
are not required for Connector usage and may cause functionality problems with
Connector LDAP features.

• Note: The only place where automatic synchronization of mail should be enabled
is through the folders icon in the connector toolbar. Auto-syncing of mail
everywhere else in Outlook should be disabled otherwise you may receive
duplicated email.

Setting the IMAP mailbox

• Click the IMAP Mailboxes button on the Connector toolbar. Click Add and select
an existing pst file for use with Connector or create a new pst file using the radio

 button options. If you decide to create a new mailbox the default name will be
Insight Server Mailbox but it can be altered or renamed according to your
preferences. Click OK to complete the operation.

• Next highlight the pst file of your choice (normally there is only one in the list)
and click the Options button at bottom of the dialog box. Ensure that the check
box for “Map this store to the following IMAP server” is checked.
• Enter the hostname or IP of the Insight Server or other IMAP server in the field
named ‘Hostname’. Now enter the following information:

Login: The username on your Insight Server or other IMAP server.

• -Now press the ‘ping’ button. ‘Ping’ will check for connectivity and
authentication. If ping is unsuccessful your Outlook client may not have network
connectivity, or the Insight Server was unable to authenticate the username and
password you entered, or both.

Setting up SMTP for the connector:

• You need to setup a POP3/SMTP account if you do not already have one setup.
The SMTP service is required for sending messages.

• Go to Tools=>E-mail Accounts and the Outlook Configuration should begin.

• Click the radio button for “Add a new e-mail account” then click the Next button.
Select POP3 as the new mail account type. Enter your username, password, email
address, reply address and the hostname or IP of the Insight Server.

• Make sure you enter ‘none’ for POP3.

Synchronization Manager for Folders

Migration from MS Exchange Server to Insight Server or other IMAP Mail Server

• Initially Exchange mail services and IMAP mail services will be directed to the
same mail box so that once the IMAP server is synced with Outlook client all of
the Exchange mail will have been transferred to its IMAP counterpart. When the
migration is completed, the Exchange server can be dismantled and the Exchange
service can be removed from Outlook clients. Exchange services in Outlook are
not required for Connector functions.
