DESIGN AND IMPLEMENTATION OF COMPUTERIZED
STUDENTS REGISTRATION SYSTEM

ABSTRACT
The advent of information technology has brought about a huge effect on the entire education
system and also has made the student to shift from manual system to computerized system. Most
of the system that involves manual work has been automated efficiently. Student registration
process in Kabba College of Agriculture, Kabba Kogi state involves filling of registration forms
manually, getting it signed by the respective lecturers and then getting the document
acknowledged from the concerned head of departments, Deans and Account officers
respectively, then the registration forms are submitted in the administrative office. This process
is very cumbersome and time consuming. An online Student Registration System is therefore
enveloped to simplify the manual procedure. The methodology involves using PHP, apache and
MySQL while front-end is designed with PHP, the back-end is managed with MySQL. The
system is more secured and user-friendly.

CHAPTER ONE
1.0 Introduction
1.1 Background of the study
As most nations of the world are becoming information technology inclined, Nigeria is not left
behind. Even as most organizations and companies in the foreign countries have implemented
information technology in their firms, likewise most of Nigeria’s organizations and companies
have also enjoyed the benefits of information technology (Chege, S. M., (2020)
Even as most foreign countries like America, China and India are experiencing information
technology boom, Nigeria is yet to come to such level. With the communication satellite
launched recently in our country will explore the hidden treasures of information technology.
(Borowitz, M. 2019).
As I consider the design and implementation of computerized Registration application for school
enrollment, it is necessary to mention here that information technology have a lot to play in
achieving this. Implementing computerized student registration system entails having access to
internet, having a website and the place of strong and reliable database cannot be over
emphasized. (Yeung, A. K., & Hall, G. B. 2007).
STATEMENT OF THE PROBLEM
Owing to;
i. The difficulties student encounter in manual filling and submission of information
management technology (IMT) forms.
ii. Time wasting in getting information from Kabba College of Agriculture officers on how
to fill the form.
iii. Loss of some submitted forms due to mismanagement of Kabba College of Agriculture
officers and
iv. Long queue the students usually face in collecting their receipts, the need arises for the
development of computerized Registration application for school enrollment to alleviate
these problems.
1.3 Aim and Objectives of the Study
The aim of this study is to put to an end the difficulties students face or encounter during
registration. This is achieved by software computerized Registration application for school
enrollment system which is user friendly and easy to implement, students will no longer be in
danger of losing their submitted forms or information.
The objectives of this project is to:
i. Develop a software that replaces manual filling and submission of KCA form.
ii. Stop or solve the problems students face during payment of various fee.
iii. Help the management in the effective distribution of KCA information.
iv. Help the management to ensure the effective collection of student’s data.
v. Help the management effectively manage student’s data
1.4 Significance of the Study
With the growth of information technology, the study offers numerous values not only to
students but also to the KCA board. The board doesn’t have to spend any resources by sending
admission letter to students rather they make their money when students buy scratch cards to
check their results or information.
The students can easily get information by visiting KCA website without consulting any KCA
officer. Student no longer suffer the consequences of the wrong information sent by some KCA
officer due to mismanagement. Above all, the knowledge of students and KCA officers towards
information technology is enhanced.
1.5 Scope of the Study
This project is narrowed to Kabba College of Agriculture and students. It deals with the design
and implementation of computerized Registration application for school enrollment system. The
program will help students get information concerning:
i. KCA registration
ii. KCA history
iii. KCA Admission requirement
iv. KCA courses requirement.
Students can still get history information about the Kabba College of Agriculture management.
The program will be self-explanatory and interactive.
1.6 limitation of the study
Due to the scope of this project as mentioned above, this project work is limited to students who
want to attend Kabba College of Agriculture only. It is important to mention that time was a
major constraint in the course of fact finding.
It is also wise to mention here that some information we need to work with was not collected
because of unwillingness of the management to reveal such information.
1.7 Definition of Terms
1. Registration: This is the act of recording a name or information on an official list.
2. Client: This is any process that request specific services from server processes.
3. Computer: This is an electronic machine that can accept; handle and manipulate data by
performing arithmetic and logic operations without human intervention usually under the
control of coded.
4. Data: This is for runner of information. It is unprocessed fact.
5. Database: Is a collection of information that is related to a particular subject or purpose.
6. Hardware: This is the electromechanical part of computer system.
7. Information: This is data that have been processed, interpreted and understood by the
recipient of the message or report.
8. Internet is a collection of computer networks that operate to common standards and
enable the compute and the program they run to communicate directly.
9. Server: A powerful computer system designed to manage, store, and process data 24/7. It
also provides uninterrupted services to other computer (clients) over a network
10. Software: This is a logically written program that hardware uses to perform its operation.
11. System is the collection of hardware, software, data information, procedures and people.
12. Website is a space or location customized by a company, organization or an individual
which is locatable within an address on the internet.
CHAPTER TWO
2.1 LITERATURE REVIEW
With the rapid growth of Information Technology, a lot of things that were previously done
manually are now automated. Computerized student registration system entails a lot things
among which are on-line (in this aspect, connecting to or having access to internet),
administration.
