Main Store:

Key Learning Areas:

Visited the main store of plant site, got the general overview of the main store, its critical products and
systems.

General overview of the product types, the difference btw the consumable goods and the shutdown
products and the concepts of product categorization into the bins.

Visited, shutdown items store, general items store and store yards and got an insight on the purchase
procedure as well as the issuance of stock.

Got an insight on the concept of stock checking in MS GP, and stock keeping of different items.

Visited the store yard and understood the concept and working procedure of the main store for import
consignment. Deliberately taking the technical support of the project department and inspecting the
product as per the specifications with the exact count as per the LC of the product.

Got a detailed insight on the concept and was taken through the process of receiving a purchase
requisition, forwarding the demand to the head office for further purchasing , inspecting the products as
per the quality standards prescribed by the department with help of quality control department, and the
issuance of GRIN after the issuance of product.

A concept of local purchasing and how it’s done with the help of a local purchaser, and the detail of
billing report which is feeded using the business portal at the start of each day.

New item code opening process. How the label cards are made as per the GRIN, the product is opened if
a purchase of a new unknown product is made.

Purchase requisition is issued by the department specifying the product they want to get issued through
the main store highlighting the product code which is already stored in the business portal.

Categorization of the material for shutdown and daily consumable goods at the time of issuance.

Worked on the procedure to identify the safety stocks of different products.

Stock levels: Figuring out the expenses of 3 years of individually most commonly used products.
Averaging out the consumption of all three years and dividing it to the number of months resulting in
the consumption for each month of individual product.

Other purchasing is done as per the required quantity after the approval of higher management.

Finished Goods Section:

Key learning areas:

Understood the working dynamics of finished good store of Olympia chemicals plant site.

The work process of transport and loading and packing contractor.

Met store incharge Tariq Mehmood who gave me an insight on general working of the the finished
goods department.

Visited the store and warehouse 1 and 2, and got an overview on the packing and production of soda
ash.

Visited sodium bicarbonate plant.

Goods Transport Contractor:

Two goods transport contractors are in process currently who are responsible for the transportation of
soda ash and sodium bicarbonate to the distributors and customers.

The contractors are paid as per the freight specified by the company.

Packing labor contractor

Packing and loading is done through the labor of a contractor Ch Rasheed.

The packing labor is paid as per bag of packing and as per ton of loading.

Warehouse Management:

Understood the process of packing, conveyer count, stitching through auto and manual machinery and
the stacking of soda ash light, dense and bicarb.

Worked on the list of stocks and took part in the audit process with Mr Raja Aurangzeb, verifying the
physical stock against the listing provided by the store. Worked on the stock count of the finished goods
store.

Understood the working of DFGR, a point log software to highlight the daily finished goods report

Understood the quality wise stacking and distribution of soda ash.

Stock is readied and packed as per the PO and is dispatched as per the dispatch plan mailed by the sales
department of head office.

Gatepass is issued by the weighbridge after the builty is given by the transporter against the dispatch
plan against which the picking ticket is issued.
Production is taken in three shifts whereas for quality management, a special code is written on each
bag indicating the date it was it was manufactured on, month and the shift it was packed at.

Visited the quality control lab, understanding the various concepts oftesting the aliklinity of product and
various testing procedures that our product goes through.

The major part of the QC is that the testing is done and the quality is inspected during the process and
not at the time of final finished goods.

The concept of first in first out is used because of the CO2 Absorbing capability of soda ash.

SCEM is used to make the picking ticket against which order is updated and outward gatepass is issued
on which the dispatch is completed by the ash warehouse.

Which is then posted to GP by the main store

Visited the finished goods store warehouse 2.

Understood the process of stacking

Met afzal goods contractor and Greenland contractor for transport and met munshi of packing and
loading.

Approx 120 labor is being used for packing of soda ash and sodium bicarbonate and loading of soda ash
to trucks.

Builty Procedure:

Builty is sent to the store after filling out necessary information as per dispatch program by the
transporter.

Truck is sent and inspected at the gate where then the first weight is done and a picking ticket is issued.

The truck comes in and is loaded after which the second weight is done at the weigh bridge on the basis
of which a outward gatepass is issued.

Weighbridge Management:

Visited weighbridge and was able to understand the weighbridge operations and management for sale
and purchase and the procedure for the issuance of inward and outward gatepass.

Understanding the daily production report for bicarb, light ash and soda ash dense with working of the
daily finished goods report of the stock on plant log sheet.

Daily entry and updatation of stock, production, and sale of stock, evaluating how much dispatch has
been made in each day.
Admin:

Mehrban Khan:

Issuance of purchase requisition for buying of door knobs.

Cost saving techniques: multiple tasks to be done in a single visit of MT transport

Visited the school and petrol pump.

Mr Inam Ullah Khan

Worked with Mr Inam Ullah Khan and took part in the bidding process of scrap.

The process was enthrilling as the advertisement of scrap selling is given on the news paper.

The interested parties are allowed to make a visit and see the scrap and after which the interested
parties write their bid rate and send it be mail to the manager admin.

