ACCOUNTS SECTION
A Standard Operating Procedure (SOP) is a document which describes the regularly recurring
operations to ensure that the operations are carried out correctly and always in the same manner.
OBJECTIVE:
To ensure accurate, timely, and compliant processing of financial transactions.
Maintaining proper documentation, preventing fraud, and fostering strong vendor
relationships while supporting organizational financial controls.
PROCEDURE:
S. NO. ACTIVITY CHECK LIST FOR APPROVAL
1 For Vendor Payments Capturing and collating the data of all incoming invoices.
Matching invoices to purchase orders.
Coding invoices with accurate account and cost center
allocation.
Posting for payments.
Approving those invoices for payment
2 Salary Payment Passing of the salary bill and sending the same for
approval.
Forwarding the salary in the respective accounts of the
employees.
3 Advance Payment Receipt of advance request from vendors complete in all
respects.
Passing of advance request and sending the same for
approval.
Forwarding the payment to the vendors.
4 EPF/ESI/TDS Copy of payroll statement/computation.
Payment
All payment vouchers are duly authorized by Senior Manager (Accounts &
Finance).
DOCUMENTS REQUIRED FOR MAKING PAYMENTS TO PETROL PUMPS:
1. Invoice issued by Petrol pumps with Quantity Purchased.
2. Fuel should be booked under stock in hand in ERP Software with Quantity.
3. Order form filled by bus driver for petrol required and i t should be signed by
store department.
