FOR THE

DESIGN AND IMPLEMENTATION

OF A

UNIVERSITY LIBRARY MANAGEMENT SYSTEM

WITH CUSTOMER RELATION SUPPORT

A. BACKGROUND TO THE STUDY:

In the contemporary educational landscape, the management of university

library faces a myriad of challenges that impact the efficiency and effectiveness of

services provided to the academic community. Traditional library management

systems often struggle to keep pace with the evolving needs and expectations of users,

leading to inefficiencies, user dissatisfaction, and a disconnect between library staff

and patrons.

The existing university library system are enormous, including but not limited

to reliant on outdated library management systems that lack modern features and

interfaces, being often labor-intensive and prone to errors, lacking interactive features

to engage users actively, cumbersome check-in/check-out procedures contributing to

long waiting times, hindering the collection of valuable insights from users and slow

tedious registration system.

Historically, university libraries have served as store houses of knowledge,

adapting to changes in information technology and user expectations. However, the

conventional library management systems have struggled to keep pace with the

evolving nature of library services, especially in providing robust customer support.

B. A LITERATURE REVIEW OF RELATED WORKS:

A meticulous review of existing literature reveals a rich tapestry of research

and development in the fields of Library Management Systems, customer relations,

and information technology. Several key topics emerge as essential for informing the

proposed project:
1. MODERN LIBRARY MANAGEMENT SYSTEMS:

Studies by Smith (2018) and Chen et al. (2020) delve into the challenges faced

by libraries in managing digital resources, advocating for systems that seamlessly

integrate various media types and ensure efficient resource utilization.

FEATURES

1. Catalog Management: Efficient organization and retrieval of library

resources, including books, journals, and multimedia.

2. User Management: Registration, user profiles, and access control for

patrons and staff.

3. Circulation Management: Streamlined check-in and check-out processes,

fine management, and reservation systems.

STRENGTHS

1. Efficiency Improvement: Modern library management systems often

significantly improve the efficiency of library operations, from cataloging to

user services.

2. Accessibility: User-friendly interfaces enhance accessibility for both staff and

patrons, encouraging broader library usage.

3. Security and Privacy: Robust access controls and data encryption contribute

to the security and privacy of library resources and user information.

LIMITATIONS

1. Cost: Implementation and maintenance costs can be high, limiting adoption

for smaller libraries with budget constraints.

2. Customization Challenges: Some systems may lack the flexibility for

extensive customization, limiting their suitability for libraries with unique

requirements.
2. CUSTOMER RELATIONSHIP MANAGEMENT IN LIBRARIES:

The integration of customer relationship management (CRM) practices within

library systems is explored by researchers such as Johnson (2019) and Garcia et al.

(2021).

FEATURES

1. Patron Management: Efficiently manage patron information, including

contact details, borrowing history, preferences, and demographics.

2. Circulation Management: Streamline the borrowing and return process,

including automated reminders for overdue items.

3. Analytics and Reporting: Generate reports on patron behavior, popular

book genres, and circulation trends.

STRENGTHS

1. Improved Patron Engagement: Enhances communication and

engagement with patrons, leading to improved customer satisfaction and

loyalty.

2. Efficient Resource Management: Optimizes the allocation of library

resources by analyzing patron behavior and preferences.

3. Data-Driven Decision Making: Provides valuable insights through

analytics, enabling informed decision-making for library management.

LIMITATIONS

1. Implementation Challenges: Initial setup and integration can be time-

consuming and may pose challenges, especially in transitioning from

manual systems to a CRM.

2. Cost Considerations: Implementation and maintenance costs may be a

barrier for smaller libraries with limited budgets.


3. USER-CENTRIC DESIGN IN INFORMATION SYSTEMS:

The importance of user-centric design principles is highlighted by Nielsen (2018)

and Schneiderman (2019). Their work emphasizes the significance of creating

interfaces that prioritize user experience, accessibility, and ease of navigation, which

are crucial aspects in the development of the proposed LMS.

FEATURES

1. User Research: Conducting thorough user research to understand the

target audience, their behaviors, preferences, and pain points.

2. User Personas: Creating detailed user personas to represent different user

types and guide design decisions.

3. User Interface (UI) Design: Designing visually appealing interfaces that

prioritize user experience, ease of use, and efficiency.