The mails are collected and received until the specified time and after all the mails are received all the
parties representatives are invited in the factory where infront of all the representatives and infront of
DGM of plant, manager admin opens the mails and the mail with the highest bid wins the scrap.

Bricks Plant:

Understanding the process of manufacturing the bricks and the efficient quality testing which is done to
maintain the quality of bricks.

The most important aspect of the manufacturing of bricks is that the most of the raw materials used in
the making of bricks comes from the waste material of soda ash manufacturing , thus allowing the
company to decrease the waste and increase efficiency.

The process of bricks making is long 13 hrs long process where with efficient management of resources
the company is able to get a very convincing production of 57000 bricks productions per day.

The major marketing tactics used by the company is the word of mouth where the bricks is sold at Rs 5
per bricks for everyone including the employees of OCL.

Payment is received in advance against the order of the bricks and on showing the receipt of payment,
the dispatch is done within next 10 days of receiving the receipt.

Telephone Exchange:

In order to do a interdepartment communication effectively, OCL plant site has incorporated the a very
efficient exchange, where the inuse model have 3 numbers in use, providing 232 lines, allowing different
departments to connect for communication through different distribution boxes intact.
With that, the exchange provides a wireless walkie talkie, along with a digital super hybrid system for
contacting mobile phone number.

Connecting the plant through Dbs, dsl devices, cabinets and service cards along with the wireless
cardless cell phones through base and subbase wireless connection through antenna, OCl has provided
an effective communication mode to it different departments.

Looked after the civil matters in the company provided society for it’s employees and plant. Learnt
about the process of water collection in the reservoirs through booster station, whose usage is
monitored on daily basis inside the society and in plant site through noting the readings through
different flow meteres.

Visited the companys RO plant and understanding the water treatment process to clean the water for
drinking.

Horticulture:

Visited the 65 acre of irrigation land of Olympia chemicals limited where was enlightened by the
concepts of booring the water below the surface and how the plantation on vast area is done by
Olympia chemicals to reduce the pollution effect in the environment.

Walked through the whole plant understanding the importance of the civil work around the plant which
included the CB drainage, lagoons proper disposal and it’s boundary wall maintenance along with the
mechanism of water storage in the water reservoirs.

With that was able to get an insight on how the repair and maintenance work inside the society walls
and building blocks, and was able to understand how the society matters are managed effectively.

Was enlightened by the fact that company takes a keen interest in gardening and keeping the area as
green as possible through plantation of various plants.

Fair price shop:


the fair price shop is yet another exceptional facility provided by OCL to its employees where the shop
provides 18 various most commonly used items in every household on credit basis specifically for
contractual and permanent employee. The employees can get products like flour, rice and sugar and tea
at the wholesale rate and the payment of purchasing is deducted from the employee’s salary at the end
of the month.

The stock report is kept by the store keeper using the HRMS software providing the details like the
amount which due of each employee who made the purchase along with the stock quanity and sale
report.

Mining Activities:

Visited the company salt mine in Bruli and was guided about the procedure and specification involved in
the process of mining of salt. The salt is extracted through a 450 ft long mine with the dimension of
12*12 ft going downward form the mine mouth. The drilling and salt extraction work is done by the
contractors labor using the rigg machines for drilling and the holes are bombarded through the use of
calculated explosives for further extraction.

Time Office:

the very important areas of work included my working in time office where I was able to understand the
importance of time management. The time office is responsible the daily attendance of the each
employee working in the three shifts, noting down their time in and time out. The process is done
through both cards attendance and through manually noting down in the registers.

The time office is also responsible for making the daily strength report of each department and getting it
signed by the manager admin.

For daily wagers, a card for daily attendance with the wage rate is given to every worker, which they
keep and gets it signed on daily basis by the time office clerk.

Was able to understand the procedure an employee must follow in case they want to apply for leave, or
short leave. Learnt about different types of leaves that are allotted to the employees and the rules they
must follow in order to avail those leaves.

Worked through the manual registers that are maintained manually noting down the time in and time
out of each employee, thus at the end the month providing the attendance report with the calculation
of total number of hours worked by individual employee deducting any leaves from employee balance
of leaves in case time falls short, to the accounts department for further salary processing.

Labor Welfare and government related activities:


Worked with Mr. Aman Ullah Khan TO understand the importance of the government related policies
and facilities provided by the gov to labor for their welfare. Discussed and understood the working of
social security, EOBI and labor welfare boardfaciliting the labor as per the labor law and ensuring the
companies are following the instruction and providing the facilities to it’s employees as per the labor
law.

Medical Dispensary:

The most important aspect is the fact that the dispensary provides the medical facilities to social
security registered labor and treats them free of cost in case of an emergency medical checkup. With
social seciurity facility, the company dispensary provides a free checkup for it’s permanent employees
and a checkup at a minimal amount of Rs 30 for private people and contractual employees. The
dispensary has the facilities of lab doing various tests and a very low cost.

Booster Station:

Visited the booster station of OCL understood the process and procedure of how the water is pumped
through the canal and pushed almost 7 km away in order to collect in to the reservoir.
MEhrban Khan:

Understood the working and management of all 3 messes understanding the working procedure of all
the messes.

