USER MANUAL

NORMAL USER
 USER LOG IN

The user are required to provide a Student Number and Password in order to access the system. The
Student number and Password will be verified by the System. If the Student Number and Password
matched an account in the system, the user will be able to view the Home Page. If it did not matched
any account, the system will notify the user with a warning message. The Student Number text box will
only accept a fixed length of 8 – digit value and is restricted to accept any character value/symbols. the
password should contain an alphanumeric value with a fixed length of 6-digit value .

 CREATE NEW USER ACCOUNT

This feature can be performed by all users who have not made any account in the system. The user
should provide his/her basic personal information along with the user’s Student Number and password.
The user can upload his/her profile picture. If the user has left a blank field or has input a wrong value,
the system will notify the user with a warning message. If all required field has been filled correctly, the
user has now successfully create his/her account.

 FORGOT PASSWORD

The user’s account can be retrieved if he/she happens to forgot his/her Password, The system will ask
the user his/her email address. The system will send the account recovery link to the user’s email.

 SEARCH BOOK

The user can search the keyword of the book he/she is looking for directly from the search bar or The
user has two search options :

o Basic Search

The user can search the Book Author/Accession Number/Call Number/ISBN/ISSN


/Publisher/Subject/Title/Any Field in the search bar.

o Advanced Search

The user can search the Book Author/Accession Number/Call Number/ISBN/ISSN


/Publisher/Subject/Title/Any Field in the search bar. The user can also choose the Book
Format Type (Book/Map/Article/Thesis) and Year/Date Published.

 BOOK DETAILS

This feature will provide the user an overview of the book, such as Book Image/Summary/Availability

etc.

 BORROW BOOK
The user will have to accept the Terms and Condition before borrowing the book. The book should be
return after a week. If the user failed to return the book his/her account will be charged for late fee and
if he/she failed to return the book in its peek condition. The system will record the transaction to the
user’s account for tracking purposes. If the user failed to pay the fee, he/she may not be allowed to
borrow another book.

 REQUEST BOOK

The user has a dedicated form for requesting a new book or unavailable book. The user can also cancel
his/her request.

 RESERVE BOOK

The user can reserve a book if it is currently occupied by other users.

 SAVE/VIEW MARKED BOOK

The user are allowed to save a specific book to another form for viewing it later. The user can also clear
save list or delete the selected book.

 USER ACCOUNT SETTINGS

This feature allows the user to update his/her personal information and change his/her profile picture.
The user can log out his/her account after using the system.

AUTHORIZED USER

 USER LOG IN

The user are required to provide a Employee Number and Password in order to access the system. The
Employee number and Password will be verified by the System. If the Employee Number and Password
matched an account in the system, the user will be able to view the Home Page. If it did not matched
any account, the system will notify the user with a warning message. The Employee Number text box
will only accept a fixed length of 8 – digit value and is restricted to accept any character value/symbols.

 MANAGE BOOK

This feature allows the admin to :

o Add Book
This feature allows the user to Add book.
o Delete/Remove Book
This feature allows the user to remove an existing book record in the system.
o Update Book Details
This feature allows the user to update Book details and upload a new book image.
o View List of Book
This feature allows the user to view all existing book record in the system.
o Search Book
The user can search book based on accession number , book title/author/publisher/etc.

 GENERATE REPORT

This feature allows the user to compile all transaction (Book Request/Return/Borrower) that occurred in
the system. It can be imported as PDF file.

 RETURN BOOK

This feature allows the user to record the returned book by the student.

 BOOK REQUEST

This feature allows the user to view all student’s requested book. The user can approve or reject the
students book request.

 BORROWER LIST

This feature allows the user to view all students who has borrowed a book in the library.

The system can compile all transactions, such as Book Requests, Returns, and Borrowing, into reports that can be exported as PDF files. Users can request unavailable books through a dedicated form. If a book is in use, users can reserve it, ensuring they are next in line once it becomes available .

To log in, a normal user must provide a Student Number and Password. The Student Number should be an 8-digit numeric value, and the Password must be a 6-character alphanumeric value. The system verifies these credentials against its database. If they match an existing account, access is granted; otherwise, the user receives a warning message indicating an incorrect login attempt .

The Advanced Search feature allows users to filter their book search by multiple criteria, including Book Author, Accession Number, Call Number, ISBN/ISSN, Publisher, Subject, Title, Any Field, Book Format Type, and Year/Date Published. This provides a more refined search capability compared to the Basic Search, enhancing the likelihood of locating specific materials faster .

Users can update their personal information and change their profile picture through the User Account Settings feature. However, they must be logged in to access these settings, ensuring that unauthorized users cannot make changes .

Advanced search options support diverse academic research needs by allowing targeted retrieval of materials based on specific bibliographic details and format types, accommodating various scholarly inquiries and enhancing research efficiency .

Data security is enforced through fixed-length, numeric or alphanumeric identification and password systems, restricting unauthorized access. The system's verification process further mitigates risks by ensuring only registered users can access their respective accounts .

Users must accept the Terms and Conditions before borrowing a book, which requires the book to be returned within a week. A late fee is charged for overdue returns, and the user's account records the transaction. If a book is returned damaged, additional fees apply. Non-payment of fees may result in a borrowing suspension .

The late fee policy encourages timely returns, thus increasing the availability of book resources for other users. By financially discouraging delays, the library ensures efficient circulation of materials, which helps maintain user compliance and resource management .
