● BASIC TERMS

MEMORANDUM OF UNDERSTANDING (MOU)

A Memorandum of Understanding (MoU) in business communication is a


formal document that outlines the preliminary terms and agreements reached
between two or more parties in a collaborative effort or partnership. It serves
as a preliminary agreement that sets out the intentions and responsibilities of
each party involved in a business venture, project, or strategic alliance. While
an MoU is not legally binding like a contract, it establishes a framework for
further negotiations and collaboration, providing clarity on key aspects such as
objectives, roles and responsibilities, timelines, resources, and potential areas
of cooperation. MoUs are commonly used in various business contexts,
including joint ventures, partnerships, mergers and acquisitions, research
collaborations, and international trade agreements. They help ensure that all
parties involved are aligned in their goals and expectations, laying the
groundwork for successful collaboration and future contractual agreements.

BULLS AND BEARS

In the realm of business communication, the terms "bulls" and "bears" are
frequently used to describe market sentiments and investor behavior in
financial markets. A "bull market" refers to a period characterized by rising
prices, optimism, and confidence among investors, typically accompanied by
strong economic growth. During a bull market, investors exhibit bullish
behavior, showing optimism about the prospects of the market and seeking
opportunities to buy stocks in anticipation of further price increases.
Conversely, a "bear market" refers to a period marked by declining prices,
pessimism, and uncertainty, often accompanied by economic downturns or
recessionary conditions. In a bear market, investors exhibit bearish behavior,
expressing pessimism about the market's future performance and often selling
stocks to mitigate potential losses. Understanding these terms is essential for
effective communication in financial contexts, as they provide insight into
prevailing market sentiments and investor attitudes, guiding decision-making
processes and strategic planning efforts.

INSOLVENCY OF BANKRUPTCY

Insolvency, often synonymous with bankruptcy in business communication,


refers to the financial state of a company when it is unable to meet its financial
obligations, such as repaying debts or fulfilling contractual agreements. This
inability to pay debts as they become due can stem from various factors,
including poor financial management, economic downturns, or unforeseen
circumstances. Insolvency typically triggers legal proceedings, known as
bankruptcy proceedings, through which the company's assets are evaluated,
and creditors may be repaid to the extent possible. Bankruptcy laws vary by
jurisdiction but generally aim to provide a framework for the orderly resolution
of financial distress, balancing the interests of creditors and debtors. While
insolvency can be a challenging and distressing process for businesses, it
may also present an opportunity for restructuring, debt renegotiation, or

AGENDAS

In business communication, an agenda serves as a structured outline or plan


for a meeting, presentation, or discussion. It typically includes a list of topics to
be covered, along with relevant details such as time allocations, responsible
parties, and desired outcomes. Agendas play a crucial role in ensuring that
meetings are focused, productive, and well-organized. By providing a clear
roadmap for the discussion, agendas help participants prepare in advance,
stay on track during the meeting, and prioritize key issues. Additionally,
agendas help to manage time effectively, ensuring that all important topics are
addressed within the allocated timeframe. Overall, agendas serve as a
valuable tool for facilitating efficient and purposeful business communication,
enabling teams to collaborate effectively and achieve their objectives.
RESOLUTIONS
In business communication, resolution refers to the successful conclusion or
settlement of a problem, dispute, or issue. It involves finding a satisfactory
solution that addresses the needs and concerns of all parties involved.
Effective resolution in business communication requires clear communication,
active listening, and a collaborative approach to problem-solving. It often
involves identifying the root cause of the problem, exploring alternative
solutions, and negotiating agreements that meet the interests of both parties.
Resolution not only helps to resolve conflicts and overcome obstacles but also
fosters trust, strengthens relationships, and promotes a positive work
environment. By prioritizing resolution in business communication,
organizations can mitigate conflicts, enhance productivity, and achieve their
goals more effectively.

WINDOW DRESSING

Window dressing in business communication refers to the practice of


presenting information or financial statements in a way that creates a more
favorable impression than the underlying reality. This tactic is often employed
by companies to enhance their perceived performance or financial health,
especially when reporting to investors, stakeholders, or regulatory authorities.
Examples of window dressing include selectively disclosing positive
information while concealing negative aspects, manipulating accounting
methods to inflate profits or understate liabilities, and timing transactions to
coincide with reporting periods for maximum impact. While window dressing
may temporarily boost a company's image or stock price, it can ultimately
erode trust and credibility if discovered, leading to legal and reputational
consequences. Therefore, transparency and integrity in business
communication are essential to maintain trust and ensure accurate
representation of a company's financial position and performance.

