This chapter discusses the theoretical framework used to develop a sales and inventory system for SS Furniture Company. Visual Basic, Microsoft Access, and data flow diagrams were used. Visual Basic was chosen as the programming language because it is easy to use. Microsoft Access was selected as the database because it is easier than SQL Server. Data flow diagrams were utilized to summarize and organize information about the system. These theories helped in designing the proposed system to address SS Furniture Company's need for a computerized sales and inventory system.

CHAPTER 2 THEORITICAL FRAMEWORK

In this research, several theories were used to implementing the current manual of SS Furniture

Company which is “mano-mano” into sales and inventory system. Those theories may offer what will be

use in the different sections of the chapter. Those certain theories are: Programming Language (Visual

basic, it is a very easy programming language to use rather than other programming language) and Database

(Microsoft Access, easier than SQL Server) and we have also use Data Flow Diagram (DFD) in

summarizing and organizing detailed information about the system. So, this may lead us in making the

design for the proposed system.

2.1 Introduction

In our modern world, system is useful and it is the desire of a company to have a system,

especially the sales and inventory system. The product increases when the company progress in every

decades. For this reason, company needs to have a system which can help them in inventorying their

products easily. As what we observed during the testing of the system we conducted is that, we found out

that it can consumed lesser time and it can avoid mistaken in inventorying their system. Because of this, we

prompted to make a system which is sales and inventory system. This may give a big help to the SS

Furniture Company.

The theories that we studied is all about on how we will solve the statement of the problem of

the company by using the computerized sales and inventory system it can help to improved the flow of their

business without the hustle of time that consume in every works and redundancy’s in their monitoring stock.

And by the help of our system we will assure the accurateness of the works.
2.2 Programming language

We use Visual Basic (VB) in making our system. Visual Basic is not only a programming

language, but also a complete graphical development environment. This environment allows users with little

programming experience to quickly develop useful Microsoft Windows applications which have the ability

to use OLE (Object Linking and Embedding) objects, such as an Excel spreadsheet. Visual Basic also has

the ability to develop programs that can be used as a front end application to a database system, serving as

the user interface which collects user input and displays formatted output in a more appealing and useful

form than many SQL versions are capable of.

Visual Basic's main selling point is the ease with which it allows the user to create nice

looking, graphical programs with little coding by the programmer, unlike many other languages that may

take hundreds of lines of programmer keyed code. As the programmer works in the graphical environment,

much of the program code is automatically generated by the Visual Basic program. In order to understand

how this happens it is necessary to understand the major concepts, objects and tools used by Visual Basic.

2.3 Data Base Management

The database we have use for our system is Microsoft Access. It is commonly use in making

database and it is easier than SQL Server. Access stores data in its own format based on the Access Jet

Database Engine. It can also import or link directly to data stored in other applications and databases.

Software developers and data architects can use Microsoft Access to develop application software, and

"power users" can use it to build simple applications. Like other Office applications, Access is supported by

Visual Basic for Applications, an object-oriented programming language that can reference a variety of
objects including DAO (Data Access Objects), ActiveX Data Objects, and many other ActiveX components.

Visual objects used in forms and reports expose their methods and properties in the VBA programming

environment, and VBA code modules may declare and call Windows operating-system functions.

2.4 Summary

The entire chapter involved about what theories we have used, such as different languages,

database, diagrams and components in every sections for the succession of our system. Visual basic,

Microsoft Access and Data Flow Diagram help us to make the system easy with its compatibility works.

The company’s process may eliminate time and efforts in having in managing their company will improve

and they can now easily monitoring all the sales and products of their company.
CHAPTER 3 SALES AND INVENTORY SYSTEM

3.1 Introduction

Our proposed system was generated to meet the specific problems we have identified at SS

Furniture. The system is called Sales and Inventory Management System or SIMS. This system integrates

your purchases, sales, inventory, accounts receivable and accounts payable in one easy to use program. With

these features, SS Furniture’s inventory system will be enhanced. It can save more time because it’s easy to

use and stocks monitoring is also more reliable because it will automatically save every transactions made.

In using Quantum Sales and Inventory Management System our specific problems identified is already

meet. From manual inventory system used by SS Furniture, SIMS will not change its old system but rather it

will enhance and improve the old system used by SS furniture.

3.2 Data Flow Diagram

In the late 1970s data-flow diagrams (DFDs) were introduced and popularized for structured

analysis and design (Gane and Sarson 1979).  DFD is a logical model of the flow of data through an

information system. It is an excellent tool for summarizing and organizing detailed information about a

system’s boundaries, processes, and data entities, providing the analyst with a logical map of the system.

Documenting the system’s boundaries by drawing a context diagram helps the analyst, the user, and the

responsible managers visualize alternative high-level logical system designs. Data flow diagrams are used to

describe how the system transforms information. DFDs can also be used for the visualization of data

processing (structured design).

3.3 Summary

The company which is the main source of the process through the costumer which gives the

receipt and payment to the cashier then notifies the product list that has been sold from the store. From the

store it gives the information about the list of the product to the sales clerk. The sales clerk request the raw

materials to the supplier and deliver to the store then the received products goes to the stock in charge which

will be given to the workers for them to assemble the raw materials. After the process, the head controller

will check the finished product then deliver it to the store. The list of the product that has been delivered

will notify to the manager and request to display in the store.


ABSTRACT

The growth of a company is fast and their impact on the economy is becoming bigger. In

managing their sales and inventory is often challenging for these certain company. This study attempted to

determine the problem of SS Furniture in managing their company. Specifically, it seeks the answer to the

following questions such as what are there available products, number of workers, background of the company

and so on. Aside from that, it determine the process in inventorying and monitoring their sales and products and

how they managing their company. The study used a descriptive survey method to know what would be the

general problem on their manual. Then, we interview the head manager of the company and we have observed

the process on their company, especially in selling their products. Tabulation of data was done after gathering

all the data and information’s where then administrative by us. And we find a solution to their problem to

improve their current manual system. So, we introduce a system which can give a big help to their company. A

proposed system which is sales and inventory system was conducted to their company.
