Dear Madam,

Subject : Request to reconsider my deputation order

Wish you a merry Christmas! I hope that this letter finds you in best of health and spirit.
My purpose of writing is to let you know about few serious concern of mine and to request
you to reconsider/redesign my deputation order on the basis of those concerns.
Madam, I have been working as a diligent Employee since a span of ______ years in this
prestigious Organisation.
Very unfortunately, I am finding it non-feasible for me to move to another city on an instant
basis due to following concerns:-
[Link] wife has undergone a brain tumour operation in 2020 and still encounters serious
medical problems on a frequent basis – which needs emergency medical attention and
intervention on an immediate basis. Thus presence of the only male in the family (which is
me ) in these situations becomes essential.
2. My wife is a working lady- thus has to attend her office despite her medical complications
and cannot shift her base out of Kolkata.
3. My daughter is only 4 year old,and attends a very renowned and top school in Kolkata so
transfer of School will ruin their future – Since my wife has some medical issues -the major
responsibility depends on me in their growing up days.
4. We have two completely dependent member in our family, one is my Aunty(Bua) who is
elderly (84 yr Old) and with many serious medical complications and another one is my
Sister-in-Law who is differently abled- they need to visit physicians/clinics on a regular basis
for check ups and treatments-accompanied by me.
Having served this company with my full zest, it is requested to please reconsider/redesign
my deputation orders on special grounds due to the above-mentioned reasons.
I don’t have any relatives living here in Kolkata as well so that my family can be looked after
properly in my absence in Kolkata.
It is my earnest request you to consider an alternative arrangement for me like -15 days tour
to Berlin (continuous or in phased manner) every month based out of Kolkata till the
deputation period gets over -keeping in view of my situation where it is evident that I need
to remain available in Kolkata as much as possible in case of any emergency that may arise in
my family.
I hope you’ll consider my request. I shall remain obliged.
With regards

Balancing stringent work-role expectations with pressing family obligations could lead to significant health and psychological impacts on the employee. The stress of meeting professional targets while handling family emergencies could result in anxiety, fatigue, and burnout. Constant worry about family health and wellbeing in their absence could impair their focus and productivity at work. Moreover, the lack of sufficient time for rest due to travels and emergency family caregiving might exacerbate stress levels, leading to possible long-term health issues such as hypertension or mental health disorders .

The employee’s request highlights values such as family responsibility, duty of care, and the importance of being present for loved ones, especially during health crises. Their detailed articulation of family needs reflects a principle of prioritizing familial duties over personal convenience or professional advancement. Additionally, their willingness to fulfill work responsibilities to the extent possible underpins a sense of professional integrity and commitment. This balance indicates values centered on duty to family without neglecting professional obligations .

If the employee is relocated outside of Kolkata without any modifications, they may encounter significant barriers in fulfilling work duties due to frequent emergencies demanding their presence in Kolkata. The care needs of their wife, daughter, and two dependent family members would place considerable strain on their availability and focus. This could lead to increased stress, reduced productivity, and possibly result in absenteeism, affecting their professional performance adversely .

The organization should consider ethical factors such as the employee's right to family care, particularly given the serious medical conditions faced by their family. Supporting the employee in their request could reflect the organization's commitment to employee wellbeing and work-life balance, promoting a positive organizational culture. Furthermore, the organization should weigh the potential impact on the employee's mental health and productivity if the request is denied. Balancing operational requirements with compassion and empathy for the employee’s personal circumstances is crucial in ethical decision making .

The effectiveness of the suggested alternative work arrangement likely hinges on the flexibility of the work in Berlin and the level of autonomy in traveling arrangements. A 15-day tour per month could potentially maintain the employee's involvement in key meetings and discussions, thus upholding their professional responsibilities. On the personal front, this alternative could ensure the employee's presence during family crises, providing vital support. However, the challenge lies in the feasibility of splitting attention effectively between the dual responsibilities without compromising either significantly .

The employee demonstrates an understanding of possible organizational constraints by proposing a feasible solution that accommodates both their personal situation and work obligations. The suggestion of a phased or continuous 15-day tour to Berlin each month shows awareness of the company’s need for their presence in Berlin while also catering to urgent family needs in Kolkata. This reflects a consideration for the company’s operational requirements while addressing personal constraints .

If the deputation order is not reconsidered, the employee might face significant long-term career implications. Continued stress from juggling unsustainably high family and work commitments could impair their professional focus and performance, potentially leading to stagnation or a negative impact on career progression. Additionally, failure to fulfill family obligations might affect their personal life balance, causing dissatisfaction and burnout, possibly influencing their decision to seek more flexible opportunities elsewhere, cumulatively affecting long-term career trajectory adversely .

The employee proposes an alternative arrangement where they would undertake a 15-day tour to Berlin each month, either continuously or in phases. This arrangement would allow them to remain based in Kolkata and thus be available for any family emergencies that arise, while still fulfilling their work requirements for the deputation .

The employee's request strongly indicates a prioritization of personal responsibilities over professional duties, emphasizing the necessity of being present in Kolkata due to critical family health issues. However, the employee also proposes a compromise by suggesting a reduced but consistent work presence in Berlin, demonstrating a commitment to maintaining job responsibilities while addressing personal challenges. This reflects a balanced approach where essential family needs are given precedence, yet professional obligations are not completely disregarded .

The employee cites several reasons for requesting reconsideration of their deputation order: 1) Their wife has undergone a brain tumour operation in 2020 and requires frequent medical attention, necessitating the employee's presence for emergencies. 2) The wife's professional commitments prevent her from relocating. 3) The daughter attends a prestigious school in Kolkata, and transferring her could adversely affect her future. 4) The employee's family includes two dependents with special needs: an elderly 84-year-old aunt and a differently-abled sister-in-law, both requiring regular physician visits. No relatives are available in Kolkata to assist in the employee's absence .
