Aim: Case study on Project Planning (Example: The planning process- Nuts and Bolts)
Introduction:
The project planning phase of project management is where a project manager builds the
project roadmap, including the project plan, project scope, project schedule, project
constraints, work breakdown structure, and risk analysis.
It doesn’t matter if the project is a new website or a new building—the project planning phase
serves as a roadmap and acts as a control tool throughout the project. Project planning provides
guidance by answering questions like:
• What product(s) or service(s) will we deliver?
• How much will the project cost?
• How can we meet the needs of our stakeholders?
• How will progress be measured?
Purpose of project planning:
• Project planning communicates deliverables, timing and schedules, along with team roles
and responsibilities. During the planning phase of a project, the project manager is forced
to think through potential risks and hang-ups that could occur during the project.
• These early considerations can prevent future issues from affecting the overall success of
the project, or at times, cause a project to fail. Too little planning causes chaos and
frustration; and too much planning causes a lot of administrative work and not enough time
for creative work.
• Ultimately, the planning phase of project management determines how smoothly your
projects move through the life cycle, which is why it's so important to spend some time at
the beginning of a project and get your planning right.
Basic processes of project planning:
• Scope planning – specifying the in-scope requirements for the project to facilitate creating
the work breakdown structure
• Preparation of the work breakdown structure – spelling out the breakdown of the project
into tasks and sub-tasks
• Project schedule development – listing the entire schedule of the activities and detailing
their sequence of implementation

• Resource planning – indicating who will do what work, at which time, and if any special
skills are needed to accomplish the project tasks
• Budget planning – specifying the budgeted cost to be incurred at the completion of the
project
• Procurement planning – focusing on vendors outside your company and subcontracting
• Risk management – planning for possible risks and considering optional contingency plans
and mitigation strategies
• Quality planning – assessing quality criteria to be used for the project
• Communication planning – designing the communication strategy with all project
stakeholders.
The Planning Process Nuts and Bolt:
• The planning process will proceed from the identification and examination of challenges
and beliefs. through the creation of a meaningful mission/purpose statement, to specified
goals and action plans.
• The key contents of the preparation plan include the scope of the planning effort, defines
the boundaries of the planning effort. It's going to identify the issues and management
concerns, the work priorities.
• Thus, the PM's first job is to review the project objectives with the senior manager who has
fundamental responsibility for the project which include
• Expectations that the organization, the client, and other stakeholders have for the
project.
• Should have the discussion with the senior manager who have the major interest about the
project.
• Now, the PM should briefly study about the project and should have at least one
representative of senior management, who have the strong interest in the project area.
Next in the list the managers from the functional areas should be appointed to contribute
competencies or capacities to the project and if the expertise is required in the project then
the PM can add the individual as per the requirement.
• Once the team is formed the PM should launch the meeting where the senior manager
introduces the project to the group, and discusses its contributions to the parent
organization. In the meeting the project's tentative priority may be announced 1.e. the
budget estimate used in the project selection process,
