Introduction

Monitoring of students is a very important factor specially in identifying every individual

coming in and out of the school every day. The students will use their QR card (Quick Response
code) to enter in the school premises. The function of SMS (Short Message Service) Advisory is
it will give the parents the information regarding the payment of tuition fees, the arrival and
departure of their children in the school campus even though they are not at home.
Pamantasan ng Lungsod ng Marikina is one of the Schools who didn’t use QR code for
monitoring the attendance of the students, they now facing problems with regards to monitoring
the attendance of the students during school’s activities. Most of the time students are required to
attend to all activities as required by the School itself. But as early days experience until today,
the teachers is having a hard time to monitor the attendance of the students. Teacher nowadays
they’re using a manual process to monitor the student’s attendance. In a manual system, teachers
will take and write down the student’s daily attendance in the record book or they tend to use a
piece of paper for attendance, and the student will write their names in the paper and then sign.
This showed that the manual system is not strict and the student does not pay much attention to
the attendance. Parents also do not know either their children come to school or not and also
student can write the names of their friends or classmate even if they are not attending the class.
Due to the unreliable reports of attendance monitoring and unreliable monitoring of student’s
attendance the researcher will able to come up with a solution to solve the problems, the
development of QR code attendance monitoring system with SMS notification. It tends to
eliminate the manual recording system of time and attendance. The target of this system is to
monitor the daily student attendance and to inform parents about the attendance of their children.
This system will be fully computerized and also apply an communication technology called
SMS. All of the daily students’ attendance will be saved in a specific database. When the student
log-on by swiping their school ID on the system, it will automatically generate a message that
will be sent to the hand phone via SMS.
Hopefully with this system, the student discipline problems will be zero defects in
attendance context and the parents will be informed if the student escapes in school by this new
monitoring system and also, it is for the faculty or for the teacher to keep the students attendance
record increased due to increasing number of school students. This system also will make the
school management system to be more systematic, efficient and smoothly processed.
Significance of the study

This study is a significant initiative in promoting an innovative attendance monitoring system

that is environment-friendly, cost-effective and easier access to data. This system would also
provide teachers with a proper motivational intervention for students who are not always present
at school. It would be beneficial to the school personnel in adapting the QR code electronic-
based attendance monitoring system that is essential in simplifying the checking of attendance
more efficient and fast that has easy access to QR code readers.

BENEFICIARIES
STUDENTS
“QR attendance monitoring system” is software developed for maintaining the attendance of the
student on the daily basis in the collage. Here the staffs, who are handling the subjects, will be
responsible to mark the attendance of the students. Each staff will be given with a separate
username and QR Code based on the subject they handle. An accurate report based on the
student attendance is generated here. This system will also help in evaluating attendance
eligibility criteria of a student. Report of the student’s attendance on weekly and monthly basis is
generated
EMPLOYEE
The staffs will be provided with the separate username and QR Code to make the student’s
status. The staffs handling the particular subjects responsible to make the attendance for all
students. Only if the student present on that particular period, the attendance will be calculated.
CHAPTER I

PROJECT CONTEXT
In this context, the researcher wanted to conduct the study to enabling awareness of
the features of the attendance monitoring system using the QR code. It also intended to
determine the level of acceptability of QR code attendance monitoring system as perceived by
particular teachers-user and the students of General Emilio Aguinaldo National High School as
participants of the study. Thus, this study is geared towards evidence-based practice using
this type of computer system that will serve as a preference towards continuous
improvement and work on the recommendation on how this type of system can be
adapted in the school context.
This system developed will reduce the manual work and avoid redundant data. By
maintaining the attendance manually, then efficient reports cannot be generated. The system can
generate efficient weekly, consolidate report based on the attendance. As the attendances are
maintained in registers it has been a tough task for admin and staff to maintain for long time.
Instead the software can keep long and retrieve the information when needed. Attendance
Management System basically has two main modules for proper functioning Admin module is
has rights for creating any new entry of faculty and student details. User has rights of making
daily attendance, generating report. Attendance report can be taken by given details of student
details, date, and class. The system should be designed in such a way that only authorized people
should be allowed to access some particular modules. The records should be modified by only
administrators and no one else. The user should always be in control of the application and not
the vice versa. The user interface should be consistent so that the user can handle the application
with ease and speed.
PURPOSE AND DESCRIPTION
QR CODE: QUICK RESPONSE CODE

QR code (abbreviated from Quick Response Code) is the trademark for a type of matrix
barcode (or two-dimensional bar code) first designed for the automotive industry in Japan. Bar
codes are optical machine-readable labels attached to items that record information related to the
item. It was initially patented; however, its patent holder has chosen not to exercise those rights.
Recently, the QR Code system has become popular outside the automotive industry due to its
fast readability and greater storage capacity compared to standard UPC barcodes. The code
consists of black modules (square dots) arranged in a square grid on a white background. The
information encoded may be made up of four standardized types ("modes") of data (numeric,
alphanumeric, byte / binary, Kanji) or, through supported extensions, virtually any type of
data A QR code, as shown in Fig.1 is read by an imaging device, such as a camera, and
formatted algorithmically by underlying software using Reed-Solomon error correction until the
image can be appropriately interpreted. Data is then extracted from patterns present in both
horizontal and vertical components of the image.