STRENGTHS

1. Improved User Satisfaction: Systems designed with user needs in mind

generally lead to higher user satisfaction and engagement.

2. Increased Efficiency: Intuitive interfaces and workflows contribute to

increased user efficiency and productivity.

LIMITATIONS

1. Balancing Stakeholder Needs: Striking a balance between user needs and

business requirements can be challenging, especially when they conflict.

2. Resource Intensive: Iterative design and testing processes may require

additional time and resources compared to a more linear development

approach.
4. COLLABORATIVE TOOLS IN LIBRARY ENVIRONMENTS:

The incorporation of collaborative tools within library systems is explored by

researchers such as Wang et al. (2022). Their studies delve into the impact of

collaborative technologies on knowledge sharing and collaborative learning within

academic library environments.

FEATURES

1. Real-Time Communication: Enable instant communication among library

staff, allowing quick information exchange and collaboration.

2. Document Collaboration: Platforms like Google Workspace or Microsoft

365 facilitate collaborative editing and sharing of documents in real-time.

3. Project Management: Help organize and track projects, allocate tasks, and

manage deadlines efficiently.

STRENGTHS

1. Improved Communication: Collaborative tools enhance communication

efficiency, reducing delays in information sharing among library staff.

2. Enhanced Information Sharing: Real-time collaboration and document

sharing promote knowledge sharing and ensure that staff members are

working with the latest information.

LIMITATIONS

1. Security Concerns: Ensuring the security of sensitive information shared

through collaborative tools is crucial. Libraries need to implement proper

security measures.

2. Dependency on Technology: Collaborative tools rely on technology, and

technical issues or system downtimes may impact day-to-day operations.


5. SECURITY AND PRIVACY IN LIBRARY SYSTEMS:

Ensuring the security and privacy of user data within library systems is a paramount

concern. Works by Brown and Jones (2017) and Li et al. (2021) provide insights into

the best practices for implementing secure and privacy-preserving features within

digital library environments.

FEATURES

1. Access Control: Implement secure login mechanisms to ensure that only

authorized users can access the library system.

2. Data Encryption: Use encryption protocols (e.g., HTTPS) to secure data

transmission, protecting information as it travels between servers and

clients.

STRENGTHS

1. Protection of User Data: Robust security measures safeguard user data,

including personal information, borrowing history, and other sensitive details.

2. Prevention of Unauthorized Access: Access control mechanisms and

authentication protocols prevent unauthorized individuals from accessing

confidential library information.

LIMITATIONS

1. User Education: Limited user awareness and understanding of security and

privacy measures may lead to unintentional security lapses, such as weak

passwords.

2. Resource Constraints: Smaller libraries with limited resources may face

challenges in implementing and maintaining sophisticated security measures.

3. Third-Party Integrations: Integrating with third-party systems or services

introduces additional security considerations, and vulnerability


By synthesizing these diverse topics, the literature review forms a solid

foundation for the proposed project, offering insights into both the challenges and

potential solutions in the development of an adaptive University Library Management

System with robust customer relation support.

This comprehensive review not only identifies key research areas but also

establishes a nuanced understanding of the current state of library systems, customer

relations, and related technologies, guiding the development of the proposed system.

PROJECT MOTIVATION

The proposal for this project is motivated by the desire to create a more user-

centric experience on modern library management system with intuitive interfaces,

advanced search functionalities, and personalized features thereby improving user

satisfaction and engagement. Another motivation for proposing this research is to fix

the tedious and time consuming nature of library registration especially among first

year students on the campus who should rather use that time for study or more

important executive use of their time. Existential problems facing existing library

tradition of outdated paper works, non permission for unregistered people to have a

one time use of the resources without undergoing the hazzles of library registration

and slow speed of registration will be tackled.

I am motivated to build a system that not only tracks borrowing history but

also integrates CRM [Link] includes personalized recommendations,

notifications, and communication channels to foster a stronger connection between

the library and its users and implement analytical tools within the system. These tools

will help librarians analyze usage patterns, track popular resources, and make

informed decisions about resource acquisition and library services.


PROJECT AIMS AND OBJECTIVES

Aim: This study aims to address these challenges by proposing and implementing a

University Library Management System with Customer Relation Support. By

integrating modern technologies and interactive features, the system seeks to

overcome the shortcomings of traditional library management, fostering a more

efficient, user-friendly, and engaging environment within university libraries.

