Welcome to the Technical Vocational Education 7/8 Project CAP-LRE Alternative Delivery
Mode (ADM) Prepare an Inspection Report of the Hand Tools, Drawing Instruments,
Equipment, and Paraphernalia received in Technical Drafting.

This module was collaboratively designed, developed and reviewed by educators both from
public and private institutions to assist you, the teacher or facilitator in helping the learners
meet the standards set by the K to 12 Curriculum while overcoming their personal, social, and
economic constraints in schooling.

This module provides various activities that will help you understand on how to prepare
an inspection report. This will also help you learn practical uses and applications of the
inspection report. At the end of this module, you are expected to:

• define inspection report;

• explain the purpose/ importance of inspection report;

• identify and understand the elements of inspection report, and

• follow procedures in preparing an inspection report to the property custodian.

Direction: Read the scenario below and proceed to the exercises.

As the Moving Up ceremony approaches, Ms. Carlos is assigned to work
on the stage decoration. While she was planning for it, she thought of inviting her
students to help her and also to enhance her students’ capabilities in gracing the
platform which is also related to her subject matter which is particularly, drawing.

Fastened to this task are the needs of acquiring and buying of materials
which makes Ms. Carlos at ease, because she knows that her students are fully
aware and educated in borrowing and inspecting hand tools and materials.

Just to be sure, Ms. Carlos had an idea to review her students about this topic,
and as well as teach them again on how to work on the inspection report.

In Technical Drafting, you use drafting tools, materials, equipment and paraphernalia.
You must protect and secure the accountability of each drafting tool.
So, before we start our lesson in preparing an Inspection report, let Us have a short
review about the different types of forms needed when you borrowed, requested, received
and inspected drafting tools, materials, equipment and paraphernalia.

purpose of each kind of forms.

Let Us define the Technical Terms

1. Condition- the state of something with regard to its appearance, quality, or working order.
2. Description- a statement, picture in words, or account that describes; descriptive
representation
3. Drawing instruments - may be used for measurement and layout of drawings, or to improve
the consistency and speed of creation of standard drawing elements. Tools such as pens
and pencils mark the drawing medium.
4. Equipment - commonly refers to a set of tools or other objects commonly used to achieve
a particular objective. Different jobs require different kinds of equipment.
5. Hand tool - is any tool that is powered by hand rather than a motor.
6. Inspection - the act of looking at something carefully in order to discover information and to
check its quality or condition
7. Inspection plans- provide details about what characteristics must be tested in order to
ensure the quality of the product, as well as specific metrics and measurements that must
be achieved in order for the product to be judged in compliance with standards.
8. Inspector - someone whose job is to officially inspect something
9. Invoice No. – the next number in sequence of order after the last one.
10. Item No. – the number in sequential order.
11. Paraphernalia - equipment, apparatus, or furnishing used in or necessary for a particular
activity.
12. Property Custodian - oversee the storage of supplies, materials and equipment in private
and public organizations. They are usually in charge of warehouses, storage yards, tool
rooms and stockrooms.
13. Purchase Order No. - the next succeeding number based from the last purchase.
14. Quantity- the amount or number of a material or immaterial thing not usually estimated by
spatial measurement.
15. Report - is a document that presents information in an organized format for a specific
audience and purpose.
16. Request form- allow you to capture work requests as they come in. These forms also
enable you to establish a formal process for submitting, tracking, evaluating, and
implementing

17. Supplier - a person or organization that provides something needed such as a product or
service.
18. Supply - a stock of a resource from which a person or place can be provided with the
necessary amount of that resource.
19. Unit – the entity of measurement that gives meaning to the quantities.

Inspection Report is a type of report used to catalog and analyze an item


of interest for any defects or flaws that do not meet a certain standard. It is designed
to provide an evaluation of an organization across the broad spectrum of its
activities. The main emphasis of the inspection report will be on the education
training provision and outcomes, as seen in the quality of the learners’ recent
standards and achievements and of the learning and teaching. There is also an
emphasis on the leadership and management of the whole organization and how
this contributes to improvement. Inspection report shall present factual data
accurately, fairly, and objectively and present findings, conclusions, and
recommendations in a persuasive manner.

