MEETING
Meeting with clients is one of the most
important things you do, regardless of
your role in the company. From sales to
customer service, marketing to CEO,
every person that helps prepare for,
participates in, or performs tasks as a result
of a client meeting has the ability to affect
and influence decisions and confidence
level of a client. Smile to handshake,
every employee should feel ownership
and pride in their efforts when it comes to
client meetings.
INITIAL FACE-TO-FACE MEETING
● Your client already knows who you are, but she doesn’t
yet know what to expect from you. At your first in-person
meeting, be amiable, personable and professional.
● For example, “Sally it’s a pleasure to finally meet you in
person. I’m so happy you selected our company as your
technology services provider, and I’m excited about
getting the chance to work with you.”
INITIAL FACE-TO-FACE MEETING
● In meeting a client, introducing oneself is an initial step in
order to create a positive lasting impression and rapport
to ease each other from the thrill of being tensed. It is in
positive making introduction that two people could build
a lasting business partnership.
● A client meeting, meaning, direct collaboration and
communication with a customer, is the best way to
understand their needs and how you can help them.

4. Purpose of the Interaction
EXAMPLES:
Scenario 1: You are a sales representative for a
software company, and you've scheduled a
meeting with a potential client, a medium-sized
retail business, to discuss their needs for a new
point-of-sale system. You're meeting the client,
Ms. Smith, for the first time.
Introduction:
Sales Representative: "Good morning, Ms. Smith. My name is
John Doe, and I'm a sales representative with ABC Software
Solutions. It's a pleasure to meet you.“
Purpose Statement:
Sales Representative: "I'm here today to discuss your current
point-of-sale system and explore how our software solutions
can help streamline your operations and improve customer
experiences at your retail stores."

CONNECTIONS
WITH YOUR CLIENT
01 Research Your Client: Before your interaction, research your potential
client's background, industry, and any relevant information about their
business.
02 Establish Common Ground: Look for shared interests,
experiences, or connections that you can use to build rapport.
This could be anything from a mutual acquaintance to a shared
hobby or industry experience. Finding common ground helps
create a sense of camaraderie and establishes a foundation for
your relationship.
03 Active Listening: During your interaction, practice active listening by giving
your full attention to the client. Listen attentively to their concerns,
questions, and objectives without interrupting. Paraphrase or summarize
their points to show that you understand and value their perspective.
04 Ask Open-Ended Questions: Encourage the client to share
more about their needs, challenges, and goals by asking open-
ended questions.
05 Empathize and Validate: Show empathy and understanding towards the
client's concerns and challenges. Acknowledge their perspective and validate
their feelings and experiences.
06 Follow-Up and Stay Engaged: After your initial interaction,
follow up with the client to express appreciation for their time
and reiterate your interest in working together.
