CHAPTER I

INTRODUCTION
RATIONALE OF THE STUDY

Encountering the end of life is an inevitable aspect of the human experience,


touching each individual at some point and defying prediction. It can be a lonely
experience to go through significant loss or grief, frequently leaving us feeling lost and
alone (Golden Haven, 2023). We require a funeral home and a support system during
periods of severe loss. In order to help grievers prepare for essentials like religious
rites and post-funeral interment, funeral homes offer services that ease their
circumstances (Oliveto, 2021). For years, the Victory Memorial Homes has been
offering these services to the public. Like many funeral homes, its constant goal is to
give their customers the greatest possible care. With the arrival of technological
inventions, a computer can help advance worlds and work has aided in getting things
done that were difficult manual processes; technology has shortened the time it takes
to complete jobs. It is necessary for Victory Memorial Homes to meet the needs and
standards of the current generation in services and to keep up with the technological
dominance of business industries. The Victory Memorial Homes Funeral Services
System guarantees systematic and organized services for evaluating customer
scheduling and booking in a more convenient, accurate, and effective manner while
reducing errors and automates reports. A Funeral Services System is a system that
has been introduced to help funeral industry organizations manage many areas of
their operations. Important functions including scheduling, inventory control, record
keeping, billing and invoicing, customer relationship management, customized user
access, and funeral planning capabilities are usually included in a system for funeral
homes (Orderry, 2024).

The Victory Memorial Homes Funeral Services System originated in the 1990s
as a small-scale enterprise established by Tomas Agreda, a local entrepreneur, in
Tantangan, South Cotabato. Agreda's primary objective was to address the
community's need for dignified and compassionate funeral services, which were
lacking at the time. Through his efforts, Agreda laid the foundation for the company's
establishment within the local community, aiming to provide solace and support to
grieving families during their most difficult times.

Under successive leadership, including Agreda's descendants, the funeral


home gradually expanded its operations and earned recognition for its unwavering
commitment to service excellence. With a focus on maintaining high standards of
professionalism and empathy, Victory Memorial Homes became a respected institution
known for its consistent delivery of high-quality services, earning the trust and respect
of residents in the region.

The company's reputation as a reliable and compassionate service provider


attracted attention from the provincial government. Recognizing Victory Memorial
Homes' dedication to serving the community, the government engaged the company
to support its free burial program for indigent citizens. This partnership not only
demonstrated the company's social responsibility but also solidified its standing as a
valued community resource in South Cotabato.

Despite its growth and achievements, Victory Memorial Homes faces ongoing
challenges in adapting to modern industry standards. Presently, the company relies on
manual record-keeping processes, such as logbooks, for managing client information
and service preferences. This reliance on outdated methods underscores the need for
operational modernization to improve efficiency and effectiveness in service delivery.

Additionally, the Victory Memorial Homes encounters issues with the


conventional approach, such as: (1) Victory Memorial Homes relies on a logbook to
make a list of their clients and their information, which can be easily lost due to
multiple factors such as losing or misplacing it and being susceptible to damage; (2);
The service creation and addition procedures heavily rely on manual processes,
including manual documentation, service customization, and proposal creation. These
manual methods result in inefficiencies, delays, and potential errors in service
offerings; (3) The company uses manual computation which is prone to errors and
could lead to giving inaccurate pieces and invoices; (4) Missed services due to
forgetfulness or conflicts underscore the urgent need for a booking system, especially
with the added importance of offering clients a wide selection; and, (5) Insufficient
reporting capabilities have hindered informed decision-making, impacting the
company's ability to optimize operations and identify opportunities for improvement.

The Victory Memorial Homes Funeral Services System aims to address these
restrictions by offering a comprehensive solution for increasing funeral service
efficiency while also improving client management and operations. Storing all
procedures in a database will make it easier for the funeral director to maintain track of
records and get reports. Victory Memorial Homes will now be able to provide more
safe, effective, and efficient care to its clients or mourners. Implementing this system
is not just a technological upgrade, but a commitment to better service, efficient
resource utilization, and continuing support to ensure it aligns with the spending
strategy and future expansion goals.

OBJECTIVES OF THE STUDY

General Objectives

The researchers aim to study and develop a Funeral Services System for
Victory Memorial Homes located at Tantangan, South Cotabato.

Specific Objectives

 To be able to create a system that allows the efficient management of client


information.

 To be able to create a system that improves the efficiency of adding and


creating services for clients, ultimately leading to heightened client satisfaction
and more effective service delivery.

 To be able to establish a billing and invoicing process to provide clients with


accurate cost estimates and generate bills or invoices.

