This guide will provide basic guidelines in the preparation of your essays, reports, and assignments.
Use Times New Roman, font size: 11 pts., justified for the text.

In writing your reports, please be guided by the following guidelines:

• Do not plagiarize. Quote, cite sources, and paraphrase points discussed in your reports or
essays. Plagiarism is against university policies.

• Go straight to the point. Articulate your points with your rationalization, illustrative
examples, or perspectives. Back up or ‘meat’-up discussions with cited information, data, or
statistics.

1.2 Formatting and Style

1.2.1 Page formatting

Please write your assignments, essays, or report using Microsoft Word 2003 or lower or any
compatible software. Use letter size pages with 1-inch top, bottom, and right margin, and 1.25 inches
left margin. Write your report title, student no., and date on the header, and the centered page number
on the footer. Use this document template file for formatting.

1.2.2 Grammar and spellings

Always double-check your grammar and spelling. Use American spellings in writing the report (e.g.
color instead or color, capitalization instead of capitalization).

1.2.3 APA in-text citations and reference list

Please use APA for in-text citations and reference lists. Below are some basic and necessary pointers
for in-text citations and reference lists as shown in Purdue Online Writing Lab
([Link]

Short Quotations

If you are directly quoting from a work, you will need to include the author, year of publication, and
the page number for the reference (preceded by "p."). Introduce the quotation with a signal phrase
that includes the author's last name followed by the date of publication in parentheses.

According to Jones (1998), "Students often had difficulty using APA

style, especially when it was their first time" (p. 199).

Jones (1998) found "students often had difficulty using APA style"
(p. 199); what implications does this have for teachers?

If the author is not named in a signal phrase, place the author's last name, the year of publication, and
the page number in parentheses after the quotation.

She stated, "Students often had difficulty using APA style" (Jones,
1998, p. 199), but she did not offer an explanation as to why.

Long Quotations

Place direct quotations longer than 40 words in a freestanding block of typewritten lines, and omit
quotation marks. Start the quotation on a new line, indented 1/2 inch from the left margin, i.e., in the
same place you would begin a new paragraph. Type the entire quotation on the new margin, and
indent the first line of any subsequent paragraph within the quotation 1/2 inch from the new margin.
Maintain double spacing throughout. The parenthetical citation should come after the closing
punctuation mark.

Jones's (1998) study found the following:

Students often had difficulty using APA style, especially when

it was their first time citing sources. This difficulty could
be attributed to the fact that many students failed

to purchase a style manual or to ask their teacher for help.

(p. 199)

Summary or Paraphrase

If you are paraphrasing an idea from another work, you only have to make reference to the author and
year of publication in your in-text reference, but APA guidelines encourage you to also provide the
page number (although it is not required.)

According to Jones (1998), the APA style is a difficult citation

format for first-time learners. APA style is a difficult citation
format for first-time learners (Jones, 1998, p. 199).

Citing Indirect Sources

If you use a source that was cited in another source, name the original source in your signal phrase.
List the secondary source in your reference list and include the secondary source in parentheses.

Johnson argued that... (As cited in Smith, 2003, p. 102).

Note: When citing material in parentheses, set off the citation with a comma, as above. Also, try to
locate the original material and cite the original source.

Your reference list should appear at the end of your paper. It provides the information necessary for a
reader to locate and retrieve any source you cite in the body of the paper. Each source you cite in the
paper must appear in your reference list; likewise, each entry in the reference list must be cited in
your text.

Your references should begin on a new page separate from the text of the report.

Common questions

Powered by AI

In APA in-text citation style, authors and page numbers are included with quotations to ensure academic integrity by providing proper attribution to original ideas, thus avoiding plagiarism. Regular quotations include the author's last name and the publication year, with the page number following the quotation. For example, "Students often had difficulty using APA style" (Jones, 1998, p. 199). This precise referencing is crucial as it gives credit to original sources and lets readers locate the original text if needed .

The essential formatting guidelines include using Times New Roman font size 11, justified alignment for the main text, and writing on letter size pages with specific margins: 1 inch top, bottom, and right, and 1.25 inches left. The report title, student number, and date should be in the header, with the page number centered in the footer. Microsoft Word 2003 or compatible software is recommended. Style requirements also dictate the use of APA citation style, ensuring all sources are properly credited. Moreover, titles such as the report title should follow a consistent style, such as Arial font, size 9, italicized, and bold .

Research indicates that students often struggle with APA style, especially newcomers to the format, leading to performance issues in assignments requiring APA citations. According to Jones (1998), students have difficulty with APA due to lack of purchase of style manuals or seeking help from teachers . Educators should address this by providing instructional support and resources to familiarize students with APA guidelines, improving their citation skills and academic performance .

Critical elements for an APA citation in reference lists include a new page for references, alphabetical order by author's last name, and detailed bibliographic entries, with each source following specific formats depending on source type (e.g., journal article, book chapter). Entries must include author(s), year of publication, title, and publication information, ensuring every in-text citation corresponds to a reference list entry .

Educators can help students by providing targeted resources such as workshops on APA style, offering access to style guides, and providing direct examples in class. Interactive sessions to practice APA citation and formative feedback on initial assignments can also improve familiarity. Encouraging library resource utilization and peer collaboration further reinforces learning and understanding of APA style .

Students should use Microsoft Word 2003 or compatible software for their reports, ensuring the document adheres to specified formatting standards such as the page size, margins, and header/footer configuration. This approach ensures consistency across submissions, facilitating easier assessment and meeting academic standards .

Incorporating tables and figures requires numbering them consecutively, starting with Table 1 and Figure 1, ensuring explanations are included in the text. Titles should succinctly describe the content. Proper formatting makes the data more communicable and accessible within the report, supporting the main text with visual evidence .

Long quotations in APA format are placed in a freestanding block without quotation marks, starting on a new line and indented 1/2 inch from the left margin, maintaining double spacing. This format distinguishes lengthy direct quotes from the main text, signaling to the reader that these are direct reproductions of another author's ideas, which enhances clarity as to what part of the text is sourced information .

When citing indirect sources in APA style, the original source is named in the signal phrase, with the secondary source listed in the reference list. For instance, "Johnson argued that... (As cited in Smith, 2003, p. 102)" . It is crucial to locate and cite the original source for validation and to strengthen academic credibility, if possible, to present the most accurate representation of the cited information .

Double-checking grammar and using American spellings are crucial for maintaining clarity, professionalism, and coherence in report writing. Adherence to these standards reduces misunderstandings and enhances readability, which reflects the writer's credibility and attention to detail. It ensures consistency, particularly in an academic setting where precision is valued .
