Project Lifecycle

Planning

The planning phase is the first and a particularly important phase. The project documentation is
completed during this phase, including the design, project program, costing and specifications.

Planning documentation and procedures:

Feasibility study
Design
Scope of works
Quality control plan
Health and safety plan
Risk assessment
Budget
Program
Resources

Make sure the planning procedures and documentation is in order before executing the project.

Execution

After the planning phase we start initiating and executing the project works, during this phase we are
constantly managing the program, costing, and quality to complete a successful project.
The project team will work together to manage the project activities as the project progress.

Some activities managed by the team during the execution phase:

- Managing scope creep
- Stakeholder management
- Communication and reporting
- Quality management
- Manage risks
- Budget management
- Managing the program

Closeout

The closeout phase is as important, we analyze the project during this phase and identify delays
and project setbacks to procure documentation and improve future project management
processes.

The planning phase is crucial for resource allocation as it involves identifying and assigning the necessary resources to different project tasks, ensuring optimal utilization and preventing shortages or idle time . Poor planning in this regard can lead to several consequences, such as resource bottlenecks, increased costs due to emergency procurements, missed deadlines, and even project failure due to the inability to meet essential project needs. Accurate resource planning ensures timely procurement, budget adherence, and effective workload management .

Quality management during the execution phase is significant because it ensures that the project meets the predefined standards and specifications, thus maintaining stakeholder satisfaction and avoiding rework . By implementing quality controls and continuous monitoring, the project team can quickly identify and rectify deviations from quality benchmarks. This not only helps in achieving project goals but also enhances the overall value and reliability of the project's deliverables .

The closeout phase contributes to future project management improvements by analyzing the project to identify delays and setbacks encountered throughout its lifecycle . This analysis involves procuring documentation that highlights lessons learned, enabling project managers to understand the root causes of issues and avoid similar problems in future projects. The review and documentation of challenges and successes allow for the optimization of processes, refinement of strategies, and enhancement of project management practices in subsequent projects .

During the execution phase, methods such as regular progress meetings, standardized reporting templates, project management software, and clear communication plans are employed to maintain effective communication and project reporting . These tools and practices ensure that all stakeholders are informed about the project's status, challenges, and advancements, thereby facilitating better decision-making and alignment throughout the project lifecycle .

Stakeholder management plays a pivotal role during the execution phase of a project by ensuring that all stakeholders' needs and expectations are adequately addressed and managed . This involves regular communication, updates, and feedback loops to ensure that their requirements are integrated into the project processes. Handling stakeholder management requires maintaining transparency, understanding their influence on the project, resolving conflicts when they arise, and adapting the project plan to accommodate necessary stakeholder input .

The execution phase addresses the challenge of managing program timelines by employing scheduling software, regular progress tracking, and adjustment of plans as needed based on real-time data . These practices ensure that the project stays on schedule, and any deviations are caught early and corrected. Failing to manage timelines effectively can lead to project delays, increased costs, compromised quality, and dissatisfaction among stakeholders, ultimately risking project completion .

The planning phase of a project lifecycle includes several critical elements such as the feasibility study, design, scope of works, quality control plan, health and safety plan, risk assessment, budget, program, and resources . These elements are crucial because they form the foundation of the project, ensuring that all aspects are considered and planned for before execution begins. Proper documentation and procedures in this phase help prevent future issues during execution, manage costs effectively, ensure compliance with safety and quality standards, and mitigate risks .

During the execution phase, the project team manages the program, costing, and quality to complete the project successfully by addressing scope creep, stakeholder management, and budget management . Continuous management efforts ensure that the project remains within its defined scope and budget, avoiding unnecessary expansions or resource wastage. Effective communication and reporting also play a pivotal role in maintaining the project's parameters and adjusting quickly to any changes .

Risk management practices in the planning phase affect project execution by proactively identifying potential risks and implementing strategies to mitigate them before they can impact project progress . By conducting a thorough risk assessment, potential issues are anticipated, and contingency plans are established. This preparedness allows the project team to address risks seamlessly during execution, minimizing disruptions and maintaining project timelines and budget .

Managing scope creep during the execution phase is important because it can lead to critical deviations from the project plan, resulting in time delays and budget overruns . Strategies employed to manage scope creep include clearly documenting project scope, maintaining a change control process, frequent monitoring and reporting of project progress, and ensuring all team members and stakeholders are aware of the project's limits. These measures help keep the project aligned with its original objectives and prevent unauthorized alterations that could impact its success .
