Module 2 DEVELOPMENT OF BUSINESS PERSONALITY

IT WILL MAKE YOU A VALUABLE MEMBER OF THE OFFICE TEAM

 „No man is an island‟. To be successful in business, YOU must learn to work with
others and to get others to cooperate with you.

WHAT IS TEAMWORK?

 Teamwork means harmonious cooperation. Personalities may sometimes clash,


but they cannot continue in conflict to the point where cooperation becomes
impossible.
 An executive may have strong opinions about the direction his business firms
should be going, and how it can best get there.
 Once policy has been and the goals established by top management, everybody
must pull with the rest of the team, not against it.
 If even one member of a team holds back or tries to push or pull in a different
direction, that lack of team work among the office workers may sabotage the
company‟s chances of achieving its goals.

Since teamwork is important in business, it is important, you should understand


its nature and development.
 Good intentions and lip service are not enough.
 You must be able to know the techniques and procedures on how to be a
valuable member of your office team.

BEGIN WITH ONESELF


UNDERSTANDING YOUR PERSONALITY
 Personality refers to the total person.
 Personality refers to the expression of what you are and what you do

A person‟s personality is the sum of the qualities that distinguishes one from
everyone else.
 Personality is the interpretation of your inner self to other people.
 Your personality is shown by your total behavior and by the responses of other
people to that behavior.
Your personality is projected in many different ways, namely through the PEPSI
aspect:
 Physically, by your facial expression, manner of dressing, grooming, posture and
poise.
 Emotionally, by the way you control or express your strong feelings of emotions
such as love, anger, sadness, joy, and the like.
 Psychologically, by your attitudes and the way you practice your moral values.
 Socially, by the way you behave in different life situations and the way you relate
with different kinds of people you come and contact with.
 Intellectually, by what you talk about and how you talk, by the way your think, by
the way you make decisions, and the way you handle various office and life‟s
problems.

The impact of your personality causes others to respond to your either favorably
or unfavorably.
 People may respond to you unfavorably, when you have a repelling personality.
 Repelling personality are those people who find it hard to adjust to other
people and people find it hard to adjust to him or her.
 People may respond to you unfavorably, when you have an appealing
personality.
 Appealing personality when you find it easy to adjust to different life‟s
situation and can relate to different kinds of people.

Two Kinds of Personality & your influence to other people

 YOU can have a negative personality and be a BI or bad influence to those


people around you,
 YOU can have a positive personality and be a GI or good influence to those
people around you, whose lives you will be privileged to touch.

Personality is dynamic, which means it can be changed. Personality can be


improved and it can be developed. That is why there is personality development.
 However, there are two kinds of change that can happen to one‟s personality:
 Change for the better
 Change for the worse

The ultimate goal of this Module is to help change or develop one‟s personality
for the better.

Why is there a need to study Personality Development?


 When we talk about personality, it concerns YOU
 When we talk about personality, it concerns ME
 When we talk about personality, it concerns US!
 Anyone who deals with people, which all of us does, is concerned with
PERSONALITY.

We, therefore, study personality:

1. Because of the urgent need to understand ourselves first. It can spell a lot of
difference between success and failure in our dealing with different kinds of
people.
2. In our day-to-day life, we come in contact with many kinds of people.
 Some we like, some we dislike, some we have no particular feeling about.
 We must learn to get along with all these types of people, if we have to
survive and to succeed in life.
 It is impossible to associate only with those we like.
 Our success in life depends on how we learn to understand different kinds
of personality.
3. We study personality because of our strong desire to improve our own
personality.
4. We want to have a clear understanding of people so that we can adjust to them
and develop a harmonious and happy relationship with one another.