AUDITING

Auditing is a critical process in business communication that involves the


systematic examination and evaluation of financial records, statements,
processes, and procedures to ensure accuracy, compliance, and integrity. It
serves as a means of verifying the reliability and transparency of financial
information, providing stakeholders with confidence in the organization's
operations and financial health. Through auditing, businesses can identify
areas of risk, inefficiency, or non-compliance, enabling them to implement
corrective measures and improve accountability. Auditing also plays a crucial
role in maintaining regulatory compliance and meeting legal requirements, as
well as providing insights for strategic decision-making and performance
improvement. Overall, auditing serves as a cornerstone of business

MINUTES OF MEETING

Minutes of Meeting (MoM) are a formal record of the discussions, decisions,


and actions taken during a business meeting. They serve as a comprehensive
summary that outlines the key points discussed, identifies attendees, and
documents any outcomes or follow-up tasks. Minutes of Meetings play a
crucial role in business communication by providing a reference point for
participants and stakeholders, ensuring clarity, accountability, and alignment
on agreed-upon objectives. Additionally, MoM serves as a historical record
that can be referenced in the future for reviewing discussions, tracking
progress, and documenting decisions made. By accurately capturing the
essence of the meeting, Minutes of the Meeting facilitate effective
communication, collaboration, and decision-making within organizations.

● COMMUNICATION

Communication is the process of exchanging information, ideas,


thoughts, or feelings between individuals or groups. It involves the
transmission of messages through various channels, such as spoken or
written words, gestures, body language, facial expressions, and other
forms of expression. Effective communication is essential for
understanding, cooperation, and building relationships.

Communication can occur in various contexts, including interpersonal


interactions, group discussions, written messages, presentations, and
more. It plays a crucial role in both personal and professional settings,
influencing how people relate to one another, share knowledge, and
collaborate.

● FEATURES OF COMMUNICATION
1. Information

as a concept bears a diversity of meanings, from everyday usage to


technical settings. Generally speaking, the concept of information is
closely related to imparting instruction, knowledge, meaning, mental
stimulus, pattern, perception, and representation.

2. Persuasion

Persuasion is a form of social influence. It is the process of guiding


people toward the adoption of an idea, attitude, or action by rational and
symbolic (though not always logical) means. It is the strategy of problem-
solving relying on “appeals” rather than strength. Manipulation is taking
persuasion to an extreme, where one person or group benefits at the
cost of the other. Aristotle said that one of the most important functions
of communication is to persuade the other party. Persuasion helps in
reaching decisions or consensus on public policy so that it is possible to
control and govern. But one may resort to persuasion with an ulterior
motive. The receiver must be careful about the source of such
persuasion.

3. Debate and Discussion

Debate is a formal method of interactive argument. Debate is a broader


form of argument since it includes persuasion which appeals to the
emotional responses of an audience and enables people to discuss and
decide on differences, within a framework defining how they will interact.
Deliberative bodies such as parliaments, legislative assemblies, and
meetings of all sorts engage in debates. The outcome of a debate may
be decided by audience vote, by judges, or by some combination of the
two. Formal debates between candidates for elected office, such as the
leaders’ debates and the U.S. presidential election debates are common
in democracies. It is through debate and discussion in the media that the
public can clarify different viewpoints on issues of public interest and
arrive at a general agreement on matters that concern all. They need to
find out the reasons for such debates and discussions. Critical appraisal
of debates and discussions benefits the users.

4. Instruction

An instruction is a form of communicating information that is both


command and explanation for how an action, behavior, method, or task
is to be begun, completed, conducted, or executed. One of the major
functions of communication is to instruct, educate, and socialize the
members of the society. All these functions start early in life, at home or
in school, and continue till one completes the full cycle of life.
Communication provides a fund of knowledge, expertise, and skills that
enable people to operate as effective members of society. It also creates
awareness and gives direction and opportunity to people so that they
actively participate in public life.

5. Entertainment

Entertainment is an activity designed to give pleasure or relaxation to an


audience. The audience may participate in the entertainment passively
as in watching an opera or a movie, or actively as in games. Human
beings must be entertained to break the monotony of routine and divert
their attention from the troubles and tensions of daily life. The diversion
should not be taken as a negative element. Such diversion has a
positive role in our lives: it revitalizes our personality and even educates
us. You must have watched some Charlie Chaplin or Laurel and Hardy
movies. They entertain and at the same time comment on life. We can
learn a lot about life from these comedies. Communication provides
boundless entertainment to people through pictures, films, music, drama,
dance, art, literature, comedy, sports, games, etc.