 To be able to implement a booking and scheduling function that allows clients


to easily book funerary services and allows the company staff to manage
schedules efficiently.

 To be able to provide reports to enable comprehensive data analysis,


facilitating informed decision-making, and enhancing operational efficiency.

SCOPE AND LIMITATIONS OF THE STUDY


Scope of the Study
The Victory Memorial Homes Funeral Services System is capable of the
following:

 Client Management – The system allows for the centralized and organized
storage of client information, ensuring quick access to vital details for
personalized service delivery.

 Services – Create and add services, as well monitoring availability.

 Billing Module – Provide clients with accurate cost estimation.

 Booking Module – Scheduling and Booking Client’s preferred service.

 Reports - Tailored reports are created to fulfill specific informative demands.

Limitations of the Study

The Victory Memorial Homes Funeral Services System encounters several


drawbacks that could impact its performance and the study's scope. Firstly, the lack of
an invoicing feature limits the system's ability to track service transactions accurately,
potentially affecting cost projections and revenue assessments. Secondly, the
system's absence of Customer Relationship Management (CRM) functions may hinder
effective client management, possibly biasing conclusions about customer satisfaction
and engagement. Additionally, the system's inability to customize user access restricts
control over permissions, risking oversight of security issues and inefficiencies. Lastly,
the system's lack of inventory management capabilities could hinder the tracking and
use of funeral supplies and equipment, potentially affecting resource allocation and
operational efficiency assessments. These limitations highlight areas for potential
system improvement and call for caution in interpreting study results.

SIGNIFICANCE OF THE STUDY

The system has the potential to significantly impact the business, owner,
employees or staffs, clients, researchers, and future researchers, leading to improved
services. Specifically, this study aims to benefit the following:

Business

The implementation of the system enables Victory Memorial Homes to optimize


operations, reduce costs associated with manual processes, and enhance overall
efficiency, aligning with its long-term sustainability and competitiveness.

Owner

The system empowers the owner or the funeral director of Victory Memorial
Homes to oversee business operations transformation, ensuring viability and
competitiveness in a dynamic industry, facilitating informed decisions on resource
allocation and strategic direction, thus enhancing the business's success and
longevity.

Clients

Clients enjoy improved service quality and convenience, including efficient


information management, diverse booking options, and accurate billing, enhancing
overall satisfaction and loyalty.

Employees

The system simplifies workflow management, reducing repetitive tasks and


errors, allowing staff to focus on delivering quality services and boosting job
satisfaction.

This study will be of great help to future researchers who plan to design and

develop an improved Victory Memorial Homes Funeral Services as it will provide them

1) documentation that will serve as the literature, and 2) the source code of the system

which will guide in the development of a new, enhanced system.

CONCLUSION AND RECOMMENDATION

Conclusion

The achievement of our objectives marks a significant advancement in


enhancing the functionality of the Victory Memorial Homes Funeral Services System.
This progress signifies a notable improvement in how our organization operates, with
key features now seamlessly integrated, including efficient client information
management, simplified service creation processes, billing, booking, and scheduling
functions, along with comprehensive reporting capabilities.

Through meticulous internal testing and validation processes, we have ensured


that each feature operates seamlessly and meets the desired performance standards.
The implementation of these features, along with thorough testing and refinement, has
significantly improved operational efficiency, client satisfaction, and service delivery
effectiveness within Victory Memorial Homes.

Furthermore, the system's reporting capabilities offer valuable insights into


operations, helping identify trends and preferences among clients. This data-driven
approach enables informed decisions to better meet the needs of clients and improve
services over time.

By addressing the identified limitations and integrating these enhancements,


the system now serves as a reliable and indispensable tool for managing funeral

Recommendation

Building upon the achievements of the implemented objectives, several


recommendations can further optimize the system's functionality and address
remaining gaps:

 Continuous System Monitoring and Updates: Regular updates ensure


alignment with industry standards, address emerging issues, and enhance
security, incorporating user feedback for ongoing improvements.

 Integration of Feedback Mechanisms: Implement real-time feedback


channels for clients to improve service quality, refine offerings, and maintain
high satisfaction levels.

 Expansion of Reporting and Analytics: Enhance reporting capabilities for


deeper insights into operational performance, client trends, and decision-
making, optimizing resource allocation.

 Enhancement of Mobile Accessibility: Improve system accessibility via


mobile apps or responsive web interfaces, enabling convenient management
of funeral arrangements and service delivery anytime, anywhere.

By prioritizing these recommendations, Victory Memorial Homes can further


elevate the performance and utility of the Funeral Services System, ensuring it
remains a valuable asset in meeting the evolving needs of funeral service provision
and supporting future research endeavors effectively.