DEVELOP A BUSINESSLIKE IMAGE… A CORPORATE LOOK


First step: Improve your visible characteristics your physical appearance
 When their personality faults are uncovered, most people find that they have
some faults, which belong in the class of physical deficiencies. Some of them
cannot be remedied. No one, for example, can change from being a short man to
a tall one.
 But many of our physical faults can be improved, such as:
 A poor complexion can often be improved through better diet and exercise
 Posture improved through practice and exercise
 Teeth can be straightened.
 Hairstyle can be changed
 Facial expression can be more pleasant
 Fundamental to every element of physical appearance is your state of HEALTH.
 Good health radiates in the:
 Glow in your eyes
 Sparkle in your hair
 Your complexion
 Your posture reveals the state of your health
 The tone of your voice
 Your movements
 Your health is the foundation of your personality.
 Take care of your health if you want an attractive business personality.
 Negative or a disagreeable personality is a handicap to an office worker who
meet almost any segment of the public when one come in contact with co-
employees, competitors, customers, and superior.

TEN BASIC GROOMING REQUIREMENTS FOR CREATING A POSITIVE &


APPEALING BUSINESS PERSONALITY

1. You should always look your best by being presentable because you represent
your company. Observe good posture at all time whether you are seated,
standing, and while walking. You should always have poise, which means being
calm and cool even when faced with a difficult situation.
2. You should show that you are an organized person by your appearance. This is
obviously true because-how can you organize your work properly if you can not
even organize yourself by the way you look?
3. You should always have a clean, neat, and businesslike appearance from the
head down to your feet. This would require the basic practice off good grooming.
4. Clothes should be simple and appropriate for business wear. Your wardrobe will
never be complete unless you wear a „smile‟.
5. Hair should be neatly combed with becoming hairstyle. Choose a hairstyle that
will not take so much of your time to maintain.
6. You should be sweet-smelling at all times with the right fragrance. Avoid
perfumes that are too strong.
7. Pieces of jewelry and other accessories should be simple and well-coordinated
with her basic wardrobe.
8. Fingernails are well cared and properly trimmed. At work, your most displayed
body part, aside from your face, are your hands.
9. Make-up should be suitable and evenly applied. Make-up should be used to
enhanced the beautiful features of your face.
10. Your shoes be clean, well-shined, and preferably should be in matching colors
that harmonizes with your wardrobe.

Second Step: Improve your Invisible Characteristics-your Attitudes and Traits


Watch your attitudes, it can affect your life
 Success is more likely to happen to those people with a positive attitude in life
 Failure is commonly experienced by those who have a negative attitude in life

How do you communicate your attitude?


 By your body language (even if you do not talk)
 By your facial expressions
 By what you think and what you say
 By the tone of your voice
 By the way you behave (your actions speaks louder than your voice)

LIST OF ABILITIES REQUIRED FOR OFFICE PROFESSIONALS

1. ABILITY TO BUILD GOODWILL


 You are required to be a good public relation person of your immediate
superior as well as the company.
 You should always make your boss looks good to his subordinates, fellow
executives, and other people especially to clients and customers.
 You should create a good image of the boos and the company where you
belong.

2. ABILITY TO FOLLOW THROUGH


 This means you should see to it that every job is carried to its completion.
 You must follow up frequently and seriously every job you undertake until it is
completed.
 You should check from time to time the work to be done to be sure that you
will not fail in your commitments with your immediate superior and with your
customers.

3. ABILITY TO REFLECT COMPANY OBJECTIVES AND POLICIES


 You as a part of the management team should help interpret the
management‟s point of view to her co-workers, to the clients or customers,
and to the public. To do this, you should be thoroughly familiar with the
objectives and policies under which the company operates.
 As an assistant to the executive, you should be a “model” because her
attitudes, work habits, and the way you interpret the rules and regulations of
the company will influence the attitude of the other members of the
organization.

4. ABILITY TO KEEP CONFIDENTIAL INFORMATION


 It is an undeniable fact that will know about what us going on in the company
than anyone else in the organization.
 As the right hand of the boss, you are often used by bosses as sounding
boards when they want to talk about confidential matters. You can do this
only, if you know that you will keep to your self all confidential matters
revealed to you. You have to earn the trust and confidence of the executive
that you can keep confidential info.
 If you talk about what you know about the company, it can cause incalculable
damage to the company and to your boss.
 If you know how to keep confidential information, you will be well trusted by
your superiors and her co-workers.

