Procurement Risks
Identifying and managing risks is crucial to ensuring successful outcomes in procurement
project management. As such, in this section, we will explore the topic of procurement risks and
the corresponding mitigation measures that form part of the procurement management plan.
Three procurement risks in the Janitorial Services case study are:
1. Supplier Performance: There is a risk that the selected supplier may need to perform
according to the agreed-upon standards and service levels. This can lead to subpar
janitorial services, compromising the cleanliness and maintenance of the facility.
2. Price Variations: Another risk involves price variations during the contract's duration.
The costs associated with labor, cleaning supplies, or other factors may fluctuate,
potentially impacting the budgeted procurement costs.
3. Quality Control: Ensuring the quality of procured goods and services is crucial to project
success. The risk associated with acquiring products or services of inferior quality which
fail to conform to the project's stipulations may result in the need for rework,
postponements, or supplemental expenses.
4. Contractual Disputes: The potential for contractual disputes is engendered by differences
of opinion between the purchaser and supplier with respect to provisions and
specifications, project parameters, or compensation arrangements. These disputes can
delay the project and lead to additional costs and legal complications.

To mitigate these risks and ensure successful procurement management, the procurement
management plan for the janitorial services project should include the following measures:
1. Supplier Evaluation and Monitoring: Implement a robust supplier evaluation process that
assesses their track record, capabilities, and references (Lindstrom, 2014). Additionally,
establish a system for ongoing monitoring of the supplier's performance to identify
potential issues early on and take corrective actions.
2. Price Escalation Clause: Incorporate a price escalation clause in the contract that accounts
for potential price variations over time. This clause allows for adjustments in the pricing
structure based on pre-defined indices or mutually agreed-upon factors, protecting the
buyer from unexpected cost increases.
3. Quality Assurance Processes: Implementing robust quality control measures and
conducting thorough supplier assessments can mitigate the risk of poor-quality products
or services (Lindstrom, 2014). This includes establishing quality criteria, conducting
inspections, and monitoring supplier performance.
4. Clear Contractual Agreements: Develop a comprehensive and clear contract that
explicitly outlines both parties' rights, obligations, and expectations (Lindstrom, 2014).
This includes detailed specifications, service levels, payment terms, and dispute
resolution mechanisms to minimize the potential for contractual disputes.
By addressing these risks through proper planning and mitigation measures, the janitorial
services project can enhance the likelihood of successful procurement management and ensure
the desired outcomes are achieved.