The manual attendance system is hampered by several challenges, including inaccuracies in record-keeping, opportunities for students to commit fraud by signing for others, and lack of timely communication with parents about student attendance . The QR code system addresses these issues by automating attendance recording and eliminating the possibility of fraudulent entries, as each student must personally scan their own QR code. It also facilitates instant parent notifications via SMS, thus improving both accuracy and communication . Enhancing data security and reducing redundant data are other noted benefits, creating a more systematic and streamlined process for managing attendance .

Utilizing QR codes for entrance and exit monitoring enhances a school's security management system by providing precise tracking of student and visitor movement. Each QR code scan at entry or exit points updates the system in real-time, allowing security personnel to access accurate records of who is on the premises at any given time. This level of monitoring helps in distinguishing between students, staff, and visitors, thereby reducing unauthorized entry and ensuring that the school environment remains secure . With controlled access systems linked to QR code scanners, schools can manage gate operations efficiently, further strengthening overall security .

Key design elements in a QR code attendance system to ensure ease of use and effectiveness include a user-friendly interface that makes it straightforward for students and staff to scan QR codes. The system should have intuitive navigation and consistent design to facilitate quick adoption by users . It must provide reliable data access with features like easy report generation, real-time updates, and clear data displays. Security features are crucial, with controlled user access only permitting authorized personnel to modify records. Error corrections, such as Reed-Solomon, should be integrated to ensure data accuracy . Additionally, mobile compatibility could enhance access for users wishing to view updates on the go .

QR code technology in attendance systems poses several implications for data privacy and security. The digital nature of QR-based systems means that student details are stored electronically, which necessitates stringent security measures to protect sensitive data. While QR codes provide a secure method of capturing and storing attendance data due to their use of encryption algorithms, the systems must be designed to ensure that only authorized users can access or modify data . There is a risk of unauthorized access or data breaches if adequate security protocols are not followed, making it crucial for systems to implement access controls and encryption measures to safeguard student information .

For students, the QR code system ensures that their attendance is accurately recorded, reduces the possibility of fraudulent entries by peers, and allows for easy access to their attendance data . For parents, SMS notifications provide peace of mind by informing them about their child's school attendance and punctuality . For school administration and staff, the system reduces manual work, minimizes errors, and offers reliable data management, making attendance tracking faster and more efficient. It also facilitates the calculation of students' attendance eligibility criteria and can generate detailed reports .

The implementation of a QR code attendance system can significantly impact student behavior by encouraging punctuality and regular attendance, as students are aware that their presence is being accurately monitored and reported to their parents . This can lead to improved discipline and a reduction in class-cutting incidents. For school policy, the system supports fair and unbiased enforcement of attendance rules, as it provides concrete, unalterable data regarding student attendance. The real-time reporting mechanism ensures that policies related to attendance are consistently upheld, assisting teachers and administration in maintaining order and accountability .

The QR code attendance monitoring system significantly improves student attendance monitoring by eliminating the manual recording system, which is prone to inaccuracies and deceit. Instead of manually writing attendance, students use QR codes to register their presence, which is recorded instantly and accurately in a digital database. Additionally, SMS notifications are sent to parents about their child's attendance, providing real-time updates and preventing students from skipping classes unnoticed . The system also offers a platform for generating detailed attendance reports, thus improving reliability and efficiency in attendance tracking .

Integrating SMS notifications into the QR code system offers multifaceted benefits. For students, it creates an accountability mechanism, knowing that their parents will receive immediate updates about their attendance. This can motivate them to attend classes more regularly . For parents, SMS notifications offer reassurance and transparency regarding their child's attendance, enhancing the communication channel between the school and home . Finally, educational institutions benefit through improved attendance tracking, reduced manual handling errors, and streamlined communication with parents, thus enhancing overall management efficiency and accountability .

The limitations of using QR code technology for attendance include potential technical challenges such as scanner malfunctions, QR code damages, or data transmission failures. Additionally, the reliance on technology might exclude users who are not tech-savvy or lack access to compatible devices . To address these limitations, future improvements could involve enhancing the robustness of scanners and QR code materials to withstand wear and tear. It's also important to incorporate redundant systems to mitigate technical failures—such as manual backups or alternative check-in methods. Training programs to improve user tech proficiency and making systems more inclusive could help ensure widespread adoption and effectiveness .

QR codes in an attendance monitoring system function by having each student use a unique QR code embedded on their ID card. When students enter the school, they swipe their ID at a QR code reader terminal that scans and interprets the data contained in the code. This data includes the student's identification details and is algorithmically processed using Reed-Solomon error correction for accuracy . The scanned information is automatically uploaded into an electronic database, ensuring precise and real-time attendance records. Subsequently, this triggers an SMS notification to parents, informing them of their child's entry or exit from the school. This system minimizes human error and ensures that only authorized personnel can modify attendance records .
