ABSTRACT
Now a day’s, the events such as festivals, wedding etc. have become a core part of life which has resulted in event planning and
Management Company to rise. With the customers and events increasing at larger rate, it is difficult to manage using traditio nal
system using spreadsheets, traditional database and more. In order to overcome the drawbacks of traditional Event Managing
System, a new Smart Event Management System has been introduced which uses the modern technology of .Net Framework for
managing various tasks and planning for employees, customer, location, transport and more. With the help of this technology, the
distance between customer and management team has reduced with the Smart Web access.

The system enhances decision-making by providing real-time data access and comprehensive reporting capabilities, allowing teams to quickly assess current statuses and make informed decisions about necessary adjustments. Efficient data analysis supports strategic planning and resource allocation, improving overall event execution .

The system enables better customer relations by providing efficient service management and streamlined communication through e-cards and status update websites. Customers can easily check event progress, enhancing transparency and satisfaction. Automatic data handling and secure processes further ensure reliability, building customer trust .

Automated features such as linking data across files, report generation, and customer status checking decrease the need for repetitive data entry and manual updates. By automating these tasks, administrators can manage more events with less effort, focusing their time on higher-level decision making and planning .

The Smart Event Management System consists of several integrated modules: customer and employee information management, event information management, service management, e-card creation, and a status check website. These components work together by linking entered data across modules, facilitating processes like report generation, automated customer communication through e-cards, and efficient service management. This integration provides a streamlined and comprehensive approach to managing events .

The proposed system offers advantages such as quick access to data, easy updates, secure storage, and automated linking of information across modules, contrasting with the time-consuming and error-prone nature of manual systems. These improvements lead to decreased data loss risk, increased accuracy, and greater data integrity .

Security in the proposed system is enhanced through the use of SQL server authentication, ensuring only authorized access to sensitive data. This protects customer and event details from unauthorized use, which is significant in maintaining trust and compliance with data protection regulations. Secure data handling mitigates risks associated with data breaches in manually handled systems .

The proposed Smart Event Management System improves efficiency by using a computerized approach with Microsoft SQL Server and Microsoft Visual Studio, simplifying data entry and management and reducing manual labor. It enhances usability with features for quick data retrieval, a user-friendly interface, and secure data handling via SQL. This reduces processing time and improves data security compared to traditional systems .

The main limitations include the system's incompatibility with mobile or handheld devices and a restricted number of modules. This impacts adoption negatively as modern users often require mobile access for flexibility and scalability. Limited modules could restrict the system’s capacity to handle diverse or complex event management needs .

Service management is facilitated through modules that allow for the detailed planning and management of services like location, transportation, catering, and DJ services. This comprehensive oversight ensures all service aspects are aligned with customer expectations, improving quality and operational efficiency in executing events .

Microsoft Visual Studio 2005 is used as the front end for the Smart Event Management System, providing a robust environment for developing a user-friendly interface and ensuring compatibility with SQL backend processes. Its choice supports efficient coding and integration, enhancing the overall performance and user experience of the system .
