Saving the template as your default (PPT 2013, 2016)
• Step 1: Open a copy of the HP template • Step 6: Replace the word in the path from “PowerPoint” to “Templates” and click OK
• Step 2: From the File tab, choose Options to access the PowerPoint Options dialog
box
• Step 7: From the File tab, choose Save As and
• Step 3: Click Save (on left navigation bar) click on Browse
• Step 4: Under Save Presentations, click inside the field next to AutoRecover file • Step 8: At the bottom of the Save As dialog
location and scroll over (highlight) all text to select the entire path, then right-click box, click the Save as type drop-down arrow
and choose Copy and select PowerPoint Template (*.potx)
Important: The file path should automatically change to
the Microsoft Templates folder on your computer. If it
does not, change the file type to something else. Then
change the file type back to a PowerPoint template
(*.potx) and it should refresh to the correct template
folder path on your computer
Tip! Naming your template [Link] makes it the default template so that it will
be applied automatically to all new presentations

Fonts
Typography plays an important role in our brand expression. It is an integral part of the way we communicate. Our
system uses a custom-designed, proprietary typeface called HP Simplified. We use HP Simplified globally and across all
communications. In case that HP Simplified is not available in your local language, then use Arial as the font.
Customer-facing presentations should use HP Simplified Regular or Light. To ensure that our brand is always
represented without alteration, be sure you save your file as a PDF or as a PowerPoint with embedded font for reading
only.

Embedding Fonts
To ensure that the HP Brand is always represented in its Save Options:
entirety, be sure that when you share externally you save
your file as a PDF or PowerPoint with embedded font for
reading only.
• From the File tab choose Save As
• At the bottom of the Save As dialog choose Tools and
then Save Options
• In the PowerPoint Options dialog choose Embed fonts
in the file and the option to Embed only characters used
in the presentation
• Click OK

Converting old presentations to the HP template
There are several ways to convert an old presentation to the HP Paste Options:
template. The method we recommend (because it is simple and
avoids a PowerPoint bug) is outlined below:
• Open an existing presentation
• In Slide Sorter View, select (Ctrl+A) and copy (Ctrl+C) all slides
• Open a copy of the HP template
• In Slide Sorter View, click paste (Ctrl+V)

Note: The HP template uses the standard, best practice, names for slide
layouts. This will require special attention to updating layouts when converting
slides from the previous templates to the HP template.

Next, you will need to reset the slide layout of each slide (during IMPORTANT! Text Placeholders vs. Text Boxes

Slide layout
• Slide layouts in PowerPoint save you time! Custom Slide Layout Options:
• When proper layout is applied, all elements on a
slide (bullets images, tables, charts, etc.) will
format seamlessly with the HP template
• Note: There are 29 custom, pre-defined layouts
built into the HP template

Applying a slide layout
• While in Normal view, from the Home tab, Slides group, From the Home Tab:
click the down arrow next to the New Slide button to
access the Layout gallery
• Select the slide layout that will best present the
information you wish to convey (e.g., if you are
presenting data in a chart, select a layout that includes
a content placeholder with a chart icon)

Resetting a slide layout
• While in Normal view, select the slide that requires a From the Home Tab:

button to access the slide gallery
• Select an appropriate slide layout
• To reset placeholders to their default position, size, and
formatting click Reset within the Slides group
Tip! You can apply a slide layout to multiple slides in slide sorter view by

Color palette
• Specific colors have been selected and pre-set as “defaults” (theme colors & custom colors) in the HP template
• These colors were selected to enhance readability, vibrancy when projected, clarity when printed, and to ensure
consistency across HP presentations

Sample slides
• Several samples slides have been created for your use and are included in the HP template
• These sample slides are designed to save you time by not having to recreate charts, tables, and graphics
from scratch

Pre-made charts
Several pre-made charts are included in the HP
template that leverage the HP approved theme
colors
• Save time by simply copying a pre-made chart
from the template and modifying it with your data
• Detailed instructions on how to customize a pre-
made chart with your data are included in the
speaker notes of all pre-made charts
• Go to the View tab and select Notes Page OR…
– In Normal view, drag the notes pane (located at
bottom) upwards
Note: The chart styles provided in PowerPoint do not
match the HP brand standards and should not be used

Converting charts from earlier versions of PowerPoint
To utilize PowerPoint’s full charting features, you
must first convert all charts created in earlier
versions of PowerPoint
Convert a Chart
• Double-click on a chart (created in PowerPoint
2003 or earlier version)
• When the dialog box appears, select Convert All

How to use a pre-made chart
Step 1: Copy and Paste a Pre-Made Chart From Slide Sorter view:
• Open a copy of the HP template
• From the View tab, select Slide Sorter
• Locate the pre-made chart slide you wish to use; Select
and copy it (Ctrl+C)
• Open a new or existing presentation
• In Slide Sorter view, hit paste (Ctrl+V)

Step 2: Delete Sample Data From Pre-Made Chart Click the Edit Data button to activate the Excel
spreadsheet:
• From the View tab, select Normal
• To activate the chart data for editing, first click to select
the chart, then click the Edit Data button from the Chart
Tools Design tab
Excel Worksheet:
• With the Excel worksheet open, select all the sample
data by clicking the top left corner cell of the datasheet,
right-click, and select Delete
• Close the Excel spreadsheet

