Student ID and Attendance Tracking System

This document outlines a proposed study to develop a student identification and attendance monitoring system for Pasig City Science High School. The system aims to (1) reliably identify authorized students, (2) efficiently track student attendance by recording when students tap their ID cards, and (3) notify parents via SMS when students arrive at school. The study seeks to determine how identification systems can support student authorization and attendance tracking. It is significant because it could benefit students by accurately tracking attendance, reassure parents about student safety, simplify attendance tracking for teachers, and help school staff identify unauthorized individuals. The scope is limited to constructing an ID system with attendance monitoring and SMS alerts to parents.

Chapter 1

Introduction

1.1 Research Background and Motivation

Formal education was brought to the country by the Spaniards, indicating

that it has been in commission since the 16th century. The community deemed

teaching more effective in groups, establishing buildings for schools and

universities. In recent times, schools have become more prone to security and

safety tribulations; violence on campus, students cutting classes, and

unauthorized access to school facilities have dramatically increased. These

complications come not only from outside forces but from within as well.

As a cost-effective solution, the community implemented school ID cards.

Having a school identification system helps distinguish currently enrolled

students from those who are not, making it convenient for security staff to

address unauthorized individuals. Aside from this, students can quickly identify

qualified staff members to assist in emergencies. The current school ID system,

however, lacks technological innovation to inform guardians regarding the current

status of their children. Subsequently, some students, especially those who use

public transportation, can still freely cut classes or not attend school.

This study aims to develop an identification (ID) system for schools,

providing a means to identify students and ensure their authorization and

2
compliance. Additionally, the researchers aim to refine the mechanism of the

existing ID system so that each student will be issued an ID that serves as both

an ID and a proximity card. The ID's concealed chip, which enables scanning

without a card reader, will make this possible. Consequently, this implies that

whenever a student taps their ID on the school's entrance scanner, the access

control panel shall acquire the corresponding identity based on the code allotted.

It will record each student's attendance by matching their identity to a registered

identity in the system's internal database. In addition, the system will alert the

student's parent or legal guardian through SMS upon their arrival.

1.2 Statement of the Problem

Along with the resurgence of in-person classes, parents' and guardians'

worries about the safety of their children start to emerge. To enable safe learning

holistically, all parties—teachers, students, parents, and school

administrations—must adapt. Modifying safety procedures is the key to

successfully integrating face-to-face education; in addition to adhering to

COVID-19 safety regulations, student attendance is also essential. Since

students had varying health issues, attendance was not mandatory for online

classes. Today, unfortunately, zero-tolerance equates to no attendance. As such,

if you skip executive days without a good reason, you risk receiving a warning or

even a bad record. Keeping track of attendance is crucial, and tasked with doing

so are class secretaries, in addition to the teachers who oversee it. Occasionally,

the results are inaccurate. To some, it isn't a big deal. However, attendance is

3
more important than merely keeping a record; for students who struggle in class,

grades and reading skills usually improve when absences are few and far

between (NCES, 2009).

This study aims to ascertain the degree to which identification systems support

student authorization and compliance. It will respond to the questions listed

below:

1. What will distinguish the product between the foreseeable ID

system and the existing ones?+

a. Reliability

b. Accessibility

c. Efficiency

2. How well does this system track students' arrival at school and

attendance?

3. How long will the ID and device last under normal usage?

1.3 Significance of the Study

The researchers believe that the findings of this study will help

demonstrate the value of identification systems.

Students. Students will have further verification of their attendance

since, in most cases, an incorrect tally of their attendance is being

submitted in their report cards, potentially affecting their academic records.

4
Furthermore, since this method of verifying attendance would no longer

need their assistance, class secretaries would have less work to do.

Parents. As the system sends SMS alerts to them concerning

whether or not the student enters the school premises, parents and legal

guardians will be able to keep an eye on the safety and compliance of

their child.

Teaching Staff. Teachers and advisers will be able to simply keep

track of their students' class attendance courtesy of the excel file the

system offers. The records of the student's attendance status for a specific

period are kept in this file. In light of this, they would know without

constantly checking with the class secretary how many students were

absent or tardy.

Non-Teaching Staff. Guards and other non-teaching personnel will

be able to quickly recognize outsiders and keep them off the school's

premises. They would also be able to recognize those students who don’t

always bring their ID and issue them a warning.

Future Researchers. Through this study, future researchers may

gain knowledge and guidance that they can use as a foundation for their

research. They could introduce changes to the device that help create a

5
bigger, more sophisticated technological device that strengthens the

security system in schools.

1.4 Scope and Limitation

This study aims to construct a student ID system with an attendance

tracker for the convenience of students, teachers, and other school personnel.

The researchers intend to utilize the device to monitor students' attendance and

compliance and alert their parents via SMS. Additionally, the information acquired

will be used to enhance the system's relevance to school administration and its

effect on children and their families.

Other ideas that are not directly associated with the construction of the

student ID system with an attendance checker will not be covered in this study.

The study will not cover any additional factors that are superfluous or ambiguous

for the topic. Subsequently, the alerting mechanism in this study will be SMS; no

other applications will be employed.
