chief executive officer has appointed you and some colleagues to plan a programme to gather co-
workers to help raise funds for a local school.

Dear Madam Angelina,

I am writing this email to seek your approval for the company’s programme. We plan to conduct an “All
For One” event to help raise funds for a local school. The objective for this event is to create a positive
and strong relationship between co-workers of the company.

The main activities for this event are “Themed Fun Run” and “Charity Night”. For fun run activities, we
recommend that to be held at Taman Botani, Putrajaya and for the “Charity Night”, we will find a
suitable event hall in Putrajaya. All profit earned from the event will be donated to the selected school.
We suggest that it will be more convenient if the event is held on Saturday or Sunday.

Regarding the selection criteria for the school, we already choose several criteria such as schools that
have poor technology conditions and lack of learning materials. The event will be promoted by the IT
department via the company website and the HR department proposed that we should set up
committees specifically for finance, planning and promotions. We will update you on the specific duties
after our next meeting.

We will proceed with our next meeting once the programme is approved to discuss the details of the