Step 3: Add Your Data to a Pre-Made Chart In PowerPoint, enter data manually into the spreadsheet:
• Option 1: Enter data manually directly in the Excel
spreadsheet
– Click in the first empty cell (row 1) of the spreadsheet and
begin typing
In Excel, select the range of cells you wish to copy:
• Option 2: Copy data from another Excel spreadsheet
– Open an existing Excel spreadsheet and select the range of
cells you wish to copy
– Return to your presentation, click the Edit Data button from
the Data group of the Chart Tools Design tab to activate the
associated spreadsheet
(Note: If no elements appear in the chart, this is because
there is no data in the spreadsheet yet)
– Click in the first empty cell of the spreadsheet and paste
(Ctrl+V) to place the data

Step 4: Adjust Chart Orientation From the Data group
• After adding data to a sample pre-made chart, you may
have to adjust the chart’s orientation to more accurately
reflect your data
– Double-click the chart to activate the Chart Tools
Design tab
– Click the Switch Row/Column button. If the Switch
Row/Column button is disabled, click the Select Data
button and click the Switch Row/Column button from
within the dialog box provided, click “OK” (the chart
will automatically change to reflect this)
– To change back to Series in rows (the default), simply
click on Switch Row/Column from the Data group
within the Chart Tools Design tab

Applying a chart style to an existing chart in PowerPoint 2010
While the pre-made charts are the easiest and most Vertical Axis:

How to apply a design style to an existing table

Working with picture placeholder layouts
Any layout that includes pictures other than full screen uses
picture placeholders. These include the Picture with Caption,
Picture with Content, Two Pictures with Captions, and Three
Pictures with Captions layouts.
Examples of layouts using picture placeholders:

Modify images within picture placeholders
Use the Crop tool to reposition a picture within a placeholder
• From the Picture Tools Format tab on the ribbon, click the Crop button
• Click and drag the picture within the placeholder to reposition
• To scale the picture within the placeholder (while Crop is active), grab a round corner handle and drag to resize and hold Shift key to
constrain picture aspect ratio when resizing

Updating confidentiality footer
Protecting company information
All company information, whether sensitive or not, is company property and may only be used for the company’s business purposes.
You have a duty to safeguard all company information from misuse or inappropriate disclosure to third parties. Under company policy,
there are three standard labels for sensitive information which indicate the level of care to be exercised in handling such sensitive
information:
Private: “Private” information is information that has been prepared for HP employees at the VP level or above. Examples of “Private”
information include information that affects the company’s stock prices. “Private” information must be handled so that access to the
information is granted only to a list of individuals maintained by a VP, e.g., through secure communications and authentication in the
case of electronically posted information.
Confidential: “Confidential” information may be shared with limited audiences within and outside the company based on a business
need to know. Additionally, before “Confidential” information can be shared outside the company, the appropriate contractual
protections must be put in place. “Confidential” information includes most information relating to company projects, such as technical
data, pricing information, financial information, and business plans.
Internal Use Only: “Internal Use Only” is the label for any information intended for widespread distribution within the company, e.g., to
everyone within the company’s firewall or on any of the company’s internal sites. A good example of information receiving this label
would be phone information for employees and most organization charts.

Updating confidentiality footer
By default the HP template does not have a customizable footer turned From the Insert tab:
on. The footer can be used for confidentiality classification as needed.
To add a footer:
– From the Insert tab, select the Header & Footer button
– Open the Header & Footer dialog and check the box for Footer

Shapes and graphics
Directional shapes
Directional shapes aid the hierarchy of information. They are used for
timelines and labels, in a circular configuration to show cycles and to
indicate connections between data points.

Special effects are not allowed anywhere in a presentation. These include shadows, gradients, bevels, rules, reflections,
glowing edges, and soft edges.

Animation guidelines

Deleting unused sample slides
The sample slides included in the template are designed Slide Sorter view:

• In Slide Sorter view, click on the slides you wish to

• Right-click and select Delete Slide from the drop-down

Reducing file size
• Eliminate unnecessary graphics and slides
• Create basic shapes in PowerPoint, rather than importing .jpg pictures
• Build charts and tables using PowerPoint’s charting program (preferable to copying and pasting charts
from Excel, which embeds the entire Excel workbook into your presentation, making your presentation
size significantly larger)
• Instead of copying and pasting pictures onto slides, use the Insert Tab, Picture command
• Choose pictures that have been resized for PowerPoint

Printing your presentation
How to print slides in Grayscale Mode
• Conserve printer ink by printing in grayscale mode

Saving a presentation as a PDF
To output a PDF using Create PDF/XPS is recommended:
• Select File > Export > Create PDF/XPS Document > Create
PDF/XPS
• Do not Save as Adobe PDF as this can cause some issues with
graphics during conversion
• Widescreen presentations will PDF in widescreen format –
there is no option to save a PDF at another page size, this is
true for Adobe PDF and PowerPoint PDF
• When printing from a widescreen PDF using Acrobat, simply
check the Fit under Size Options (for letter size) and the slides
will fit letter paper (just like printing from PowerPoint – which
is the recommended method if the desired outcome is print)