6. Cultural Promotion

Communication is a major source of cultural preservation and promotion.


It helps individuals to pursue and satisfy their creative urges.
Communication provides opportunities for culture to be preserved and
promoted. It stimulates individuals to pursue and fulfill their creative
urges.

7. Integration

Communication is a great source for disseminating knowledge and


information, which further helps in social integration. Communication is a
great integrating tool. Through a fund of knowledge or information,
individuals, groups, or cultures come to know one another, understand
and appreciate each other’s ways of life and thereby develop tolerance
towards one another.

● BARRIERS TO COMMUNICATION
1. Physical Barriers

Any form of restriction or obstacle that restricts or impedes good


communication is referred to as a physical barrier. These could include
intrusive sounds, dim illumination, or a lack of personal space. For instance, it
will be challenging for two people to hear and comprehend each other if they
are trying to hold a conversation in a noisy, busy environment.

2. Language Barriers

When persons speak various languages or have varying degrees of fluency in


a language, linguistic barriers may develop. This may make it challenging for
individuals to communicate effectively and may result in misunderstandings. A
non-native speaker could find it challenging to comprehend a person who
exclusively speaks English, for instance, if they try to talk.

3. Cultural Barriers

People from diverse cultural backgrounds and perspectives can encounter


cultural obstacles. These may consist of various traditions, convictions, and
ideals. For instance, cultural differences may make it difficult for two people
from different cultures to understand one another when they are trying to
communicate.

4. Emotional Barriers

When people are worried or feeling emotionally raw, emotional barriers might
develop. As a result, individuals could find it challenging to communicate
clearly because they might be focused on their feelings. A person could find it
difficult to speak calmly and rationally with others if they are angry or
disturbed, for instance.

5. Cognitive Barriers

When individuals have varying degrees of comprehension or understanding,


cognitive barriers may develop. Things like a lack of information or attention
are examples of this. For instance, if a person is trying to interact with
someone who has a cognitive impairment, the cognitive barriers may make it
difficult for them to comprehend one another.

6. Perceptual Barriers

People with various perspectives or perceptions may encounter perceptual


hurdles. This can involve things like a loss of focus or comprehension. For
instance, perceptual obstacles may make it difficult for two people to
comprehend one another if they are trying to speak with someone who has a
perceptual impairment.

7. Technological Barriers

Technological obstacles can arise when people have varying degrees of


access to or expertise with technology. This can include problems like not
having access to the internet or not knowing how to use specific technology.
For instance, if a person is trying to interact with someone unfamiliar with a
certain technology, they could find it challenging to comprehend one another
because of the obstacles posed by technology.

8. Noise Barriers

Noise barriers to communication refer to any external or internal factors that


can interfere with or disrupt the flow of information between people. These
barriers can be physical, psychological, or cultural, and can impede effective
communication, leading to misunderstandings, confusion, and frustration.

● ELEMENTS OF MASS COMMUNICATION


Source- The Source or sender of the message in Mass Communication
mostly represents the organization/ Channel/ Publisher/ Production house, etc
where the content is prepared. The source or the sender belongs to a
professional media institution or is in media communication. The source
creates carried content depending on the nature of the Channel or Channels
the media house wishes to use to transmit the message. (For instance, a
movie can be shown on a cinema screen as well as on TV channels, the story
narrated on Radio channels, or displayed on OTT content like Netflix, Amazon
Prime, Hotstar, etc.) The source creates the content and encodes the
message or content keeping all elements in mind. However, with the arrival of
New Media, Individual senders have jumped in to create content on Social
networking forums, changing the way Mass communication has been looked
at for ages. Thus, a singer a doctor, or a cook may use the mass
communication media hor propagate a song, a medication, or a recipe.

Message- A message in mass communication could be any content created


by the source that needs to be reproduced or transmitted through the media.
The message can be a pep talk, an interview, a news debate, a news report, a
TV serial, a movie, a documentary, a song, an advertisement, a story in the
case of a book, film songs on a radio, etc. In the case of newspapers, the
message is a report, an article, a feature, etc.

