Target of 5S
Targets of Five-S include:

 Zero changeovers leading to product/ service

diversification
 Zero defects leading to higher quality
 Zero waste leading to lower cost
 Zero delays leading to on time delivery
 Zero injuries promoting safety
 Zero breakdowns bringing better
maintenance
46
Remember (1/2)
• 5S implementation can improve both working
environment and the service content.
– Benefits on WEI will be better realized as you go
along the training.
• Go systematically to implement S1-S5:
– Sort necessary & unnecessary items;
– Arrange items according to work flow;
– Make workplace and tools shining (daily
cleaning);
– Standardize “sort-set-shine” process; and
– Workers acquire positive attitude to sustain &
improve quality of health services.

47
Remember (2/2)
• Effectiveness of 5S in improving health care
services content:
– Complement to patient safety efforts, e.g.,
• Minimizes chances of providing wrong
medicine, and treating wrong patients through
proper sorting (files, records) and appropriate
labeling (medicines, op-sites), as well as, use
of checklist to avoid leaving items (such as
gauze and scissors) by use of safe surgery
checklist.
– Contribute to better continuum of care, e.g.,
• Use of patient discharge checklists ensure
correct linkages to needed services.

48

Wrap-up

• Positive attitude is very important for implementation

of 5S activities
• It is not “Cleaning Campaign”
• 5S activities are to create good working environment
through reduction of “Muri”(overburden),
“Mura”(unevenness), and “Muda”(waste)
• 5S can identify and reduce “abnormalities” and
“waste”, improve “team work”, “cleanness”, “safety”
and “productivity”
• It is a basis of organization management

5S enhances workplace safety by promoting a clean, organized environment which reduces the likelihood of accidents. By implementing systematic sorting, setting, and shining activities, potential hazards such as misplaced tools or spills are minimized. Furthermore, the 'Sustain' step encourages ongoing discipline and maintenance of standards, which sustains safety improvements . It aims for zero injuries by promoting a safer environment through better maintenance and organization .

The 'Sort' step involves eliminating unnecessary items in the workplace, which helps free up valuable space and reduces clutter. By using a red tag system to identify and remove broken tools, obsolete items, and excess materials, the workplace is streamlined, leading to improved space utilization and efficiency . This step directly addresses the waste classified as 'Muda' by removing items that do not add value .

The 'Standardize' stage maintains uniformity in how the first three S steps (Sort, Set, Shine) are conducted, ensuring consistent implementation across the organization. This standardization facilitates ease of teaching and adhering to process protocols, contributing to equalized productivity levels by reducing variability in process execution and output quality . It supports the establishment of SOPs and checklists, leading to improved organizational efficiency and reduced process deviations .

5S activities lay the foundation for Total Quality Management by promoting order, cleanliness, and standardization in the workplace. These activities enhance workflow efficiency, reduce waste, and improve overall quality output. By fostering a culture of organization and continuous improvement, 5S supports key TQM goals such as lower costs, high quality, and timely deliveries. The implementation of 5S contributes directly to zero defects and zero delays, aligning with TQM's emphasis on sustaining high-quality performance .

The 'Sustain' phase focuses on maintaining the momentum of 5S activities by ensuring discipline and continuous practice of the established standards. It fosters a new mindset within the organization that values consistent improvement and adherence to efficient practices. Regular progress monitoring, refresher training, and recognition of good practices are critical for embedding 5S principles in the organization's culture, ensuring long-term success .

The core objectives of the 5S methodology are to improve efficiency by eliminating waste, enhancing workflow, and reducing process unreasonableness. It aims to create a good working environment by addressing overburden (Muri), unevenness (Mura), and wastefulness (Muda).

In healthcare settings, the 5S methodology minimizes human error by enabling better organization of critical tools and supplies, reducing the chance of errors such as administering the wrong medication or treating the wrong patient. Proper sorting and labeling of files and medicines, combined with the implementation of checklists, substantially lower the risks associated with care delivery processes, thereby enhancing patient safety and care continuity .

Color coding in the 5S methodology simplifies inventory management by providing clear visual cues about stock levels and priorities. For example, different colors can indicate the status of inventory, such as adequate stock levels, warning levels, or critical shortages that require immediate replenishment. This visual control aids in quick decision-making and efficiently communicates inventory status to all staff, reducing downtime and ensuring continuous workflow .

The 5S approach aligns closely with Kaizen and continuous improvement by fostering a culture that values small, incremental changes leading to sustained improvements. Both methodologies emphasize the reduction of waste and enhancement of operational efficiencies. Through activities such as regular cleaning, reorganization, and standardization, 5S lays down a practical framework for Kaizen by promoting employee participation in identifying inefficiencies and suggesting improvements, thereby sustaining a cycle of ongoing development .

Organizations may face challenges such as resistance to change, lack of understanding of 5S principles, and insufficient management support. Overcoming these challenges requires comprehensive training to educate employees about 5S benefits and its impact on operational efficiency. Engaging employees in the standardization process and providing incentives for sustained participation can help alleviate resistance and promote energetic involvement. Strong leadership and ongoing communication about the success and improvements associated with 5S can facilitate smoother implementation .