The compay is providing the mess facility to its employees at subsidized rates. Worked on the monthly
bills charged to the employee further understanding the working mechanism of purchase and cost
distribution on guests, employees and company.

Was given a brief overview on how the accommodation is managed and the rooms and hoses are
distributed among the management and non management staff cadre.

Visited the chairmans villa where I was entrhrilled by the enjoyment facilties provided by the company
like gym, snooker table, table tennis and club hall where the management staff and their families can
watch movies together in the theater room.

Olympai mart providing the facilities like barber shop, grocery shop, canteen, taylor shop and general
sstore. The company hs provided the shops to the local residents on rent at the minimal amount of Rs
50 and Rs 100 per month as per the contract where the prices are monitored stricktly.

Visited the carpenter Shop.

MT Transport:

One of the most important aspects of admin I worked on is in MT transport department.

The department is majorly working on two different aspects, 1 is the repair and maintenance and the
second one is Operations along with the control of machinery or vehicle requirement all over the plant.

Understood the working dynamics of operation segment where the department controls the flow of
information through the use of a fleet management software.

The fleet management software allows the department to not only keep the fleet details but also allows
the department to get a fleet daily running performa.

Fleet scheduling details allows the department to track the vehicle and machinery daily usage, issuance
and return details

Double entry system is used where the information is first noted down on the register well maintained
and then the information is entered into the fleet management software where it could be used to
analyze meaningful information.

The company allows the third party contractor to use the company machinery and vehicle, charging
them rent on per hour and per km. the coaster and vehicle usage costs Rs 13 and Rs 23 per km whereas
the heavy machinery like excavator and loader is rented at the cost of Rs 2500 and Rs 4500 per hour.
The department software also allows the company to keep tract on the repair and maintenance and cost
that is being used in the process whether it is done internal or externally.

A schedule is issued to all operators where they are made responsible for the maintenance, cleaning and
greasing of machinery and vehicles on weekly basis. The department has its own mechanical workshop,
oil change, denting and painting shop and car wash area.

The company has provided a facility of transportation through a third party contractor where the
contractor has provided 6 buses with a capacity of 42 seats in each bus running on 6 different routes.

Studied the agreement and terms of conditions of contractor understanding the billing process of
contractor.

The department has it’s own store, keeping the running parts which used in normal routine.

Understood the purchasing process of MT department. Which products are ordered to headoffice and
which products they prefer buying from the local market.

Understood the product buying process from local market and issuance from main store.

List of available items is issued by the main store to the departments. As well the stock levels, describing
the min and max stock levels.

The used items are kept for some time and then put into the scrap yard for selling.

The diesel is issued from the OCL petrol pump against which a slip is issued to petrol pump which is then
adjusting in accounts b accounts department andrecord of diesel issuance is noted down in the
software.

Anywhere in the plant site where the machinery is needed, the mT is department to facilitate by
providing ht emachinery and operator.

Furthermore, if the vehicles are required anywhere in the plant for purchasing or traveling, providing
that is also a responsibility of MT department.

Raw Materials Management:

One of the most important aspect of the Supply chain is the rawmaterial which I got a chance to
understand with MR Imran Khan managing the raw material for OCL.

Got a general overview of supplychain and rawmaterials and visted the field identifying the various raw
material s used in the production of soda ash.

Discussed the importance of stock keeping andunderstood the ordering process of coal and other raw
material.
Understood how the coal is stored and handled and the issuance process of coal to different
departments.

Measures taken to reduce wastage.

Understood the importance of seasonal stock and seasonal planning of stock ordering and keeping done
by the supply cahin department.

Visited the coal yard, lime stone, hard coke and salt basins.

Understood the process of storage of coal, the segmentation of imported and local coal, the testing
process, quality checkup.

Understood the consumption rate vs the safety stock,

The importance of safety stock, lead time. The just in time vs the bulk buying.

Understood the quality testing process and BTU requirement for quality passing test.

Visited the salt yard and salt basin and understand the different types of coal.

Discussion on the importance of supply chain and how it could be used to make a better supply chain.

Discussion on the stock report calculation and identifying the measurement of physically present
amount of stock.

Got an insight on the supplier relationship management, the importance of better relationship towards
reaching the goals of supply chain.

Worked through the process of identifying the different trends through following the trend line helping
us highlighting the importance of demand forcast and highlighting the seasonal effects of supply chain
based on the last 2 years buying and comparing the stock quantity with consumption.

The importance of supplier training and customer feedback.

Understood the sampling process and rejection criteria on the basis of which whole lot is rejected.

Discussed the sampling issued and issues faced by the supplier

Learnt the importance of uninterrupted supply.

The importance of raw material forcasting bsed on the different factors like environment, weather etc.

The importance of calculating the stock levels based on accurate leadtime and finding the credible
sources.

Discussed the issues and how we can resolve those issues to have an effective supply of raw materials.
 Analyzed whether a Minimum Order Quantity (MOQ) could be negotiated to reduce costs & increase
efficiency