The Importance and Purpose of Inspection Report


• It can be viewed negatively or positively as either fault-finding with the emphasis on
criticism
• Fact-finding with the emphasis on locating hazards that can harmfully affect safety and
health.
• Inspection report is done for monitoring purposes
• Protection for accountability
• To distinguish if the product is good or bad condition
• To find out if the process is changing
• To know the process of specification limit
• To estimate the product quality
• To protect the product information
• To measure process capability

Elements of Inspection Report

1. Inspection Plan Header


The information defined in the plan header serves as the specification for the entire plan.
• General plan data
Example: task list usage and validity of the plan
• Information about dynamic modification and inspection points
Example: definition of inspection points, sample-drawing procedure.
• Information about engineering change management
Example: change rule, change type
• Administrative data
Example: change number, validity period, creator, created on, changed by,
changed on and date last archived
2. Material-Task List Assignments
Which material or materials are to be inspected with the actual task list
3. Inspection Operation
You assign one or more inspection operations to the inspection plan header.
• How the inspection is to take place
• The work center for the inspection
• The sequence in which the inspections are to take place
• Default values (such as base quantity, unit of measure, conversion of units of
measure (header/operation)
• Data for controlling results recording
• Information about the inspection point (reference, inspection point completion)
• Values for calculating appraisal costs
• User-specific fields

4. Inspection Characteristic
You can assign several inspection characteristics to each inspection operation. At
inspection characteristic level, you define:
• Quantitative or qualitative inspection characteristic
• Quantitative data for the quantitative characteristic
• Characteristic attributes (catalog type 1) for the qualitative inspection characteristic
• Test equipment to be used (one for each inspection characteristic)
• Inspection method to be used (one for each inspection characteristic)

5. Dependent characteristic specifications
You can assign dependent characteristic specifications to each inspection
characteristic. On the dependent characteristic specification level, you define for qualitative or
quantitative inspection characteristics:

• Material/vendor-specific dependent characteristic specifications and/or


• Material/customer-specific dependent characteristic specifications

The relevant material/vendor or material/customer combination has to be assigned


to the inspection plan.
6. Test Equipment
You can assign several items of test equipment to each inspection operation.
To accomplish the inspection report, study the procedure below and look at the sample
forms with complete information.

Procedure to fill up the Receiving and Inspection Report by the Students


1. The student should secure a receiving form from the shop teacher to borrow and use
any Drafting tool and equipment.
2. Answer the first part of the form by writing the needed information.
3. Indicate the specific details of the drafting tool and equipment in the columns.
4. Submit the form to the teacher before the release of the tool and equipment.
5. Return the tool and equipment to the teacher after using.
6. The shop teacher will do the checking of the tools and equipment and final recording.

Procedure in filling up the Form 4 Inspection and Acceptance Report


1. Fill in the blanks the first part of the report with the needed information such as:
Supplier - write the name of the store where the supply items were bought from.
Purchase Order No. - the next succeeding number based from the last purchase.
Invoice No. – the next number in sequence of order after the last one.
Date – the actual date of acceptance of the supply items.
2. Indicate the specific details of the following by columns:
Item No. – the number in sequential order.
Unit – the entity of measurement that gives meaning to the quantities.
3. Inspection of the supply items will be done in the presence of the property custodian
and the shop teacher before the latter does the acceptance.

4. Each supply item will be checked strictly while doing the recording.
5. The property custodian can issue now the supply items to the shop teacher with proper
documentation.
6. The teacher can allow the students to use the supply items during shop laboratory after
accomplishing the receiving form.
7. An inspection of the supply will be conducted by the property custodian at the end of
the school year.