Administration is associated with the following terms: office management, office administration
and office organization. These are used to describe the study of services provided and functions
related to office work which are under taken by managers such as data control management,
information technology managers, etc.
Harvey (1988) however said that administration covers aspects of running the organization by
devising systems, which will function. Administration ensures that procedures are developed and
carried out in a coordinated manner. People carry out the various tasks and duties set for them in
the appropriate manner through the use of manual systems or automated systems.
According to Josephine (2000:1) Cite Harvey (1983) opined that administration can be
considered a catch-all term which embraces on entity’s organization, administration relating to
the processing of data and information. This implied that the process itself involves the many,
activities in the record life-cycle or keeping, from its organization, perhaps as a text through the
various aspects of working on information and storing it for future use.
For computerized Registration application for school enrollment system to be possible and
effective, internet, website, computer system and strong database must be taken into
consideration.
According to Lady Mercy .O. Adibe in her book titled computer literacy said that computer
system is a combination of five elements which are hardware, software, data/information,
procedures and people. She added that when one computer system is set up to communicate with
another computer system, connectively becomes a sixth system element. In other words, the
manner in which the various individual systems are connected for example by microwave
transmission or satellite is an element of the total compute system.
Israel Aneke in his book titled Some Concepts and Applications in Information Technology said
that internet is a conglomeration of computers that are connected through telephone cables and
satellite links around the world. For computerized student registration system to be possible,
many computers must be involved, that is internet.
According to Microsoft Encarta Encyclopedia Standard 2005 internet is a collection of computer
networks that operate at common standards and enables the computers and the program they run
to communicate directly.
Internet connection is usually accomplished using international standards collectively called
TCP/IP (Transmission Control Protocol/Internet Protocol), which are issued by an organization
called Internet Engineering Task Force, combined with a network registration process and with
the aid of public providers of internet access services known as Internet Services Providers
(ISPS).
For computerized student registration system to work website is needed. A website is a
collection of web pages under the control of a particular person or group. A webpage is generally
a single HTML document which might include text, graphics, sound files and hypertext links.
Livinus C. Nosike in his book, Internet Literacy, said that a website is a space or location
customized by a company, organization or an individual which is locatable with an address in the
internet. It is also required that the large computer, known as host or server is registered to obtain
an internet address known as domain name which makes it unique and locatable on the internet.
For computerized student registration system to be effective, a strong and reliable database is
needed.
According to Microsoft Encarta Database, any collection of data organized for storage on a
computer memory and designed for easy access authorized users. A database administration is
online when it can be used by a person who connects with the computer on which it is stored. On
line database is database available to anyone who could link up to them by computer or encoded
graphics.
According to Microsoft Access, Database is a collection of information that is related to a
particular subject or purpose.
According of Rob and Coronel in their book, Database systems, Design, Implementation and
Management that on line database administration system involves client/server database. In a
client/server database, the client requests data from the database server.
The actual processing of the requests (selection of the records) takes place in the database server
machine. In other words, the server selects the records that match the selection criteria and sends
them over the network to the client. A client is any process that requests specific services from
server processes. A server is a process that provides requested services for clients. Client and
Server processes can reside in the same computer or in different computers connected by a
network.
CHAPTER THREE
3.1 Research Methodology
1. PERSONAL INTERVIEW: Some of the staffs were interviewed to share their feeling and
experience about the manual system of ordering for data/information and items. Their respond
was that manual system is highly cumbersome and boring. They stressed that the manual system
has not helped them much.
2. OBSERVATION: A situation whereby files will liter everywhere makes the office untidy.
Having observed that searching for students record are time consuming makes the manual
method ineffective.
3. FROM THE INTERNET: I will visit internet to source for information concerning
computerized student registration system.
3.2 DESCRIPTION AND ANALYSIS OF THE EXISTING SYSTEM
The existing system is a system that is been carried out in terms of manual operation, A system
in which all the methods of ordering data/ information and items is of a manual approach.
Critical analysis of this system reveals that it is a system prone to a lot of errors and it is not
effective. Searching for somebody’s information is time consuming and boring (Harvey, 1988).
The system is in such a way that the office is full of files. This tends to make the office look
untied. Careful analysis also shows that because of the complexities of the manual system,
information stored is difficult to retrieve. Also because of the inconsistency of the manual
system, at times files and items are lost because of mismanagement. Another problem of this
manual method of ordering for data/information and items is that it is prone to attack by robbers.
3.3 OBJECTIVES OF THE EXISTING SYSTEM
The objectives of the existing system are listed below:
1. Collection of data/information from students
2. Processing of the collected data/information in order to supply students their admission
letter.
3. To keep a comprehensive record of all students enrolled in the examination.
4. Used as a means to monitor the number of students given admission each year.
5. Information/data collected is used in educational budgeting and planning.