5. ABILITY TO COMMUNICATE IDEAS EFFECTIVELY


 You should be able to express your ideas clearly.
 Since you will often speak for your boss, you should communicate your ideas
effectively.
 Having a pleasant voice is not enough, although that is very important for you
in your job as an executive assistant.
 You should learn to put ideas into words what you want to say or
communicate.

6. ABILITY TO DEVELOP VARIETY OF INTEREST


 You will be expected to keep up-to-date in outside affairs because being
interested in the word happenings is a sign of a healthy mind.
 You should try to be involved in civic, community, and social affairs. This will
keep your mind active, updated, and your whole being alive. You will also find
meaning to your life if you know you are able to help those who are in need.

7. ABILITY TO BE FLEXIBLE AND ADAPTABLE


 The ability to accept changes willingly is of inestimable value.
 Changes in work surroundings, procedures, equipment, and company
structure may come quickly. A flexible and adapted accepts changes with a
let‟s-give-a try attitude and then does everything possible to see that the new
arrangement works.
 Only the person set in his or her ways will say, “Why changes? It works fine
the way it is “or” we‟ve always done it that way,” and then grudgingly tries the
new way with no intention of making it work.
 With the many fast technological advancement in offices today, you will be
expected to have the ability to be flexible and adaptable. This ability help you
succeed at work.

8. ABILITY TO DISCIPLINE AND CONTROL ONESELF


 Self-discipline (doing what is right even when there is no one watching)
 Self-control is a mark of maturity but not every mature individual is self-
controlled!

These are the attributes of a self-controlled person:


- The engaging of one‟s brain before putting one‟s mouth in motion.
- Thinking of the consequences of one‟s words of acts before saying or doing them
- Keeping one‟s temper in check at all times
- Never resorting to tears in the office when things go wrong because you cannot
think clearly when you are over-powered by your emotions.
LIST OF SENSES REQUIRED FROM OFFICE PROFESSIONALS

1. SENSE OF ANTICIPATION

 You should learn to know what the boss will need before he asks for it and
what activity the boss will do next and is always prepared for it.
 This means knowing in advance what will be needed and being prepared for it
when the need arises.

2. SENSE OF MORAL VALUE

 you should have a high sense of moral value and not easily overcome by
temptations.
 You should do everything well even without an observer because you realize
it is your duty and that you value highly ever job assigned to you. It is your
belief that your success is also the success of the company.
 Remember: the test of your true character is when there is no one watching
YOU.
 she is tolerant and understanding about gossips, criticisms, jealousies, and
shortcomings of others. Gossips stops should stop at your desk because you
will not spread them anymore.

3. SENSE OF RESPONSIBILITY

 You accept and do your job with seriousness.


 You try all means to finish any task assigned to you and submit them on due
time and with satisfactory results.

4. SENSE OF HUMOR
 A sense of humor can make tense situation less formidable. Stories in poor
taste may be told in your presence.
 If you act as though you have never heard a lewd phrase or a suggestive
word, you will be the target of those who deliberately try to shock you,
perhaps can even be sexually harassed by obscene jokes.
 A holier-than-thou attitude is not considered appropriate for the office.
 But learn to recognize if it is an abuse already of your sense of dignity. You
should also learn to ask them to stop if it is below the belt, so to speak.
 Sense of humor is when you know how to laugh at your own mistakes and not at
the mistakes of others.
 Sense of humor is making the life of the people around you a pleasant place to
live in.
 However, making people laugh at the expense of others is not a good sense of
humor.

