Group Assignment 2 Practical on Microsoft Project
I. Objective
This assignment familiarizes you with the project management software Microsoft
Project. You will manage a multi-phase multi-task project as described below. You will
learn how to create graphic output about your project, and learn how to read information
produced by Microsoft Project. Below is a detailed procedure to accomplish this
assignment.
II. Implementation Procedure
1. Use your PC as your work place. Remember to backup your work in case
there is a system crash or an unexpected disk error.
2. Log into your system, then click Program | Microsoft Project to trigger the
software. Click off the tutorial dialog, if it pops up on your screen. Then, click Project |
Project Information to set the
 Project beginning date is January 1, 2022.
 Name of the project is your Group Name and Number followed by
Project (as Group 1 Project).
 Name of Project Manager is your Group Representative (if no, please
nominate your representatives)
3. Nonworking Days are January 20 and 21/2022.
4. Enter the following 3-phase System Analysis project into your worksheet. Do not
change any default assumptions in the system, except the project beginning date.
Click View | Gantt Chart to enter the follow information:

Resource allocation involves assigning specific team members to tasks based on their availability and skills. For instance, Jack Adams (JA) and Jeff Brown (JB) are assigned to 'Defining Team Organization', while Jessie Crawford (JC) and Joe Dole (JD) join for other tasks. This method ensures efficient use of resources but requires careful budgeting as different resources have varying costs, like Jack Adams’ $18/hr rate compared to Jeff Brown’s $15/hr .

Effective coordination in the 'Study Phase' involves assigning tasks based on team member expertise and strengths. For example, Jack Adams takes a lead role across several tasks, maximizing his utility. Implementing complementary roles, such as pairing JA with JC for 'Conduct feasibility analysis', ensures diversity in skill application, enhancing outcomes and efficiency .

A 'Who did what?' report provides a detailed record of resource assignments and task completions, enabling managers to evaluate individual contributions, address resource imbalances, and assess team productivity. This information is crucial for post-project assessments and fosters accountability and performance analysis .

A milestone is identified by an asterisk (*) and marks a significant point of progress or project phase completion without duration, such as 'Problem ID Statement', 'Select baseline project plan', or 'Deliver preliminary models'. These milestones help in tracking project progress by highlighting key achievements and ensuring alignment with timeline objectives .

Microsoft Project facilitates the handling of complex projects by enabling detailed scheduling of tasks, management of dependencies, and allocation of resources. It allows project managers to visualize progress through Gantt charts, identify critical paths, and adjust plans dynamically, thereby ensuring project objectives are met efficiently .

Non-working days, like the specified January 20 and 21, 2022, delay task start and end dates, directly impacting project scheduling. In this project, no tasks are scheduled on these dates, thus avoiding productivity loss and ensuring accurate timeline projections are maintained .

Creating a Critical Path Report is essential as it identifies the longest sequence of dependent tasks that determine the shortest possible project duration. It helps project managers prioritize tasks that cannot be delayed without affecting the project's completion date, thereby optimizing time management and resource utilization .

Entering detailed resource information, such as hourly rates and overtime costs, in the 'Resource Sheet' allows for precise budgeting and tracking of resource utilization. This ensures that project costs are monitored closely, resources are allocated efficiently, and budget overruns are minimized through careful planning .

The initiation phase includes tasks such as defining team organization, establishing initial contact, conducting initial interviews, defining problems or opportunities, and preparing a problem ID statement. Task dependencies dictate that the completion of one task is necessary before the start of another, impacting the overall timeline. For example, 'Establish initial contact' must be completed before 'Conduct initial interview' can start .

Project closeout planning ensures all project tasks and deliverables are finalized and documented, confirming the project meets its objectives. It involves reviewing outcomes, conducting resource debriefs, and producing final reports, thereby facilitating smooth project transition, accountability, and lesson identification for future projects .