Objectives : The objectives of this project, if it is accepted, is to firstly design a user-

friendly and comprehensive University Library Management System that efficiently

manages library resources and also provide a system where curious outsiders can

readily access information for a one time use. Moreover we will implement a

Customer Relation Support module within the system, facilitating personalized

interactions and support for library users and finally evaluate the impact of the

implemented University Library Management Systems(ULMS) with Customer

Relations Support (CRS) on the overall efficiency of library operations and user

satisfaction.

METHODOLOGY

The research will adopt a combination of system development methodologies

for our proposed ULMS design and implementation. Using this approach, there are 4

stages of developing this system which are;

Firstly, surveys would be carried out by orally interviewing students and

members of staffs in the university environment who are conversant with the use of

the library and its resources. Thereafter analysis of the current library would be

carried out ourselves to note all the limitations that the current system has a very
inefficiency in the system will be noted and marked for improvement. The third stage

is the design of a modern University Library Management System that is an

improvement of the limitations of the existing systems using our various front end and

back end technologies. Finally the system will be tested for by all members involved

in the running of the management system, this is the part where any lag or bug in our

system will be fixed. Also any dissatisfaction by the members will be looked into in

order to ensure that this new system is as big improvement over the old one.

System Design: The proposed Library Management System is a web based system

used by both the administrator and users as a way of keeping records of the books

stored in the library and monitoring every registration and usage transaction

performed by the user. Two categories of users are available, they are registered and

unregistered, the registered users individually through the web interface create records

using personal unique details eg matric no, passwords, dept, level etc.

The system is capable of authenticating registration requests by confirming if

matric number is valid and if a record exists already, using student’s database, and

students become registered if details are valid. This way registration is speedy and

also effective, users can log in to the library online portal to view e-books. The system

administrator decides and allocates books and publications (E-books) that can be

available for people who visit the system as unregistered users.

People can use the system even without being registered where they can use

the allowed library materials that are available in software on the system website.

The system also has a section where library information and journals are being posted,

the administrator supervises this online news section so users that are away from the

library can easily access it.


In order to assess the proposed system's efficiency, parallel methods enable its

use alongside the current system. This is why the proposed system's design approach

is parallel. Because the top-down technique makes it possible to analyze the system

piece by piece, it is also employed in design.

Software requirement for this endeavour includes; using the windows 8

operating system due to its stability and greater functions and also using the database

MySQL which is used because it is straightforward to develop, understand, and

retrieve records through English-language queries. HTML will be used to write all

code and web page structures with cascading style sheets used to style it. Javascript

will be used for further styling and animations while PHP will come in handy for

server-side scripting.

For hardware, Intel core i5 2nd generation is used as a processor because it is

fast than other processors and it is very reliable. Also the system memory

specification will be 4GB of RAM as it will provide fast reading and writing

capabilities and will in turn support in processing.

This study will focus on the design and implementation of the ULMS with

CRS in Ekiti State University library context. The scope includes cataloging, periodic

backing of records to a cold storage, circulation, user interactions, and customer

support and information dissipation. However in the context of our design and

implementation project, broader aspects such as external partnerships are not covered.
EXPECTED CONTRIBUTION TO KNOWLEDGE

The successful implementation of the proposed ULMS with CRS is

anticipated to enhance the efficiency of library operations and user satisfaction. The

outcomes of this research will contribute valuable insights to the field of library

science and information management, offering a model for other academic institutions

seeking to modernize their library systems.

The project will contribute to knowledge by introducing an innovative system

architecture that integrates the traditional library management functionalities with

advanced customer relationship support features. This includes the design of a

modular and scalable system, leveraging contemporary technologies to ensure

flexibility and adaptability. Also it will apply user-centrist design principles to the

development of the library management system. This includes the implementation of

intuitive interfaces, personalized user experiences, and responsive design, ensuring

that the system is accessible and user-friendly for a diverse audience.

The project will contribute to the existing knowledge base by presenting a

comprehensive integration of CRM features within the library management system.

This involves the development of tools for customer profiling, communication

channels, and recommendation systems, fostering stronger relationships between the

library and its patrons.