5. SENSE OF GRATITUDE
 Gratitude is a value that makes you feel thankful for all the blessings that
come your way, such as:
- Having a job, others do not have or still looking for
- Having a boss who understand you and pays you
- Having a boss who is giving you the chance to work with him or her
become productive members of our society
- Having a job, where you will have an opportunity to serve others for the
greater glory of God
 Gratitude is being able to see that whatever happens in life and at work has a
reason thereby you become thankful for what ever happens (whether good or
bad), and you consider everything as an opportunity to learn or to do better.

6. SENSE OF RESPONSIBILITY
 Responsibility has two forms:
 Explicit (things you have been delegated or told to do or that were part
to your job description when you were hired) and
 Implicit (things you have taken upon yourself to do and which you
have done so well that you are now responsible for them although no
one has implicit told you to be).
 Responsibility is personal.
 You are responsible for getting things done on time and correctly.
 You are responsible for the careful proofreading and checking of dates,
figures and spellings of names.
Performing your explicit jobs well is expected of you; performing your implicit tacks well
makes you grow on your job and cause your executive to say when someone asks him
or her to release you for a more important job.

“If you can find me somebody as responsible as she is to take her place, I’ll let
her go. As of now, she is simply the best assistant I ever have.”
That is a compliment for a job well done!

 As you become known as one who can handle responsibility competently, you
may call upon to be a problem solver.
 In every office thing to go wrong between human beings. Although you may not
always be able to help right the wrongs, you may sometimes be able to help
solve the problems by:
1. Keeping calm
2. Getting all the facts from every side
3. Talking and listening to everyone involved
4. Sifting the emotional statements from factual ones
5. Seeking solutions from others as well as trying to brainstorm them your self
6. Considering the advisability of a cooling-off period before suggesting anything
7. And recommending solutions but not forcing them on anyone.
 In any discussion of responsibility, the concepts of authority and accountability
must also be considered.
 Authority is the right and or/obligation to command with the expectation of
being obeyed. If someone is given the responsibility of doing something, then
he must be given as equal amount of authority to get it done.

TWO KINDS OF AUTHORITY


 Authority can be full (authority to decide something and carry it out) or limited
(authority to carry something out only). When you give people full authority to
decide how, when, or where, they will try to do their job in the best way possible
to prove their judgment was good.

ACCOUNTABILITY
A word often misunderstood is accountability. You are always accountable for
everything you do to your self and for the things anybody to whom you have delegated
responsibility and authority does.

In other words, you can be called to account for your action, for those of your
subordinates, and for those you delegate. For this reason, accountability and control or
supervision are inseparably linked.

If you are responsible, you also know your accountability to your company, to your boss
to your co-workers, to your peers, and to your customers.

7. A LOT OF COMMON SENSE


You should be able to have a lot of common sense because a lot of your things
to do will requires this.

Common sense is your ability not to ask question any more because your
common sense gives the answer already.

The use of common sense is one of the senses that will help you survive on the
job.

8. SENSE OF LOYALTY
 A person who is loyal sticks to someone or to the company not only in times
of “plenty” but also in times of “crisis” until it can recover and in due time
bounce back to prosperity.
 A loyal person understands the boss‟s weaknesses and does not reveal them
to others.
 A loyal person should defend her boss, if need be, to anyone who questions
his motives.
 Confidential matters must remain so- not a hint may you give that privileged
information which you cannot share to others as a sign of your unquestioned
loyalty.
 A loyal person should believe in the company as a whole-in its objectives and its
management. A loyal employee never criticizes company policies to other
persons.
 A loyal person should be dedicated to her work always by giving an honest work
for a day‟s pay. If you are loyal. You also are proud of your position, and you take
pride in what your organization is, does, or procedures.
 Dedication to your superior and to your organization is absolutely necessary in
your business life. If you cannot be loyal to either, you should seriously consider
finding another position.

