Hotel Reservation System Overview

This document introduces a hotel and restaurant reservation system project. It provides background on how the development of ICT has prompted hotels to adopt new technologies. Previously, booking a hotel room involved long processes like calling the hotel, but online reservation systems now allow bookings to be made more conveniently. The objectives of the project are to make the reservation process more efficient and user-friendly by providing an online booking system. This can improve customer satisfaction and lead to positive reviews and repeat business. A reservation system also helps restaurants optimize seating and give more accurate wait times.

Chapter 1

Introduction

Background of the Study

The rapid development and commercialization of Information and Communication Technologies

(ICTs) for the travel and tourism industry has prompted hotels and other enterprises in this sector

to increasingly adopt these technologies.

A hotel is an establishment that accommodates people. The hotel can also be a place where

tourist can stay for a limited time. We cannot deny that we are now in much more technologically

improvement and especially for business, shifting from manual process to automation and

computerize (Fhatima A., 2012).

The cost and quality of hotels are usually indicative of the range and type of services available.

Due to the enormous increase in tourism worldwide during the last decades of the 20th century,

standards, especially those of smaller establishments, have improved considerably. Hotels are

independently assessed in traditional systems and these rely heavily on the facilities provided

(Parma D., 2009). It is no wonder that booking hotel rooms can now be done in a more convenient

way today. If a certain traveler is planning to visit a foreign place, it would be hard for them if

he/she does not have a hotel or residence to reside in that country.

Before, booking a certain hotel room required long processes such as talking to an hotelier either in

person or through the phone. Just imagine the disposition of the hotelier if multiple clients came to

ask questions about reservations at the same time. Through an online hotel reservation system,

hoteliers and travelers will both be benefited. Hotels have minimal need of travel agents to look for

clients because information about their business establishment is readily available online (Larman

C.,2004). The online hotel reservation is the only growing section between the different methods of

reservation. The 40% of rooms in cities were reserved online in 2009 and this rate is increasing

because there is more and more online reservation system. From 2008 to 2009 the world’s 30

largest hotel chains increased their online reservations with 6%, and this number is growing each

year (Herbert D., 2010).

Hotel is a commercial establishment that offers lodging to travelers. Some may also offer lodging to

permanent residents. Hotels may also have restaurants, conference rooms, stores, and other

services that are available to the general public. It can also defined as the place where it provides

lodging to the travelers, banquet halls for official parties, offers food to the guest make revenue on

the owners point of view (Baleleng, 2011).

Objectives of the Project

The primary objective of a hotel and restaurant reservation project is to make the reservation

process more efficient and user-friendly. This can be achieved by providing customers with an

easy-to-use online booking system, which allows them to check availability, book rooms or tables,

and make payments online and can also improve customer satisfaction by providing guests with a

hassle-free booking experience. This can lead to positive reviews and repeat business.

Significance of the Project

A Reservation System helps businesses optimize restaurant seating layouts, so that they can

accommodate more customers and give guest more accurate wait times. If the wait becomes

longer than anticipated, the host can ajust expectations and offer a complimentary snack or

beverage.

The primary objectives of a hotel and restaurant reservation system include making the reservation process more efficient and user-friendly by providing an online booking platform that allows customers to check availability, book, and make payments easily . These objectives benefit businesses by optimizing seating layouts, improving capacity management, and offering better customer service, leading to positive reviews and repeat business . Customers benefit from a hassle-free experience that enhances satisfaction and convenience .

An efficient reservation system directly enhances customer satisfaction by streamlining the booking process, reducing the time and effort needed to make reservations, and minimizing errors in booking . This leads to a more positive customer experience, as the process is straightforward and reliable. Moreover, it allows businesses to manage customer expectations better, adjust waiting times accurately, and even offer additional services, such as complimentary items, to enhance overall satisfaction .

The development of Information and Communication Technologies (ICTs) has significantly influenced the hotel and tourism industry by enhancing operational efficiency and customer satisfaction. Automation and computerized systems have replaced manual processes, making hotel bookings more convenient and less time-consuming . Online reservation systems reduce the dependency on travel agents, allowing customers easy access to hotel information and facilities, thus improving customer satisfaction and leading to positive reviews and repeat business .

Manual reservation processes often involve time-consuming steps and a higher potential for errors, influencing both hotel operations and customer service negatively due to inefficiencies and possible customer dissatisfaction . In contrast, automated reservation systems streamline these processes, reduce human error, and free up staff to focus on personalized customer service, thereby enhancing the guest experience and operational efficiency. This shift allows hotels to handle larger volumes of reservations seamlessly and provide higher levels of service customization .

Online hotel reservation systems contribute to the growth of the tourism industry by making travel planning more accessible and efficient for potential tourists. They empower customers worldwide to book accommodations without geographical constraints, leading to increased travel activity and tourism flows . This accessibility can boost tourism in areas that were previously less visited, as people can easily find and book lodging online, potentially spurring economic development in new regions .

Hotel classifications, often based on the range and quality of services and facilities, heavily influence customer expectations and experiences . Higher-class hotels are expected to offer superior accommodations, amenities like conference rooms and banquet halls, and additional services such as dining options, which cater to both travelers and permanent residents . These classifications help set customer expectations regarding service quality and available facilities, impacting overall satisfaction and the likelihood of repeat visits .

Smaller hotel establishments often face challenges in adopting ICT solutions due to limited financial resources and technological expertise compared to larger hotel chains . They may struggle with the cost of implementing and maintaining advanced systems and lack the economies of scale that allow larger chains to reduce per-unit costs. This can result in smaller establishments lagging in technology adoption, impacting their competitive edge and ability to meet modern customer expectations for digital services .

Between 2008 and 2009, the world's 30 largest hotel chains increased their online reservations by 6%, marking a significant shift towards digital platforms for booking . This trend signifies a growing preference among consumers for convenience and efficiency, highlighting the industry's need to adopt and integrate advanced ICT solutions to remain competitive. It also indicates the potential for further growth and market expansion as more consumers opt to book online .

Traditional hotel assessment systems, which evaluate based on facilities and services provided, continue to play a role in setting industry standards and shaping consumer expectations . However, in the current digital landscape, these assessments coexist with online reviews and ratings, which offer real-time insights into customer satisfaction and service quality. While still relevant for formal classification and comparison across regions, traditional assessments must adapt to integrate digital feedback mechanisms to maintain their significance in guiding consumer choices .

Online reservation systems have reduced the reliance of hoteliers on travel agents by providing potential guests with direct access to hotel information and booking facilities . This change has streamlined the booking process, allowing hotels to engage directly with their customers and to reach a broader audience without needing an intermediary .
