Event management also involves studyi ng the intricacies of the brand, identifying

technical aspects before actually executing the modalities of the proposed event. After
an event has been successfully done, a post-event analysis is made to ensure a return
on investment was met that have become significant drivers for the event industry.
As anyone can notice, the events management industry now includes those of all
sizes from the Olympics down to a breakfast meeting for ten business people. Many will
hold events of some size in order to market themselves, raise money, build business
relationships and others for a lot of industries, charitable organizations, and interest
groups.
The range of events that an event management business can supply is
impressive like those of a catering company. They can arrange events for a small group
of people. The can even arrange huge events with around 5,000 people attending.
Since most businesses contact an event management team to handle their events, it is
important that as event planners and organizers, team members are keen to details to
give the best service since businesses avail this because their expertise in the field is
second to none. Planning an event is time consuming and stressful for most of the
companies; it is also a costly one. This is also the reason why they have contacts within
their field in order to obtain the best price quotes and the most reliable service.
With the discussion above, it can therefore be said that event management is a
science and an art. It is a science because it involves careful planning and attention to
details and need for proper execution of the processes or the steps. It is an art because
it requires one to become artistic in order to come up with clever ideas on how to

creating experiences that are unique and unforgettable.

VI. TIPS FOR EVENT MANAGEMENT

For one who will be part of the event management team, the best tips are to
delegate tasks, select an appropriate venue, plan for the unexpected and cater to key
people:
★ Delegating tasks - this is the key for successful event management because it
helps ensure that all aspects of the event are covered. Because of this, an event
manager should have a trained team in place that will verify that everything has been
accounted for and be available to handle potential problems. However for smaller
events, an assistant instead of an event management team may be more practical to
avoid too many expenses yet helps to decrease the likelihood of mistakes depending
upon the size of the event.
★ Selecting the right venue – this is highly important because some of the biggest
problems that can be avoided are related to the venue. It is a decision that can either
make or break an event. Should a client not have a venue in mind, the event manager
will need to find out exactly what the client is expecting, know how many people the
venue should hold and check if there special considerations that need to be made. For
example, a workshop may require more space because tables and chairs are necessary,
while in a speaking event, a smaller area will do. With regard to special considerations
that may need to be accounted for, these refer to areas where to serve food, the
handicap access, the dedicated dancing space, even areas for entertainers, and safety
features should there be special effects such as fireworks.
★ Planning for the unexpected - this is also called as contingency plan that should
be in place. This should be made for everything that could go wrong, such as bad
weather, equipment failures and late speakers. Developing a plan for each possible
failure can help the event manager remain calm should a problem be encountered.
Backups will already be in place and options will be readily available in case of crisis.
★ Catering to key people – this is very important to avoid delays or cancellations. In
other words, this may mean picking up speakers or entertainers from the airport, making
sure their accommodations are comfortable, accounting for them on the day of the
event and ensuring that all their needs are met and they are happy. Catering to the
needs of speakers or entertainers is significant to help them get situated faster and be
more mentally prepared for the event.

Understanding a client's brand ensures that the event aligns with their overall image and marketing objectives. It guides decisions regarding event aesthetics, tone, and experience, ensuring guests encounter a consistent brand message. This alignment can enhance brand recognition and client satisfaction, as the event effectively showcases the brand's identity and values .

While both roles require a strong business foundation, event management team members need additional skills such as being articulate in multiple languages, having excellent guest focus, and the ability to deal with various types of guests. They also require creativity, patience, and the ability to handle changes in event details. In contrast, general business management may focus more on strategic, financial, and operational competencies without the specific need for customer service focus or creativity in a live event context .

Contingency planning is critical as it prepares event managers for potential failures such as equipment issues or bad weather, thereby reducing panic and allowing for quick resolution. By anticipating these issues, event managers can implement backup plans to maintain the smooth operation of the event, thus safeguarding the event's reputation and client satisfaction .

Selecting the right venue is crucial as it can either make or break an event. Considerations include capacity, special needs like handicap access, specific event requirements like space for tables or stages, and safety features. Knowing the expected number of attendees and any special considerations the event requires allows for choosing a venue that aligns with the client's vision and the event's needs .

Event management applies project management principles to the creation and development of festivals, events, and conferences by ensuring careful planning, logistics coordination, and execution. It involves understanding event intricacies, identifying the target audience, and devising event concepts, similar to project management's focus on detailed planning, time management, and execution .

Trends profoundly impact planning strategies as clients often expect the latest trends to be incorporated into their events to remain relevant and engaging. Industry trends can dictate event aesthetics, technological integrations, and sustainability practices, requiring planners to continuously update their knowledge and skills to meet evolving client demands and maintain competitiveness .

Creativity allows an event manager to innovate and meet clients’ unique requests effectively, making each event distinct and memorable. Creative approaches can lead to engaging event designs that captivate attendees and comply with the client's vision, potentially increasing client satisfaction and leading to successful events that stand out in competitive markets .

Challenges include ensuring key people are comfortable, timely pull-off logistics like transport and accommodation, and accommodating last-minute needs or changes in schedules. Strategies to mitigate these include thoroughly understanding their expectations, maintaining open communication channels, and having contingency plans for unforeseen changes to ensure they are prepared and satisfied .

Interpersonal and communication skills are crucial for an event management team as they enable effective interaction among team members and with clients, ensuring all aspects of the event run smoothly. Good communication helps in conveying clear instructions, resolving conflicts, building strong client relationships, and motivating team members .

A highly trained event management team ensures that all aspects of an event are covered, with team members available to handle any potential problems. This thorough coverage reduces the chances of oversight and can enhance event success. However, it can be costly. For smaller events, an assistant may serve the purpose while reducing expenses, though this increases the risk of mistakes due to fewer hands managing responsibilities .