Channel- The term channel in this case is the tool used for Mass
Communication. Hence, Channels in Mass Communication indicate Mass
media. Traditional mass media like radio, television; newspapers, books, and
brochures, spread the message with enormous speed far and wide. Today,
New Media has revolutionized the speed at which a message can be sent
across boundaries of not just villages or states, but countries. Information
seems to be diffusing faster through the technological advancement of mass
media tools and is available easily for the usage of most people.
Channels of mass communication include:
1. Print Media- Newspapers, books, Magazines, Journals, Brochures,
Pamphlets, Newsletters, documents, etc.
2. Electronic Media- Radio, Television, Fax, Movies/ Cinema, Audio-visuals,
etc
3. New Media- Cell phones, Smart Phones, World Wide Web, Internet, Social
Networking Forums, OTT ( Over the Top Content), etc
4. Traditional media- Traditional media also includes folk media or folk
communication methods that have prevailed for centuries. These include folk
dance, drama, folk songs and so on which are performed on stages,
platforms, or street corners in different villages or cities.

Receiver – Mass communication is the transmission of the message to a


large number of recipients. This mass of receivers is often called the mass
audience. The Mass audience is large, heterogeneous, and anonymous. The
receivers are scattered across a given village, state, or country. The receiver
decodes the encoded content based on his or her psycho-social and cultural
background, taste, and capacity for interpretation.

Feedback- Feedback in Mass Communication can be One-way or Two-way


depending on the choice of Media. One-way Communication occurs in most
Traditional electronic media with an occasional delayed feedback. There is a
lack of immediacy here. Two-way Communication in New Media with instant
feedback in many cases. Today a small video posted on social networking
forums or by huge media houses on their web forums can garner immediate
feedback and response on social networking forums such as YouTube,
Facebook, Twitter, or Instagram. It may not be as instant as interpersonal
communication, however, unlike yesterday's, today's feedback is not as
delayed as in the case of Traditional Mass Media like printed newspapers,
television, or radio. An article in a web newspaper can receive praise or flak
as soon as its recipients receive the message and choose to comment, share,
like, or dislike the same.

Gatekeeping- Gatekeeping is the filtering of messages before the release of


content by Media houses or individuals in some cases of New Media. So,
whether in a newspaper, or a news channel, news arrives through various
sources. This news is filtered or controlled at different levels by reporters,
journalists, sub-editors, news editors, editors, and channel owners. Only
certain content is allowed to be published while other content is discarded or
not given paramount importance. This process is called Gatekeeping.

● 7 C’s OF COMMUNICATION
The 7 C's of communication is a helpful framework for ensuring effective
communication. They are:

1. Clarity: Messages should be clear and easy to understand. Avoid


ambiguity and use straightforward language.

2. Conciseness: Communicate your message in a brief and to-the-


point manner. Avoid unnecessary details or wordiness.

3. Concreteness: Use specific facts, figures, and examples to make


your message more tangible and understandable.

4. Correctness: Ensure that your message is accurate in terms of


grammar, spelling, and information. Mistakes can undermine your
credibility.
5. Coherence: Ensure that your message flows logically and is
organized in a way that makes sense to the recipient.

6. Completeness: Provide all necessary information for the recipient to


understand the message fully. Avoid leaving out crucial details.

7. Courtesy: Communicate with respect and consideration for the


feelings and perspectives of others. Maintain a positive and polite tone
in your communication.
● FORMAL AND INFORMAL
COMMUNICATION
● UPWARD AND DOWNWARD
COMMUNICATION
Upward Communication is generally encouraged by the organization to
involve a lower hierarchy level. Upward communication originates at the
lower level of the employment hierarchy and communicates upward
through the line section officer, administrative officers, director, etc. The
philosophy of upward communication is that everybody is capable of
generating thoughts and ideas which may help the organization in
implementing programs and policies effectively and efficiently. Since
employees feel that they are part of the decision-making team, they feel
motivated and respected. Despite the importance of upward
communication, employees find it difficult to participate in the process.
Further, superiors with busy schedules may not like paying attention to
subordinates. Types of upward communication may be student-teacher
discussions, suggestions, grievance pure, feedback forums/surveys,
etc. In educational organizations, teachers and students do not
administratively come under this pattern, and even principals and
teachers do.

Downward communication in business communication refers to the flow


of information from higher levels of authority, such as managers or
executives, down to lower levels within the organizational hierarchy,
such as employees or subordinates. This type of communication
typically involves the transmission of directives, instructions, policies,
feedback, goals, and other relevant information from superiors to
subordinates. Downward communication is crucial for conveying
organizational objectives, providing guidance, delegating tasks, and
maintaining alignment within the company. It helps ensure clarity,
consistency, and coordination throughout the organization.

● BUSINESS GREETINGS

wired or wireless networks, facilitating communication over
short or long distances.
Telephonic communication offers several advantages,
including:

to communicate instantly, enabling quick decision-making
and problem-solving.

2. Accessibility: Telephones are widely available and


accessible, making it easy for people to connect regardless
