 Introduction of Evening Unfold Event System

Event management is a process of organizing a professional and focused event, for a

particular target audience. It involves visualizing concepts, planning, budgeting, organizing
and executing events such as wedding, musical concerts, corporate seminars, exhibitions,
birthday celebrations, theme parties, etc. Event Management is a multi-million dollar
industry, growing rapidly, with events hosted regularly. Surprisingly, there is no
formalized research conducted to access the growth of this indust ry.

On the profession side, event management is a glamorous and exciting profession that
demands a lot of hard work and dynamism. The logistics side of the industry is paid less
than the sales/sponsorship side, though some may say that these are two different
industries.

Event management is the application of project management to the creation and

development of large scale events. The process of planning and coordinating the event is
usually referred to as event planning and which can include budgeting, scheduling, site
selection, acquiring necessary permits, coordinating transportation and parking, arranging
for speakers or entertainers, arranging decor, event security, catering, coordinating with
third party vendors, and emergency plans. The events industry now includes events of all
sizes from the Olympics down to business breakfast meetings. Many industries, charitable
organizations, and interest groups hold events in order to market themselves, build
business relationships, raise money, or celebrate achievement. An event refers to a social
gathering or activity, such as a festival,( for example a musical festival), a ceremony( for
example a marriage ) and a party(for example a birthday party).
 Existing System & Need for System

This existing system is not providing secure registration and profile management of all
the users properly. This system is not providing on-line help. This system
doesn’t provide tracking of users activities and their progress. This manual system gives
us very less security for saving data and some data may be lost due to mismanagement.
This system is not providing event management through internet. This system is not
providing proper events information. The system is giving manual information through
the event management executer. There is a lot of paper work, maintain details of site’s
which is very tedious & crude method. So, understandably to maintain the records of
customers manually is very difficult. A lot of time is required for Registration and
maintain the records of customer details.

There is a need to replace the existing system by a system which will reduce the job to a
few clicks &which will help to maintain the important records accurately and safer.
System should also help for faster retrieval of data and show the result instantly.

Scope of Project

The objective of this application is to develop a system that effectively manages all the
data related to the various events that take place in an organization. The purpose is to
maintain a centralized database of all event related information. The goal is to support
various functions and processes necessary to manage the data efficiently.

 Proposed System

Event Management System is an Online event management software project that serves
the functionality of an event manager. The system allows only registered users to login
and new users are allowed to register on the application. This is a web application but
desktop application of the same application is also available. The project provides most
of the basic functionality required for an event. It allows the user to select from a list of
event types. Once the user enters an event type eg(Marriage, Stage Show etc), the
system then allows the user to select the date and time of event, place and the event
equipment’s. All this data is logged in the database and the user is setting up his
username and password while registering . The data is then sent to the administrator
(website owner) and they may interact with the client as per his requirements and his
contact data stored in the database.

Objective of System

The main objective of the Event Management System is to manage the details of Event,
Employee, Booking, Venue, Package. It manages all the information about Event,
Enquiry, Package, Event. The project is totally built at administrative end and thus
only the administrator is guaranteed the access.

Objectives are essentially aims broken down into specific targets, to facilitate event
delivery and evaluation. Events can deliver beneficial impacts and outcomes both for
the organizers and the host community, in addition to other stakeholders such as
participants, spectators, sponsors and the media.
 User Requirements

Event Management System (Evening Unfold) is a web-based service provided by

Information Technology Services for event organizers in all departments/units. It has
the following 3 functions:

Publicity: The Evening Unfold enables departments to publicize their events online for
members and/or the public.

Registration: It provides a registration facility, which is optional and departments may

choose to use for their events as appropriate.

Reporting: Data on public events will be extracted from the evening Unfold for internal
reporting (e.g. Budget and Resources Committee (BRC)) and external reporting to the
University Grants Committee (UGC) in the annual Common Data Collection Format
(CDCF) exercise.

Event managers should use the Evening Unfold ONLY for events organized by hku
departments/units.

 ADMINISTRATOR MODULE:

This module is the one who organizesall the users data, allow the various users to create the
id function.

 USER MODULE

- A user is the one that create an id and then loginwith the help of it and performs various
activities like view events, registerfor the events, checks the events status.

 NON FUNCTIONAL REQUIREMENTS:-SECURITY REQUIREMENTS :-

To ensure security from unauthorized access, use, modification, destruction, ordisclosure

from other persons, authentication should be performed by establishing login procedure.
With all the advances in event technology and online event management software
applications , the limitations of event planning templates and spreadsheets are
becoming more and more apparent to event professionals who want better and faster
ways to store, access and manipulate their event data. Yes, event planning spreadsheets
can and do still have a place in event management, but before you invest all your time
and effort in creating detailed event planning templates for your business or
organization, consider these seven big drawbacks of using spreadsheets as the
cornerstone for your event planning and management activities.

With the ease of using any software, there often comes the cost to pay of losing some
vital customization features. Many event planning softwares comes with a fundamental
and limited design. The users also find that features are not as intuitive as they need to
be.

To save yourself some trouble of wasting money on the tool with just bare minimums,
first, check out the software for a trial period and then take the decision of whether you
want to buy it or not.
The latest trends in event management show that there are some major changes in the
way an event lifecycle is approached. As social media and mobile communication are

lifecycles. The innovative tools that facilitate interaction now allow grabbing the
attention of visitors both online and offline. Event planners are mastering the
instruments for targeted event promotion, enabling fantastic personalization, and
getting new agenda for engagement. All that – quick as a flash.

Technology in events may be used in diverse ways, both conventional and new, but the
future still remains unknown. The only valid prediction that we can make about new
trends of events management industry: the future of it is mobile. Portable devices are
going to govern interaction, registration, and promotional activities. By learning how to
elevate your expertise and master new trends in event management, you can get ready
for tomorrow.
Event Management System is user friendly and cost effective system, it is customized
with activities related to event management life-cycle. It provides a new edge to
management industry.

Event management is the application of project management to the creation and

development of large scale events such as festivals, conferences, ceremonies, formal
parties, concerts, or conventions”. It is needed everywhere in many businesses like
retail, sport, finance, software etc. Different teams are needed to hire to manage an
event but still there are some chances of negligence in sending invitations to all,
payments and record maintains. These all things are necessary but time taking.

We developed a solution for all of you problems and name it as Event Management
System. Event Management System is a system that will reduce your work burden
along with your budget best thing is through EMS it becomes very easy to handle all
matters of attendee management as well as event marketing. It gives you complete
relaxation regarding the event and make you able to think about the growth of your
company and other important matters.
