Ernst & Young employs a communication strategy that involves multiple points of contact, including senior managers and consultants, to assist clients throughout the visa application process. They engage clients initially through introductory emails and continue to communicate via emails and calls. They suggest briefing calls to discuss the process, address questions, and clarify document requirements, thereby providing a clear and responsive channel for assistance, which enhances the client's experience by ensuring transparency, accuracy, and personalized support .

The process of obtaining an Indonesian Visa and Work and Stay Permits involves seven stages: 1) Application for Foreign Manpower Utilization Plan (RPTKA), 2) Application for Work Permit Validity Confirmation, 3) Application for Work Permit (IMTA), 4) Application for Limited Stay Visa (VTT) recommendation for the assignee (and dependents if applicable), 5) Application for VTT stamp at the relevant Indonesian Embassy overseas, 6) Application for Stay Permit for the assignee (and dependents if applicable), and 7) Application for other relevant stay permits. Stages one to four must be approved before submitting applications for stages five to seven to the relevant government offices .

Processing times for visa applications can be affected by personal circumstances of the applicant, the speed at which they provide the requested information, and the processing capacity of the relevant government offices. Applicants should prepare by promptly supplying complete and accurate documentation, maintaining open communication with Ernst & Young, and being aware of potential changes in their personal circumstances that could affect the application timeline .

For the Indonesian visa application process, a copy of the Certificate of Competency is required if the position involves a significant element of technical expertise. This means an appropriate professional qualification may have to be provided, depending on the nature of the position. Additionally, a reference letter indicating five years of experience in the field is necessary, which implies that certain professional backgrounds and qualifications must align with the job roles to fulfill immigration requirements .

The document suggests flexibility in the visa application process by noting that indicative processing times can vary based on individual's personal circumstances, the speed of providing requested information, and the processing capacity of relevant government offices. This implies adaptability to personal timelines and the acknowledgment of different factors affecting processing durations. Additionally, Ernst & Young offers personalized support by scheduling briefing calls to address specific questions or changes in client's information, indicating responsiveness to individual needs .

Changes in personal information can complicate the visa application process. Ernst & Young advises that any changes should be communicated immediately to them. This allows timely updates to the application and adjustments to the documents submitted. Applicants should ensure that all personal details, such as contact information, marital status, or any change in employment terms, are promptly updated to prevent processing delays or errors in permits .

Ernst & Young ensures the smooth processing of visa applications by proactively preparing each stage of the application in advance of the process. They prepare the applications as soon as the required documents and information are provided by the clients. In case of potential delays by the Immigration Office, they notify the clients about such delays. They also recommend a briefing call to discuss the application process, helping clients understand and complete the requirements efficiently .

Essential documents for assignees include a color copy of their passport (all pages), curriculum vitae, copies of education and competency certificates, a certificate of insurance, recent photographs with a red background, a reference letter stating five years of experience, a signed working contract with BAT, and a letter of domicile. For dependents, a color copy of their passport, marriage certificate, birth certificate for children, and recent photographs with a red background are required. The passport must be valid for at least 18 months from the date of arrival .

Proactivity in Ernst & Young's approach involves preparing each stage of the visa application in advance and ensuring all necessary documents are collected and ready for submission. The potential benefits for clients include smoother and faster processing of applications, minimizing the risk of delays, and ensuring that all legal requirements are met promptly, which helps clients focus on other aspects of their relocation without worrying about visa-related complications .

Not adhering to specific document requirements like passport validity (at least 18 months from arrival) and photograph specifications (recent color photographs with a red background) can result in application delays or rejections because these are mandatory criteria for the processing of visas. Such discrepancies may necessitate resubmission of documents or applications, extend processing times, and potentially affect the applicant's intended start date in Indonesia .
