SAP SmartForm PDF Preview Limitation

This document discusses an issue where only one copy of a SmartForm with a "Copies Window" is generated when using PDF preview or conversion. The standard behavior is to only show one page at a time for security reasons. The resolution is that the one-page preview works as intended, and the full PDF should be generated using a print-to-file option instead of the PDF preview.

2512664 - Only one copy from the Copies Window is shown when PDF! is used
Component: BC-SRV-SCR (SAPscript), Version: 3, Released On: 15.11.2021

Symptom
You use a SmartForm which has a "Copies Window".
When printing or previewing this SmartForm, the contents of the "Copies Window" is fine.
However, when using the PDF Preview or the PDF! OK-command, only one copy will be converted into PDF.

Environment
SAP R/3 4.6C and above
SAP ERP 6.0 all releases
SAP NetWeaver all releases
SAP S/4HANA on-premise all releases
SAP ABAP Platform all releases

Reproducing the Issue

1. Create a SmartForm which contains a window with the type "Copies Windows"
2. Print or preview this SmartForm. The result will be fine
3. Use the PDF Preview function. Only one page will be shown, which is mostly (but not necessarily) will be the very first
page

Cause
This circumstance is the standard behavior.
The normal Print Preview only shows one page at a time, therefore the PDF Converter also only converts this one single page.
Consequently, only one page can be shown.

Resolution
The one-page-at-a-time mechanism works as intended because of security and Audit reasons: such conversions are not
traced/logged (in contrast to printing). If only one page will be shown at a time, it works exactly like the Standard Preview,
therefore information cannot be taken from the PDF preview.
This also means that this mechanism will not be changed.
Furthermore, the goal of the PDF Preview is not to generate the entire PDF document out of the spool.
If the entire PDF is required, please print it with a PDF-Device Type into file.
Otherwise, the SAP-standard Function Module CONVERT_OTF can be used to create the correct PDF to print.
PDF Preview and the OK-command PDF! cannot and should not be used for this purpose.

The PDF Preview is designed to parallel the standard print preview mechanism by displaying only one page at a time. This functionality ensures consistency in the preview processes, as both methods intend to prevent unauthorized extraction of information during preview by limiting the page visibility and following security audit measures similar to those used in a standard print preview .

The implications for auditing and security when using PDF Preview in SAP SmartForms include limited traceability of preview actions, as conversions are not logged or auditable like print activities. This enhances document security by preventing potential leakage of content through preview, as only a single page is visible, making it difficult for unauthorized extraction or misuse, thereby aligning with enterprise-level security protocols .

The 'Copies Window' displaying only one page in PDF Preview is due to the standard behavior where only one page is shown for security and audit reasons. The normal Print Preview only shows one page at a time, which results in the PDF Converter also converting only that single page. This mechanism ensures that information cannot be extracted from the PDF preview, which aligns with the security protocols that do not log such preview conversions, unlike the printing process .

The SAP-standard Function Module CONVERT_OTF plays a critical role in overcoming PDF conversion limitations by providing a method to generate complete and correct PDFs from SmartForms for printing purposes. It circumvents the one-page-at-a-time limitation of the PDF Preview by allowing batch processing of the form's content, making it suitable for generating full documents aligned with business needs .

The fundamental reason for the PDF Preview to mimic the Standard Preview in SmartForms is to maintain uniformity in document handling processes while ensuring security. By restricting both previews to a single page view, SAP ensures that unauthorized data extraction is mitigated, upholding their security protocols and audit requirements that protect sensitive information during the preview process .

The mechanism converts only a single preview page into a PDF because changing it could compromise security by allowing multiple pages or entire documents to be previewed without logging, posing risks of unauthorized access, data extraction, and potential misuse. The current measure is a safeguard to ensure privacy and confidentiality aligned with audit standards as it prevents tracing lapses that could arise from full document previews .

The SAP PDF Preview mechanism aligns with the enterprise's need for security and auditing by limiting page visibility to one at a time, which effectively prevents easy data extraction and ensures sensitive information cannot be included in bulk for unauthorized use. The lack of logging in the preview process supports tight security controls, thus meeting organizational auditing needs by avoiding potential discrepancies in preview and printing activities .

SAP does not intend to change the one-page-at-a-time mechanism for PDF Preview because it works as intended for security and audit purposes. Such conversions in the preview mode are not logged or traced, unlike the printed documents, which are auditable. The purpose is to prevent information extraction from the PDF Preview, ensuring that sensitive data is not compromised during the preview process .

The 'Copies Window' in SAP SmartForms is used to manage the replication of form content across multiple copies, which is crucial for document processes that require several duplications, like invoices. The conversion to PDF poses challenges because the preview tools are limited to displaying one page at a time for security reasons, thereby restricting the ability to view all the intended copies in a single PDF outcome .

SAP provides the alternative to print the document with a PDF-Device Type into a file for generating a complete PDF. Additionally, the SAP-standard Function Module CONVERT_OTF can be used to create the correct PDF intended for printing, which bypasses the limitations of the PDF Preview .