This deals with the process used to feed data to the system for processing. The following data are
fed to the system for processing.

3.5.1 OUTPUT ANALYSIS
This involves the resultant documentation generated after processing of data/information
supplied to the system. The output here can be:
i. Admission Reply.
3.5.2 PROCESS ANALYSIS
Once the inputs are collected, the obtained data are processed properly for effective use. The
data/information processed is stored in the computer for subsequent use.
3.6 INFORMATION FLOW DIAGRAM
The trend of information starts from students. The students have to fill form in a cybercafé and
the data/information goes directly into the Board database where the system operator works on
this data/information and then reports to the Database manager.
3.7 PROBLEMS OF THE EXISTING SYSTEM
The major problem encounter in the on-line entrance Administration system is the problem of
managing data/information. Because a lot of students apply for the admission, the need arises for
how to manage the submitted forms of students.
The biggest challenge facing the Kabba College of Agriculture are the problems of:
i. How to manage their data/information effectively.
ii. The distribution of feedback to students is another challenge the board is facing.
iii. How the admission letter will be distributed to students’ poses a challenge to the Institute.
Students also have a problem with the current system.
The greatest problem the students encounter with the current system is the problem of form
filling. From my personal observation, interview and Questionnaire carried out, the response
showed that filling the Institute forms is difficult. During the filling of the forms, the form
disappears and reappears. When the form disappears all the data supplied before is lost. This
leads to the students’ waste of money and time.
3.8 JUSTIFICATION FOR NEW SYSTEM
Sequel to the problems encountered in the previous section the new system takes these into
consideration. The database for the new system is strong and reliable. The concept of
normalization is used for the creation of current database. Normalization is a process for
assigning attributes to entries. Normalization reduces data redundancies and by extension, helps
eliminate the data anomalies that result from those redundancies.
The new system ensures accuracy in the distribution of admission letter. The problems in filling
of the form have been eliminated.
CHAPTER FOUR
4.1 DESIGN OF THE NEW SYSTEM
The major factor taken into consideration in the design of the new system is the issue of a strong
and reliable database for effective form collection and processing. The new system also includes
the pages for admission statistics, brochure and board members.
4.2 OUTPUT SPECIFICATION AND DESIGN
The output of the design is a comprehensive report of the program. It is an online administration
system. The output here is the reply given to the student showing that the admission form has
been received.
4.3 INPUT SPECIFICATION AND DESIGN
The word input entails the various data supplied to the system which are processed to give out an
output. The input is supplied to the system using computer keyboard mainly as an input device.

5.1 STRUCTURE CHART
Having considered the old system, the structure of the new system was being prepared on paper.
This involves a segmental designing method applied to the structure for the new system.

5.2 PROGRAM FLOWCHART
During the computerized Registration application for school enrollment system, a modular
designing approach was used to design the program for the system. The design of the new
system was carefully developed into paper considering the old system.
Flowchart was used as an effective graphical representation of the program, as well as a design
tool and it is aided in the evaluation of a logical correct program.

5.3 CHOICE OF PROGRAM LANGUAGE
To ensure a standardized object-oriented program in its entire ramification, I used HTML, CSS,
MYSQL and Front Page.
These entire programs are used to ensure effective program.
5.4 SOURCE OF PROGRAM LISTING
To be collected from the programmer who write the program.
5.5 TEST DATA
The accuracy of the program was tested with some varying data. This gives the assurance that
the new system with achieve its purpose and objectives.
5.6 SOME REPORT
After test-running with varied data, which is after running the program, the output was shown on
the monitor. The output can also be printed on paper. This shows that the design of the new
system was perfect and effective.
CHAPTER SIX
DOCUMENTATION
6.1 SYSTEM DOCUMENTATION
The software was designed to be user friendly. It can be operated by anyone irrespective of their
education level provided that the instruction is followed. The software runs on window operating
system platform.
The program also needs internet explorer.

CHAPTER SEVEN
SUMMARY, CONCLUSION AND RECOMMENDATIONS
7.1 SUMMARY
The primitive manual way of filling forms is being replaced by the online filling of forms.
Virtually all the Higher Institutions in our country have gone into online administration because
of unprecedented profit derived from electronic processing of forms.
7.2 CONCLUSION
The manual approach to administration of the institute poses a lot of problem to both the students
and the KCA staff. With online administration system, student data/information are well
collected, processed and stored for management purpose.
Researches have shown that computerized Registration application for school enrollment system
is economical to any organization using it or that wants to implement it.
7.3 RECOMMENDATION
For the computerized Registration application for school enrollment to be effective, I
recommend
(1) These for KCA having access to internet, having a well-trained staff, strong and reliable
database
(2) These for the Government, Government should ensure necessary infrastructure. Masses
should be educated on the use of information technology
