What is Policy making in the organization

• A Policy is a certain set of rules that are made or documented so that there are
certain guidelines as to what has to be done in a particular situation which makes
it comfortable and easy for the organization and the people to work.
• It helps the organization to treat all employees in a fair manner and represents
the values and culture of the organization.
• Policies are made related to the employee lifecycle that is recruitment
,compensation & Benefits ,ethical code of conduct and gives clarity if any
disputes take place in the organization.

• There should be a purpose to make a policy.


• The name of the policy should be in simple language.
• Next would be drafting the content of the policy.
• Check the legal aspect of the policy – Understand the statutory compliances.

Organizational Structure is a hierarchy of the organization in which the relationship of all
employees are specified with each other, the responsibility and authority chain is created.

IMPORTANCE OF ORGANISATION STRUCTURE

• A proper organization structure leads to proper flow of communication and all


the operations of business are carried out properly.
• A structure makes it easy for everyone to understand what is their responsibility
and whom they need to report to.
• A organization structure helps to understand what is the working style of the
enterprise.

• Now what will be the size and shape of the organizational structure ??

• Span of management gives shape to organization structure.

• Span of management means how many subordinates can be managed by 1 manager


effectively or how many employees can be controlled by 1 superior effectively.

• Narrow span of management leads to tall organization structure wherein wide


organization structure leads flat organization structure.

TYPES OF ORGANISATIONAL STRUCTURE

• Organization structure can be divided into two types :

• 1. Functional structure : In this structure, functions are given more importance in the
structure.

ADVANTAGES & DISADVANTAGES

• Advantages OF Functional structure

• This is one of the simplest structure as employees are grouped according to their
knowledge and skills allowing them to achieve high performance

• They have fixed roles and responsibilities which leads to easy accountability for work.

• Communication from top to bottom is smooth and frictionless.

• Work is not duplicated as all departments have defined responsibilities.

ADVANTAGES & DISADVANTAGES

• Disadvantages OF Functional structure

• Employees feel bored doing repetitive work.

• Conflicts may arise if the performance appraisal system is not managed properly.

• The departments have self centered mentality. Functional Managers pay more
attention to their own department and ignore others interest.

• Poor interdepartmental communication and lack of teamwork among departments .

2. Divisional Organization Structure : In this structure the organization is divided into


few divisions and each division has his own set of functional structures within.

• Advantages of Divisional structure

• Each division can work as an independent unit and has adequate


freedom.

• Divisional managers become expert in their area and so less intervention


is needed from the corporate managers.

• Divisional management improves the use of resources.

• Disadvantages of Divisional structure

• This structure is not suitable to small organizations.

• When each division is engaged in independent service cost may increase.

• Headquarter find it difficult to control each division

• Each divisional manager safeguards his own interest and ignores the
organizational goal.

ORGANISATIONAL STRUCTURE

2. Divisional Organization Structure :Divisional Organisation structure are further


divided into :

a. Geographic Organization Structure –Divisions here are separated by districts,


territories & regions .
b. Market Based Organization Structure - Divisions here are separated by industry,
market & customer type. This is ideal for an organization that has product or
services particular for a market type.
c. Product based Organization Structure – In this each division within the organization
is dedicated to one particular product and has functional structure within that.

[Link] Organization Structure: In this structure the employees are grouped in function
and product at the same time. It is dual reporting .
For eg : An engineer may regularly belong to the technical department but in matrix
structure he may work on a temporary project under the project manager.

• Advantages of Matrix structure

• 1. Project Managers have the flexibility to chose the best employees for their project.

• 2. Employees become multi tasking and get chance to use the best of their skills and abilities.

• Disadvantages of a Matrix structure

• 1. There can be conflicts between the head of project and the head of functional department .

• 2. This structure being dynamic can be disturbing for the employees as adapting changes again and
again.

4. Flat or Horizontal Organization structure : This organizational structure has no level of


middle management between them. Start up companies use this type of structure to
grow.

• Advantages of a Flat structure

• 1. This structure is free of Hierarchy related pressure. It has decentralized leadership.

• 2. It provides employees more responsibility and power for decision making and provides better
opportunity to grow.

• Disadvantages of a Flat structure

• 1. Chance of losing control is high.

• 2. Employees can have role confusion in these organizations.

• 3. Less scope of promotion and less job satisfaction and hinders the growth as rigidity comes in.