LIST OF OTHER DESIRABLE ATTITUDES AND TRAITS THAT YOU HAVE TO


DEVELOP

PUNCTUALITY
 Observe your office hours scrupulously.
 If you have permission to begin work at a later hour some day or taken an extra-
long lunch break or leave early, be sure to let others in your area know the
reason.
 Morale deteriorates speedily when workers see their co-workers supposedly
getting special privileges that they don‟t get.
 Punctuality also means getting work done when you‟ve promised it.
 If this is not possible, you notify the person for whom you are doing the work
sufficiently far in advance that his plans can be adjusted.

TACTFULNESS
 The word “tact” means doing and saying the right thing at the right time and in
the right place.
 She should not only know the right thing to say and to do, but equally important is
knowing how and where to do it.

DEPENDABILITY
 A secretary is said to be dependable if she can be relied upon in any activity.
 A secretary who is dependable is always prompt in reporting to the office and
stand by in any emergency.
 A dependable secretary is willing to make personal sacrifice for the call duty.

EMOTIONAL STABILITY
 This trait involves thorough knowledge of the job and self-control no matter what
happens in the office.
 Almost every office experience crisis like peak work-loads, unexpected absence
of the boss, or a key employee got sick can create a situation in which the you
should always remain calm in solving each problem.
 Personal emotions like anger, hatred, irritations, envy, sadness, and the like must
be controlled so that everyone will keep the work moving and no office function
will be delayed or hampered.

COST-CONSCIOUSNESS
 A secretary is expected to perform her job in the most economical way.
 A cost-conscious secretary should know how to budget her time and carefully
organize her work so that no time, money, and effort will be wasted.
 A secretary who is cost-conscious avoids waste in everything he or she does,
including precious business hours.

INDEPENDENT MIND
 An alert secretary should have a mind of her own.
 A secretary should promptly and tactfully speak up her ideas, and is not even
afraid to say “NO” tactfully whenever she is not in agreement with the other
person‟s point of view.

THOUGHTFULNESS
 Opinions that others have are important. It‟s wise to remember that in any
argument or discussion between you and another, there may be your side, his or
her side, and “the right side”.
 Thoughtfulness is closely linked with courtesy. Stopping at another secretary‟s
desk before going on to see the executives, and carefully considering word
choice when giving instruction to be sure that your words reflect your executive‟s
thinking and direction and are not merely your authoritative delegation of work –
these are examples of professional thoughtfulness.

COOPERATION
 you and your executive must work together comfortably and happily. Your
executive is the most important person in your business life. He or she too is a
human being with traits and behavior that are not always perfect.
 When he left off steam and you are around to bear the brunt of the remarks, do
not take the words personally and do not vow inwardly to get even or, worse,
hold a grudge.
 Cooperation extends to working with others to get a job done even though some
of the tasks you are asked to do or not “your job”.
 It is always right to offer to help a fellow employee who is over loaded with work
when you have time to assist unless you have been given specific instructions
not to do so. This is related to the next trait.

HELPFULNESS
 When your employer asks you to perform a task that you consider to be of a
personal nature, or you may be asked by the executive to run a personal errand,
you should- cooperate willingly because you should realize that by taking care of
these time-consuming details, you free the executive to make the policies and
decisions that are his or her job.
 If your executive is a woman, your cooperation is exactly the same as that which
you would accord a man; your executive‟s sex makes no difference.

HUMILITY
 Humility means being able to accept justified criticism well and to look at it
objectively for what it is meant to be: a signal to you to help you increase your
value to your superior and to your organization.
 Humility also includes the ability to accept praise and compliments gracefully and
with a genuine “thank you” as the response.

TOLERANCE AND CONSIDERATION


 People differ in mental ability, interest, goals, personality, and character,
appearance, physical and mental health, and behavior.
 How dull this world would be if everyone were alike! Consideration of these
difference will make your office a more livable place for everyone.
 Patience, pity, sympathy, empathy, and kindness are traits of the tolerant and
considerate person.

SENSITIVITY
 Sensitivity to those around you will develop on the job.
 You must be constantly aware, alert, and what observant.
 You learn by trial and error and by experience:
 what pleases and what displeases your executive
 when he or she wants to be interrupted and when he would rather be alone
 when his dictation or consultations
 and where and in what form he likes finished work to be represent to him.
 You thus begin to anticipate his needs before he asks.
 You are sensitive to the likes and dislikes of your co-workers in the same
manner.
 And you also sensitive to your own foibles, knowing that the tendency exists to
look at the self through rose-colored glasses while severely criticizing others who
have the same traits. (If someone else oversteps the bound of etiquette, he‟s
rude; but if you do so, you‟re original) that is not good!

COURAGEOUS
 You are not afraid to accept responsibility and you reach out for additional duties
that you know you can be responsible for.
 You give your opinions or ideas when you have sufficient background and
experience to have formed a reliable opinion that can be backed up with facts
and figures if necessary.
 You do not wait to be reprimanded if it does not go well but realizing, too, that
this is the way to grow on your job.
 You should have enough courage to tell your boss information about the
company, even if you know it will hurt him.
 Your courage is also important in standing up to defend your dignity as a woman
when there is someone in the office who is trying to sexually harass you in the
office.

HONEST
 In your dealings with anyone, never lie. If your executive is playing and his
superior asks where he is, your answer might be, “he‟s with group of men.”
 If the superior asks, “where?” your answer should be, “I‟m not sure exactly (and
you aren‟t-he could be teeing off, at the 6th hole or elsewhere on the course) but I
believe I can get in touch with him. Would you like me to try?”
 Honesty also extends to not appropriating company supplies for you personal
use.
 As a trustworthy person, you admit your mistake and neither make excuses for
them nor shift the blame for them to others.
 You also can be depended upon never to feed the office grapevine.

FLEXIBLE AND ADAPTABLE

DIPLOMATIC AND OBSERVANT OF ETIQUTTE


 if the first name customarily used in your office, you must remember to use
courtesy titles and last names when visitors are present.
 Keep personal phone calls and personal visitors to a minimum.
 Remember your manners in the parking lot-in the mad dash to get to or from
work, some employees are safety hazards.
 You should be careful neither to interrupt others‟ conversations nor to finish their
sentences for them.
 You should not whistle, hum, chew gum, or mumble and talk to yourself at your
desk. If you smoke, you should be careful to see that the smoke does not go
directly into the face of someone else, and your own business.
 and you should bring your miniature radio into the office, it has to be played
“softly” making sure that the sound does not disturb other members of the office
staff.

POLITENESS
 politeness is remembering to praise in public and to reprimand or criticize
constructively in private.
 It is easy to be polite to nice people, but it takes the skill of a professional to be
gracious to one who is somewhat offensive, especially to an angry complaining
customer.

PLEASANTNESS
 Using a genuine smile even if you do not feel much like smiling is important in
business.
 You can do this if you do not bring your personal problems at work. To succeed
in business, learn to separate your personal with your professional life.

FRIENDLINESS
 Be equally friendly to everyone in the office.
 Do not have favorites and do to join cliques.
 Although you may have an especially good friend in your office, do not share
business information with that person.
 Be friendly, but not too personal especially with married people.

FAIRNESS
 While you should take credit for your own work, you also should give credit to
others for their ideas and their help with your work.
 In addition, you should mention to your executive the helpfulness of co-workers
and pass along to them any compliments or words of appreciation your executive
shares with you about them. Fairness is simply giving credit to people where
credit is due.

WELL-GROOMED
 You watch what the top-level office staff wear and use it as a guide
 Your appearance and clothes should always be such that you could be asked to
take an important visitor to lunch, sit in at a meeting for your executive, or greet
an arriving dignitary at the airport.
 Remember that the image you present of your organization should be a
businesslike one.
 Because you are considerate of others, you comb your hair, adjust articles of
your clothing, and clean your fingernails only in the rest room or at home.

WILLING TO TRAIN ANOTHER TO TAKE YOUR PLACE
